Training Module 41 | Reporting, Tracking, and Clearing Injuries


What This Guide Covers

How injuries are reported, tracked, communicated to coaches, and cleared in GoClubPro — from a player, coach, and admin perspective. Also covers the duty-of-care considerations around injury management in community sport.

Important disclaimer: GoClubPro provides an administrative tool to track injury flags. It is not a medical system and does not replace proper duty-of-care procedures, first aid, or medical clearance. Always follow your sport's governing body guidelines and your club's injury management policy.


SECTION 1: PLAYER — REPORTING AN INJURY

Step-by-Step: Report a New Injury

  1. Open the app → tap your profile picture or name → Profile
  2. Scroll to Health & Injury section
  3. Tap Report Injury
  4. Fill in:
  • Injury type: Select from list (e.g., Ankle, Knee, Shoulder, Concussion, Other)
  • Date of injury: When it happened
  • Brief description: (optional) "Rolled ankle in Round 6 match"
  • Expected return: (optional) Estimate when you'll be available
  1. Tap Save

What happens next:

  • An injury badge 🔴 appears on your player card in your coach's Squad Builder
  • Your coach can see the injury type and date
  • You receive no special notification — the flag is passive

When to Report

Report an injury any time you are genuinely unable to play. Examples:

  • Post-match: you twisted your ankle during the game — report tonight
  • Training: you hurt your shoulder at training — report immediately
  • Outside sport: you injured yourself at the gym and can't play — report now

Do NOT delay reporting. The longer you wait, the more likely your coach will select you not knowing you're injured.


Step-by-Step: Mark as Recovered

Once you're fit to play:

  1. Profile → Health & Injury
  2. Tap Mark as Recovered
  3. Confirm

What happens next:

  • Your injury badge disappears from the Squad Builder
  • Your coach sees you as available again in the next Squad Builder refresh

Do this promptly. If you've recovered and don't clear the flag, your coach won't select you — they see the red badge and assume you're still out.


Managing Multiple Injuries

If you're managing more than one injury simultaneously:

  • Report each injury separately
  • Each injury has its own status
  • You are not shown as "recovered" until ALL active injuries are cleared

SECTION 2: COACH — VIEWING AND ACTING ON INJURY FLAGS

Where Injury Flags Appear

Injury badges show in the Squad Builder only. You see:

  • A red icon on the player's card in the player pool (left panel)
  • Hovering over the icon shows the injury type and date reported

You do NOT see injuries in:

  • The Schedule page
  • The main member list
  • Your Dashboard (unless the player is in an upcoming squad)

Decision Framework: Select or Not?

An injury badge is informational, not a block. You can still add an injured player to your squad. Use this framework:

Rule of thumb: When in doubt, a 30-second text to the player beats selecting them blind.


Viewing Injury History

You cannot see a player's full injury history in the Squad Builder — only their current active injury flag.

For historical context (e.g., a player with recurring knee problems), check their player profile directly:

  • Squad Builder → click their player card → View Full Profile
  • Health & Injury section shows current and past injuries

Concussion — Special Considerations

Concussion must be treated with particular care in community sport:

GoClubPro approach:

  • Concussion is an injury type option when reporting
  • If a player reports concussion, treat the injury flag as a firm "unavailable" until cleared
  • Do NOT select a player with an active concussion flag

Governing body guidelines:

  • Most sports have a mandatory stand-down period (e.g., AFL: 12 days minimum for adults)
  • GoClubPro does not enforce stand-down periods automatically — this is a club and coach responsibility
  • Consider contacting the player directly before clearing them to play

Post-Match Injury Reporting for Coaches

If a player is injured during a match:

  1. Handle first aid immediately (this is not in the app)
  2. After the match, remind the injured player to update their profile: Profile → Health & Injury → Report Injury
  3. Players sometimes forget in the post-match rush — a follow-up text helps
  4. For junior players: notify parents directly; ask the parent to update the child's profile or do it via Family Hub

SECTION 3: ADMIN — OVERSIGHT AND CLUB POLICY

What Admins Can See

Admins don't have a dedicated injury dashboard, but they can see injury flags in:

  • Admin Panel → Members → individual member's profile
  • When reviewing team assignments

Admins cannot:

  • Report injuries on behalf of players (players or parents must do this)
  • Clear injuries on behalf of players (same)
  • Force a player to report an injury

Establishing a Club Injury Policy

GoClubPro provides the tracking tool; your club must provide the policy. Minimum recommended policy:

  1. Reporting requirement: Players must report injuries in the app within 24 hours of occurrence
  2. Clearance protocol: Players must clear their injury flag before being eligible for selection
  3. Concussion protocol: Players with concussion must provide medical clearance (e.g., doctor's note) before the admin/coach will accept the flag as cleared — don't rely solely on the app flag
  4. Junior players: Parents are responsible for managing their child's injury status via Family Hub
  5. Communication: Players must also notify their coach directly by phone/text for any injury affecting upcoming fixtures — the app notification is supplementary

Insurance and Documentation Considerations

Community sports clubs in Australia typically have insurance through their governing body (Football Australia, Cricket Australia, AFL etc.). Injury records in GoClubPro can supplement, but do not replace, formal incident reporting required by your insurer.

For a significant injury:

  1. Complete any mandatory incident report required by your association/insurer (this is outside GoClubPro)
  2. Record the injury in GoClubPro for internal tracking
  3. Keep the injury flag active until medical clearance is confirmed

SECTION 4: PARENTS — MANAGING JUNIOR PLAYER INJURIES

Reporting an Injury for Your Child

  1. Family Hub → select your child's card
  2. Tap View Full Profile
  3. Scroll to Health & InjuryReport Injury
  4. Fill in details → Save

This is identical to the player self-report flow but accessed via your parent account.


Clearing an Injury for Your Child

  1. Family Hub → child's card → View Full Profile
  2. Health & Injury → Mark as Recovered

For concussion in juniors: Do not clear a concussion flag until a doctor has confirmed the child is fit to return. Stand-down periods for junior concussion are typically longer than adult periods.


Communicating with the Junior's Coach

The app injury flag notifies the coach passively (badge appears in Squad Builder). For significant injuries affecting a junior:

  • Contact the coach directly by phone or message
  • Don't rely solely on the app badge for serious injuries
  • For concussion: contact both the coach AND the club's injury officer (if your club has one)

TOOLTIPS & HINTS

  • Clear your injury flag when you're better — coaches won't select you if they still see the red badge
  • Concussion = stricter rules — don't just clear the flag; get medical advice and communicate with your coach
  • The badge is a signal, not a block — coaches can still select you; the flag is there to prompt a conversation
  • Old flags mislead coaches — a flag from 3 months ago that was never cleared makes you look perpetually injured; clear it promptly
  • Juniors: parents manage the flag via Family Hub — children don't need to log in separately

FAQ

Q: Can my coach see exactly what injury I have? A: Yes — they see the injury type (Ankle, Knee, Concussion, etc.) and the date you reported it. The optional description is also visible to them.

Q: What if I don't want my coach to know the nature of my injury? A: Select "Other" as the injury type and omit the description. The coach will see an injury is flagged but not the specific type.

Q: I forgot to report an injury and my coach selected me. What do I do? A: Contact your coach immediately via phone/text. Then report the injury in the app. The coach can update the squad via Update Squad to remove you.

Q: My injury cleared but I forgot to remove the flag 3 weeks ago. Does it matter? A: Yes — coaches see old flags and may not select you. Remove it now via Profile → Health & Injury → Mark as Recovered.

Q: Can the admin see if a player is currently injured? A: Admins can see injury flags on individual player profiles, but there's no injury dashboard showing all currently injured players at once. Coaches see this per-fixture in Squad Builder.

SHORT ONBOARDING SCRIPT

"When you're injured, go to Profile → Health & Injury → Report Injury. This puts a red badge on your player card in the Squad Builder. Your coach sees it every time they build a squad. When you're better, go back to Profile → Health & Injury → Mark as Recovered — the badge disappears and you're selectable again. Don't forget to clear it: coaches won't pick you if the badge is still there. For concussion, clear the flag only after medical advice — don't just mark yourself recovered the next day."
