What This Guide Covers
Every incorporated sporting club is governed by a constitution (sometimes called "Rules of the Club"). The constitution defines who can be a member, how fees are set, how discipline works, what the committee can decide, and how elections happen. GoClubPro must be configured to reflect — not contradict — your constitution. This guide shows where the two intersect and how to identify gaps.

SECTION 1: WHAT YOUR CONSTITUTION LIKELY COVERS

Finding Your Constitution
Your constitution should be:
- Stored in your club's Google Drive (Secretary's folder)
- Lodged with your state's incorporated associations regulator
- Available to any financial member who requests it
- Listed on your club website if appropriate
If you can't find your constitution: contact your state sport or community recreation body — they often have model rules for clubs that haven't formally adopted their own.
SECTION 2: FEE AUTHORITY AND PLATFORM CONFIGURATION
Who Can Set Fees?
Most constitutions require that annual subscription amounts be:
- Set by the committee (resolution at a committee meeting), OR
- Set by the AGM (member vote), OR
- Delegated to the committee within limits set by the AGM
Platform implication: Only set fees in GoClubPro Settings after the authorised process has occurred. The platform will happily accept any fee — it doesn't know if your committee approved $280 or your secretary typed $280 unilaterally. Governance is your responsibility.
Best practice: After committee approves fees → Secretary emails all committee confirming resolution → Admin updates Settings → Treasurer checks the new fee appears correctly.
Financial Year vs. Platform Season
Your constitution likely defines a financial year (e.g., 1 October to 30 September). GoClubPro's "seasons" are sport-specific (winter season: March–September; summer: October–March) and may not align perfectly.
Practical approach:
- Export Accounting data at the end of your financial year
- The export date range can be set manually — use your constitution's financial year dates, not the platform season dates
- Ensure your AGM financial report covers the correct period
SECTION 3: MEMBERSHIP CLASSES
Life Members and Honorary Members
Most constitutions have special membership categories — Life Members or Honorary Members — who pay reduced or no fees.
In GoClubPro:
- No built-in "Life Member" role exists
- Best handled as: Admin Panel → member → Notes field: "Life Member — approved AGM [Year] — fee waiver permanent"
- Treasurer → Accounting → if they "pay" $0: no entry required; if they pay a nominal amount: record normally
Life Member access: Life Members can still log in, view the schedule, attend events. They simply won't have fees charged against them. Manually ensure their ledger shows $0 outstanding.
Social Members
Some clubs have social members who pay a lower fee and don't play:
- Create them in GoClubPro with a Player role (the closest available)
- Notes field: "Social member — $[X] social membership fee — not eligible for selection"
- Do NOT assign them to any team
- Fee: if they pay a social membership fee, record it in Accounting as income when received; their Payments section may show $0 in match fees (which is correct if they're not playing)
SECTION 4: DISCIPLINARY CLAUSES
Natural Justice — What Your Constitution Requires
Most incorporated clubs' constitutions require natural justice before any discipline:
- Written notice of the allegation
- Opportunity to be heard (attend a hearing, respond in writing)
- Decision made by a committee (not just the Admin or Coach)
- Right of appeal (to the full committee or an independent panel)
Platform implication: Never implement a platform action (removing from team, access changes) as punishment before the disciplinary process is completed. Platform actions are the outcome of a fair process, not a tool for immediate punishment.
Exception: Immediate suspension from play (not from the platform) while an investigation occurs is typically allowed under most constitutions — this is separate from a disciplinary penalty.
The Disciplinary Timeline in GoClubPro
- Incident occurs → documented externally (Module 76)
- Member receives written notice (external email): "A committee disciplinary hearing will be held on [Date] regarding [brief description]. You may attend and respond."
- Committee hearing held → minutes record the resolution
- Outcome implemented:
- Warning: Admin Panel → member notes field → "Committee warning [Date]"
- Suspension X rounds: remove from team assignments for those rounds
- Fine: Treasurer → Accounting → Manual Entry
- Expulsion: Admin Panel → remove from all teams → notes: "Expelled [Date] — committee resolution"
- Written notification to member (external email — not platform message)
Appeals
If your constitution allows appeal:
- Member submits written appeal within X days (as per constitution)
- Appeal heard by committee minus original decision-makers (or association appeals panel)
- No platform change during appeal period
- If appeal successful: reverse platform action (re-add to team, reverse fine entry)
- Minutes record the appeal outcome
SECTION 5: ELECTION AND ACCESS MANAGEMENT
After an AGM Election
When the committee changes at AGM:
- Secretary provides a list of elected officers to Club Admin
- Admin Panel → Members:
- Outgoing President/Admin: change role to Player (if still a club member) or remove admin access
- Incoming President/Admin: change role to Club Admin
- Admin Panel → Members: assign the Treasurer role to the incoming Treasurer; remove it from the outgoing Treasurer
- Google Drive: share with incoming; revoke from outgoing
- Bank: update bank signatories (external to platform)
- Association: notify of committee change (if required by association rules)
Timing: Do this within 48 hours of the AGM. An outgoing admin with platform access is a governance risk.
Mid-Year Committee Changes
If a committee member resigns mid-year:
- Committee resolution at a meeting (or circular resolution if constitution allows)
- Minutes record the appointment of a replacement (co-opt or by-election per constitution)
- Admin Panel → role updated for both outgoing and incoming
- All relevant access updated (GoClubPro role, Google Drive, bank signatories)

FAQ
Q: Our constitution says fees must be set at the AGM. Can we change them mid-season? A: Only if your constitution allows committee to vary fees between AGMs. Check the exact wording. If it only allows AGM-set fees, you need a special general meeting or to wait until the next AGM to change the approved amount.
Q: We don't have a written constitution. Is that a problem? A: If you're an incorporated association, your state requires you to have rules. Your state's model rules apply by default if you haven't adopted your own. Check with your state incorporated associations office. Operating without accessible rules is a governance risk.
Q: A member is threatening legal action over their suspension. What do we do? A: Do not engage in legal discussion via platform channels. Refer to your President and the club's public liability insurer. Ensure your minutes fully document that natural justice was followed. This is why minutes matter.
Q: Can the President override a committee vote? A: Only if your constitution gives the Chair a casting vote in the event of a tie, or specific authority in stated situations. Ordinarily, the committee vote is binding and no single person can override it.
