Training Module 20 — New Season Setup

What Users Need to Learn

Starting a new season is the most configuration-heavy period in the club admin calendar. This module provides a complete, ordered guide for Club Admins covering:

  • Creating the new season and competition structure
  • Re-configuring fees for the new season
  • Re-assigning members to teams
  • Importing the new season schedule
  • Opening registration for members
  • Communicating the new season to members

1. Step-by-Step Walkthrough

Step 1: Create the New Season

  1. Admin Panel → Seasons & Competitions.
  2. Click Create Season.
  3. Enter:
  • Season name (e.g., "Winter 2027")
  • Start date and end date
  • Association (if applicable)
  1. Click Create — the season is created in Draft state.
  2. Do NOT set as active yet — complete setup first.

Step 2: Create Competitions and Teams

  1. In the new season, click Add Competition.
  2. For each competition (e.g., "Senior Men's Division 1"):
  • Enter competition name
  • Set grade level
  • Configure sport-specific settings
  1. Click Save for each competition.
  2. Go to Teams & SquadsCreate Team for each team entry:
  • Assign team to the correct competition
  • Set team name and grade
  1. Click Save for each team.

Step 3: Configure Fees for the New Season

  1. Settings → Fee Configuration.
  2. Update registration fees for each tier (review and adjust for inflation or policy changes).
  3. Update match fees for each grade.
  4. Set Season Plan prices if offering bulk registration.
  5. Click Save for each fee type.
  6. Double-check: blank ≠ $0. Ensure every fee has an explicit dollar value.

Step 4: Connect or Update Schedule Source

  1. Admin Panel → Integrations.
  2. If using your league platform:
  • Update the season ID to the new competition year.
  • Click Sync Now — wait for the draw to be released before syncing.

  • Download the template.
  • Prepare the CSV once the draw is released.
  • Import via Admin Panel → Integrations → Import CSV.

Step 5: Re-Assign Members to Teams

  1. Admin Panel → Teams & Squads → select a team.
  2. Click Add Members.
  3. Search for and select all members who will play in this team this season.
  4. Assign roles within the team (Player, Captain, Vice-Captain).
  5. Repeat for all teams.
  6. Tip: Export last season's team lists first (if available) to use as a reference.

Step 6: Set New Season as Active

  1. Admin Panel → Seasons & Competitions.
  2. Click the new season.
  3. Click Set as Active.
  4. Confirm — the dashboard and all member views now show the new season.

Step 7: Open Registration for Members

  1. Broadcast a message to all members announcing the new season:
  • Confirm registration is open
  • Share registration fee amounts
  • Share important season dates (first fixture, training start, registration deadline)
  1. Members log in → Payments → Fees tab → pay their registration fee.

Step 8: Configure Optional Modules

  • Fantasy League: Fantasy Admin → Create first gameweek.
  • Fines: Settings → Features → confirm Fines is enabled (was it reset?).
  • Noticeboard: Post a welcome message for the new season.

2. Simple Explanation (Beginners)

Setting up a new season is like setting up the club at the start of each year. Before your first game:

  1. Create the new season (like opening a new file)
  2. Set up your teams (who plays in what competition)
  3. Set your fees (what everyone pays)
  4. Import the fixture schedule
  5. Add your members to teams
  6. Tell everyone it's open and they can register

Follow these steps in order and the rest of the season runs smoothly.


3. Advanced Explanation (Power Users)

Season independence: Each season is an independent data container. Fees, fixtures, registrations, and selections are all season-scoped. This means fee changes for the new season don't retroactively affect the old season's records.

Team re-assignment requirement: This is by design — rosters change season to season. The system doesn't assume last season's lineup is this season's lineup. Always treat team assignment as a fresh process.

League Platform Season ID update: your league platform assigns a new competition ID each season. The season ID in GoClubPro's integration must be updated to match. If not updated, sync will pull the old season's fixtures.

Fee config change timing: Fee config changes take effect for new fee records only. If you change a match fee after some fixtures have already been created and fees generated, existing fee records are NOT retroactively updated — you'd need to delete and recreate fixtures. Change fees BEFORE importing the schedule.

Draft vs. Active seasons: Create and configure the season in Draft before activating. Activating changes the entire member experience — all members' dashboards switch to the new season. Don't activate until you're fully configured.

Registration period: Unlike some platforms, GoClubPro doesn't have a formal "registration window" with hard open/close dates (unless configured by the admin). Registration fees appear in member Payments sections once the season is active. Communicate the deadline via Broadcast.

6. FAQ — New Season Setup

Q: Can I set up the new season while the old one is still active? A: Yes — you can create a new season in Draft while the previous season remains active. Members won't see the new season until you Set it as Active.

Q: What if our fixture draw isn't released yet? Can I still activate the season? A: Yes — activate the season and assign members to teams. Add fixtures later when the draw is released. The season works without fixtures; members just won't see upcoming matches yet.

Q: Do I need to invite members again each season? A: No — existing members remain in the club. You only need to re-assign them to teams. New members who join mid-season need to be invited or approved as usual.

Q: Our fees increased this season. Do I need to tell members? A: Yes — communicate fee changes clearly in your season launch Broadcast. Members will see the new amounts in their Payments section once the season is active.

Q: Can I copy fee configuration from the previous season? A: The fee config from the previous season remains in Settings — just update the amounts. You don't start from scratch; you amend what exists.

Q: What if some members leave and new ones join between seasons? A: Remove departing members (Admin Panel → Members → Remove from Club) or simply don't add them to teams. Add new members via invite or join request approval as usual.

  1. Create Season (Draft)

The Importance of Order

New season setup has dependencies — doing steps out of order creates problems:

  • Fees before fixtures: If you import fixtures before setting fees, the fixtures are created with $0 fee (or blank fee). Changing fees after the fact doesn't update existing records.
  • Teams before season activation: Members should be in teams when the season activates so coaches can start building squads immediately.
  • Draft before Active: Using Draft status protects members from seeing an incomplete season setup.

Re-Assigning Members: Efficient Approaches

For large clubs (50+ members), re-assignment takes time. Efficiency tips:

  1. Use last season's records as reference: Export a member list from the archived season before it's gone from easy view.
  2. Batch assign: In Teams → Add Members, you can select multiple members at once.
  3. New members first: Get new season sign-ups done, then assign. Avoids the situation where someone signs up after you've finished assigning.
  4. Confirm via Selection Board: After assigning, open the Squad Builder for a fixture to verify the player pool is populated correctly.

Registration Period Communication

A clear communication plan for registration is essential. Recommended messaging:

Week -6 (Season Launch Broadcast):

"Season 2027 registration is now open! Please log in to GoClubPro → Payments → Fees to pay your season registration fee. Registration closes [date]. Fees this season: Seniors $480, Juniors $350. Questions? Contact [treasurer email]."

Week -4 (Reminder to unpaid):

"Reminder: season registration closes in 2 weeks. 24 members haven't registered yet — please log in to Payments and complete your registration."

Week -2 (Final reminder):

"Final reminder: registration closes [date]. Members who haven't registered by then may not be available for selection."

This three-message cadence captures the vast majority of registrations without over-communicating.

Fee Increase Conversations

If fees are increasing season-on-season, anticipate questions. Prepare:

  • A cost breakdown (what the fee covers: competition entry, ground hire, equipment, admin)
  • Comparison to previous season (e.g., "increase of $20 — first increase in 3 years")
  • Payment flexibility (e.g., Season Plan still available at reduced rate)

Share this in the launch Broadcast so members understand the change before they see it in Payments.

Coordinating with Association

If your association creates the season structure (see Module 16), check:

  • Has the association published the new season and competitions?
  • Have you registered your teams in the association's competitions?
  • Have association levies been updated?

You can't import association fixtures or participate in association competitions without completing registration on the association side.
