Training Module 14 — Family Management
GoClubPro User Training | Area: Family / Parent Hub
What Users Need to Learn
The Family Hub is designed for parents and guardians who manage multiple children in the same or different clubs. Users need to understand:
- How to set up a family account
- How to add and manage child profiles
- How to view a child's schedule, dues, and selections
- How to pay on behalf of a child
- How to switch between children's contexts
- How parents RSVP on behalf of children
1. Step-by-Step Walkthrough
Setting Up Your Family Account
- Log in with your own account (parent's account).
- Click Family in the navigation.
- If you have no children linked yet, click Add Child.
- Choose:
- Link existing account — if your child already has a GoClubPro account (enter their email)
- Create new child account — creates a new sub-account under your parent account
- For a new child account:
- Enter child's name, date of birth, and email (if they have one)
- Select their club and team
- Click Save — the child profile appears in your Family Hub.
Viewing a Child's Schedule
- Go to Family → click the child's profile card.
- OR go to Schedule and use the child selector dropdown.
- The schedule updates to show only that child's fixtures and training.
- Each fixture shows: date, opponent, cost, and RSVP status.
RSVPing on Behalf of a Child
- Navigate to the child's schedule (via Family Hub or Schedule + child selector).
- Click on a fixture card.
- Click RSVP: Going or RSVP: Not Going — this is submitted on behalf of the child.
- The child's coach sees the RSVP immediately.
Paying Fees on Behalf of a Child
- Go to Family → click the child's profile card.
- You'll see their outstanding dues.
- Click Pay Now next to any outstanding fee.
- Declare payment via Bank Transfer (or cover it with wallet credit) — payment is made on behalf of the child.
- Their payment status updates to Paid.
Viewing All Children at Once (Consolidated View)
- The main Family page shows all children's overview cards side by side.
- Each card shows:
- Child's name and photo
- Next upcoming fixture
- Outstanding dues (total)
- RSVP status for next fixture
- Click Pay All Outstanding to pay all children's fees in a single transaction (if enabled).
Switching to a Child's Full Context
- In the Family Hub, click a child's name or profile card.
- OR use the context switcher (club chip at top) and select the child's profile.
- You now see the app from the child's perspective — their schedule, profile, payments.
- To switch back: use the context switcher and select your parent account.
2. Simple Explanation (Beginners)
If you're a parent with children playing sport, the Family Hub is your one-stop view for all of their club activities. Instead of logging in and out of separate accounts, you see all your children on one screen and can manage their schedules, payments, and RSVPs from your single parent login.
Think of it like a family dashboard — one login, all your kids.
3. Advanced Explanation (Power Users)
Account architecture:
- Parent accounts are standard GoClubPro accounts with the Parent role in their clubs.
- Child sub-accounts can be either:
- Full accounts (child has their own email and login) — parent is linked as a guardian
- Dependent accounts (no separate login) — managed entirely through the parent account
Permission model:
- Parents can view and act on behalf of linked children's accounts (RSVP, pay fees).
- Parents cannot change a child's role or team membership — that's admin-controlled.
- Children with full accounts retain their own login — they can take actions independently.
Multi-club children:
- A child can be a member of multiple clubs.
- In the Family Hub, each child shows all their club memberships.
- Paying fees: you pay per-club from the child's payment view.
Context switching depth:
- When in a child's context, you see their Dashboard, Schedule, Payments, and Profile.
- You do NOT see Club Admin or Treasurer sections (those are adult roles).
Notification aggregation:
- Payment reminders for children appear in the parent's Alerts tab alongside their own.
- Squad selection notifications for children also appear in the parent's feed.

6. FAQ — Family Management
Q: Can my child also log in separately? A: If you created a full account for them (with email + password), yes. If you created a dependent sub-account with no email, they can only be accessed through your parent login.
Q: My child is in two different clubs. Can I see both? A: Yes — when you view their full profile, you can switch between their club contexts using the context switcher, just like you do for your own account.
Q: Can I add more than two children? A: Yes — there's no hard limit on the number of children you can link.
Q: Can two parents link to the same child account? A: Yes — multiple parent/guardian accounts can be linked to the same child. Both receive notifications and can take actions on behalf of the child.
Q: My child paid a fee themselves but it still shows outstanding on my Family Hub. A: The status update may have a short delay. Refresh the page. If it persists, the child may not have completed the Bank Transfer declaration, or the Treasurer may not have verified it yet — check with them.
Q: Can I see my child's injury status and health notes? A: Yes — viewing a child's full profile shows their health and availability, the same as the player's own view.
Q: Can I change my child's team or role? A: No — team and role assignments are managed by the Club Admin. Contact the admin if changes are needed.
7. Common Mistakes & How to Avoid Them
| Mistake | What Happens | How to Avoid |
|---|---|---|
| Creating a duplicate child account | Two records for same child; confusion for admin | Check if the child already has an account before creating a new one |
| RSVPing the wrong child | Wrong child's RSVP submitted | Always confirm which child's context you're viewing before submitting RSVP |
| Paying in the wrong context | Payment applied to wrong child's account | Check the child's name shown at the top of the Payments screen |
| Not linking both parents to the child | Only one parent gets notifications | Both parents should link their account to the child |
| Ignoring RSVP prompts for children | Coach can't plan the squad | Check Family Hub daily and respond to RSVP prompts |
| Switching context and forgetting | Taking actions in the wrong account context | Always check the context indicator (club chip) at the top of the page |
8. Short Onboarding Script
Family Hub — All Your Children in One Place
If you have children playing through this club:
- Go to Family in the navigation
- Click Add Child to link or create their profile
- See all their upcoming fixtures, dues, and RSVP status on one screen
Pay fees and submit RSVPs on their behalf — no separate login needed.
9. Long Training Guide
Setting Up the Family Hub Correctly
Option A: Child has no prior GoClubPro account
- Parent goes to Family → Add Child → Create New.
- Enters child's name and DOB (email optional for young children).
- System creates a dependent sub-account.
- Parent manages everything — child has no separate login.
- Ideal for primary school-aged children.
Option B: Child has or needs their own account
- Child creates their own account (or parent creates one for them with a separate email).
- Child logs into GoClubPro and accepts their club invite.
- Parent goes to Family → Add Child → Link Existing Account → enters child's email.
- Child receives a guardian link request — approves it.
- Both parent and child can now act on the account.
- Ideal for teenagers who want their own app access.
Payments in Family Context
When you pay a fee from the Family Hub:
- The payment is recorded against the child's financial account.
- Your payment method (credit card) is charged.
- The Treasurer sees the payment credited to the child's record.
- The child's Payments section updates to show the fee as Paid.
If you pay via "Pay All Outstanding":
- All outstanding fees across all children are combined into a single Bank Transfer declaration (or covered by wallet credit where available).
- Each fee is individually credited to the correct child's account — it's not a lump sum.
RSVPs in Family Context
When you RSVP on behalf of a child:
- The RSVP is recorded as the child's response (not the parent's).
- The coach sees the child's name with the RSVP status.
- You can change the RSVP just as the child would — return to the fixture and change the selection.
Multi-Parent/Multi-Guardian Scenarios
For split households or shared guardianship:
- Both guardians can link to the same child account.
- Each guardian manages the child independently — there's no conflict (the latest action wins for RSVPs).
- Both receive the same notifications for that child.
- Payments from either guardian are credited to the child's account.
10. Micro-Training (Quick Tips)

11. Troubleshooting
| Problem | Likely Cause | Fix |
|---|---|---|
