SECTION 2: RECOGNISING VOLUNTEERS IN THE PLATFORM

The Noticeboard Volunteer Shoutout

Volunteer recognition on the Noticeboard takes 2 minutes and has outsized impact:

Template — volunteer shoutout:

"Volunteer Spotlight — [Name]

This week we want to recognise [Name], who has been [doing X — e.g., 'setting up the ground every home game for the past 3 seasons without being asked']. The club runs because of people like [Name]. Thank you!

If you see [Name] around, give them a well-deserved thanks."

Cadence: One volunteer shoutout per week or fortnight. Rotate across all roles — committee, coaches, Team Managers, canteen volunteers, line markers, scorers. Don't just recognise the same visible people repeatedly.


End-of-Season Volunteer Recognition

At presentation night (Module 70), the platform data supports volunteer recognition:

Longest-serving volunteer: Admin Panel → member → check join date. Members who have been with the club for 5, 10, 15 years deserve specific acknowledgement.

Coach attendance: A coach who attended every training session all season should be named. Cross-reference Schedule → training sessions with coach attendance data if available.

Administrative contribution: The Secretary who filed minutes for every meeting; the Treasurer who ran monthly Aging chases — recognise the behind-the-scenes roles that are often invisible.

How to record volunteer milestones: Admin Panel → member → Notes field: "5-year volunteer — recognised at [Year] Presentation Night"

This creates a searchable history — so in 5 more years, the next admin knows this person hit their 10-year mark.


Life Membership Nominations

For clubs that award Life Membership for exceptional long-term service:

Process (typical):

  1. Nomination submitted to committee (form or email)
  2. Committee votes (usually requires a special majority — check your constitution)
  3. Conferred at AGM (typically) with member present
  4. Recorded in minutes and on the member register

In GoClubPro:

  • Admin Panel → member → Notes field: "Life Member — conferred AGM [Year] — nominated by [Name]"
  • Fee treatment: Treasurer → ensure $0 fee; no Aging reminders generated for this member (Module 80)

Noticeboard announcement (after the AGM, not before — it should be a surprise):

"Life Membership Awarded — [Name]

The club is proud to announce that [Name] has been awarded Life Membership of [Club Name] at this year's AGM. [Name] has given [X years] to our club as [roles], and this recognition reflects our deep appreciation for their extraordinary contribution. Congratulations [Name]!"


SECTION 3: THE FINES SYSTEM AS A CULTURE TOOL

Fines Are About Connection, Not Money

When used well, the Fines System (Module 11 & 53) creates shared language, inside jokes, and a sense of belonging. The fines are trivial in dollar terms — the point is the laughter, the stories, and the "did you see what [Name] did?" conversations.

  • Top 5 most-fined players (the platform shows the leaderboard — Module 53)
  • Best fine story of the year (committee votes, no platform data needed — just community memory)
  • "Fine Master's Award" — the fine submitter who landed the most creative fines this season

Use the Noticeboard for a "Fine of the Year" vote in the 2 weeks before presentation night:

SECTION 4: FANTASY LEAGUE FOR ENGAGEMENT

Fantasy League as a Retention Tool

The Fantasy League (Module 54) is the most engagement-driving optional module in the platform. Members who participate in Fantasy League check the app more often, follow results more closely, and feel more invested in the season.

Culture connection:

  • Weekly Fantasy Leaderboard post on the Noticeboard: "Gameweek [X] results — [Leader] takes the top spot!"
  • Mid-season Fantasy Challenge: "Halfway through the season — can anyone catch [Name]?"
  • Fantasy Grand Final: at presentation night, announce the Fantasy League winner with a small prize (a slab, a trophy, a novelty certificate)

Tips for maximum engagement:

  • Announce Fantasy League at the pre-season launch broadcast
  • Remind players to make their picks early each week (Wednesday is a safe deadline before weekend matches)
  • Post the leaderboard on the Noticeboard every Monday

SECTION 5: BUILDING CULTURE THROUGH COMMUNICATION

The Human Voice in Broadcasts

Most Broadcasts are transactional ("fees due," "squad confirmed," "venue change"). The culture lives in the tone, not just the content.

Transactional (cold):

"Squad for Round 8 has been confirmed. Please check GoClubPro."

Human (warm):

"Round 8 squad is locked in — great week of training this week, the hard work is showing. Venue is [X]. See you there!"

Same information. Very different culture signal.

  • Rotate recognition — always recognising the same stars leaves quiet contributors unseen
  • Fines tone check — fines should make people laugh, not feel attacked; if a fine would humiliate rather than entertain, it's not the right fine
  • Life membership is permanent — record it in the Notes field and update it every time a new admin takes over
  • Fantasy League: post the leaderboard weekly — engagement drops to near zero if members don't see the standings regularly

FAQ

Q: We have volunteers who don't have GoClubPro accounts (e.g., a ground volunteer who just shows up). Can we still recognise them? A: Absolutely — Noticeboard recognition works even for people not in the system. Just post their name and what they do. They may not see it, but the rest of your members will, and it reinforces that your club values all contributions.

Q: The Fines System is creating conflict — some members are upset about being fined. What do we do? A: Fines should always be in good fun; if they're causing genuine distress, the tone has drifted. Review with the Fine Master: fines should target amusing situations, never personal characteristics, never targeting the same person repeatedly, and should always have a consensual culture around them. If someone genuinely doesn't want to participate in fines culture, they can be excluded (don't submit fines for them; they pay $0).

Q: How do we nominate a volunteer for a state or national sport award? A: Most state sport bodies run annual volunteer recognition programs (e.g., "Volunteer of the Year"). The nomination uses your notes from Admin Panel (years of service, roles, contributions) and the historical record from your committee minutes. Prepare a nomination with specific examples. GoClubPro data (event attendance records, Accounting contributions, squad management) can support the narrative.
