SECTION 4: HOW TO SHARE TRAINING

Five Delivery Methods

1. Just-in-time links (most effective): When a committee member or coach encounters a situation, send them the link to the specific module. "Not sure how to handle a transfer? Here's Module 63." This is more effective than pre-reading because the context makes the content stick.

2. Google Drive shared folder: Copy the training modules into a Google Drive folder accessible to the committee. Organise by role. Incoming committee members get access on day one.

3. Noticeboard knowledge posts: Periodically post short extracts from the training library as Noticeboard knowledge posts:

"Platform Tip of the Week

Did you know you can add a blockout to your profile to let your coach know you're unavailable? Settings → Blockouts → Add Blockout → select dates. Full guide: [link to Module 08]."

4. Pre-season committee briefing: At the first committee meeting of the new season, the Admin and Treasurer each present a 10-minute "here's how we use GoClubPro" briefing, covering the 3–5 modules most relevant to the upcoming season.

5. Role-specific onboarding packs: Create a one-page "Getting Started" sheet for each role (Player, Coach, Treasurer, Admin) linking to their 5–7 priority modules. Share with new committee members at induction.


SECTION 5: BUILDING A PLATFORM COMPETENCE CULTURE

The Signs of Good Platform Culture

A club with good platform competence shows:

  • Members consistently RSVP before the coach needs to chase them
  • Fees are paid promptly; Aging is low
  • Broadcasts are used for important comms; Noticeboard for community
  • Admin Panel is accurate; departed members are removed promptly
  • The Treasurer knows the Accounting balance without being asked
  • New members feel welcomed and understand the platform within a week

SECTION 6: KEEPING THE LIBRARY CURRENT

When Modules Need Updating

This library reflects GoClubPro as of July 2026. Modules need review when:

  • The platform releases a new feature or changes an existing workflow
  • An association changes its requirements (new levy structure, new portal)
  • State legislation changes (WWCC requirements, privacy law updates)
  • Club policy changes (fee structure, discipline process)
  • A module is found to be inaccurate by a user

Update process:

  1. Admin or relevant committee member identifies the outdated content
  2. Edit the specific module file in the training docs folder
  3. Update the version note at the top of the file ("Updated: [Month Year]")
  4. If significant: note the change in the relevant Noticeboard post / committee briefing

The Annual Library Review

At the post-AGM committee meeting (once per year):

  1. Admin or Secretary reviews the module index
  2. Identifies any modules that may have changed due to platform updates or policy changes
  3. Assigns updates to the relevant person (Treasurer reviews financial modules; Admin reviews admin modules)
  4. Updates are made and the index version is incremented

This annual review takes 30–60 minutes and keeps the library accurate.

The Three Things That Make Training Work

1. Right time: Training delivered at the moment of need is retained. Training delivered as a pre-season dump is forgotten.

2. Right length: The micro-training quick tips at the end of each module are designed for exactly this. A 60-second scan beats a 30-minute read for most situations.

3. Right person: A new coach doesn't need the Treasurer modules. A new Treasurer doesn't need the junior umpire guide. Curate what you send to who.

SHORT ONBOARDING SCRIPT

"You have 100 training modules. The mistake is trying to use all 100 at once — most clubs should start with the 7 modules for their immediate role and refer to others as situations arise. Share training at the moment it's needed: a coach facing their first injury should receive Module 41 that day, not in a pre-season document dump. Use the role-based pathways for new committee members. Run an annual post-AGM review (30–60 minutes) to keep the library accurate. And when someone asks 'how do I...', your answer is increasingly a link to the relevant module — that's a library working as intended."
