What This Guide Covers
Presentation night is the highlight of the club calendar — the moment where the season's data, stories, and achievements are celebrated in person. GoClubPro doesn't run the event, but it holds most of the data you need to make award decisions, prepare speeches, and communicate the event to members. This guide covers how to extract that data and build a great presentation night.

SECTION 1: THE DATA BEHIND THE AWARDS
Awards That Platform Data Supports

Pulling Attendance Data
Squad attendance across the season:
- Admin Panel → Schedule → filter to past fixtures
- For each fixture: Squad Builder → confirmed attendance
- Tally per player across all rounds (manual count, or export if available)
Shortcut for large clubs: Export the Accounting/Schedule data and use a spreadsheet to count appearances per player. This is faster than reading round-by-round Squad Builder screens.
Pulling Fantasy Scoring Totals
If Fantasy League is active:
- Fantasy League → Leaderboard → Season Total
- Export (if available) or screenshot for reference
- Individual player scoring events: Fantasy League → player view → full scoring history
Fantasy data supports:
- Most Goals scored
- Most Best-on-Ground awards
- Most assists
- Consistent point-scorers
Note: Fantasy data is only as good as the scoring events you entered during the season. If events were missed, the data will undercount some players. For significant awards, have coaches verify the data against their own notes.
Pulling Fines Data
Fines → Leaderboard shows the season's top fine recipients. This is used for the "Club Champion" (most fined) award at presentation night — celebrated, not shamed.
Export or screenshot the top 10 for the Fines presentation segment.
SECTION 2: PLANNING THE EVENT
Setting Up the Presentation Night Fixture
Add the presentation night to the Schedule so members see it alongside fixtures:
- Admin Panel → Schedule → Add Fixture
- Description: "End of Season Presentation Night"
- Venue: Full address of the venue
- Date and time
- Match fee: $0 (or ticket price if charging)
- Add access details in description: parking, dress code, what to bring
Members see this in their Schedule and can RSVP — giving you a headcount for venue/catering planning.
Sending the Presentation Night Broadcast
Send 3 weeks before:
[Club Name] — [Season] Presentation Night
Join us to celebrate an incredible [Season] season!
Date: [Day], [Date] Time: [Start Time] Venue: [Venue Name], [Address] Dress code: [Smart casual / Formal / Club colours]
RSVP by [Date]: Head to Schedule in the app and mark yourself Going so we can plan catering.

Second reminder: 1 week before (same content, more urgent).
Catering and Numbers
Use RSVP data from the Schedule fixture:
Schedule → Presentation Night fixture → view who's RSVP'd Going
This gives your catering headcount. For a formal dinner venue, you'll need this number 1–2 weeks ahead. Add a buffer (expect 10–15% more than RSVP'd — people confirm late or just show up).
SECTION 3: RUNNING THE AWARDS PROGRAM
Standard Award Structure
A typical community club presentation night award structure:
Each Grade/Team:
- Coaches' Award (coach's choice — judgment call, not metric-based)
- Best Attendance (from platform attendance data)
- Players' Player (if voting is done — see below)
- Best on Ground (most awarded via Fantasy or coach tally)
- Most Improved (coach's judgment, informed by Fantasy trend)
Club-Wide Awards:
- Club Champion (most fines on the Fines Leaderboard)
- Season's Best Goal/Try Scorer (Fantasy data)
- Volunteer of the Year (committee's choice)
- New Member of the Year (admin/committee choice)
- Life Membership (if any — committee resolution; very rarely awarded)
Treasurer's Choice (optional): The member with the best payment record all season — first to pay registration, never late. Export from Accounting: find members who paid within 7 days of fee generation and had $0 outstanding all season.
Running a Players' Player Vote
Some clubs run a Players' Player vote rather than (or in addition to) a coaches' vote.
In GoClubPro: There's no built-in voting module. Options:
Option A: Google Forms
- Create a Google Form: "Vote for [Team A] Players' Player — choose one teammate"
- Post the link in a Noticeboard post or send via Broadcast
- Set a closing time (2 days before presentation night)
- Tally results from Google Forms responses
Option B: Paper ballot at the event Simple, traditional, no pre-event admin. Ballots collected at presentation night, tallied during dinner, announced at the end.
Option C: The app's voting tool (if available) If GoClubPro has a poll feature in Noticeboard or elsewhere, use it for in-app voting.
Preparing Speeches and Award Citations
For each award, the presenting coach or admin needs:
- The recipient's name (obviously)
- One memorable moment or achievement from their season
- A brief description of what the award recognises
Data from GoClubPro:
- Attendance rate for the attendance award: "Played X of Y games — [%] attendance"
- Fantasy best-on-ground tally: "Awarded Best on Ground [X] times this season"
- Fines leaderboard total: "The recipient accumulated $[X] in fines across [X] appearances at the bar of justice"
Human context from coaches: Coaches add the story — the moment that defined their season, the character they showed, the improvement they made. Combine the data citation with the human story for a great award presentation.
SECTION 4: YEAR-IN-REVIEW CONTENT
Season Stats for the Year-in-Review Segment
Pull these from GoClubPro for a slide or spoken year-in-review:

We had [X] best-on-ground awards, [X] fines heard at the bar of justice, and [X] members on the Season Plan. It was a season to remember — and it's about to get even better."
Photo Slideshow
GoClubPro doesn't store photos (other than profile photos). For the slideshow:
- Collect photos from coaches and team managers during the season (WhatsApp, email)
- Use Google Photos shared album or similar tool for contribution
- Build the slideshow externally (PowerPoint, Canva, Google Slides)
Tip: Announce at Round 1 that you'll be collecting photos all season for the presentation night slideshow. Coaches then photograph key moments throughout the year.
SECTION 5: POST-PRESENTATION NIGHT
After the Event
- Noticeboard post: "Thank you to everyone who came to last night's presentation — what a night!"
- Include award winners (if members are comfortable being named)
- Include 1–2 photos if available
- Export final-season Accounting and member data before archiving
- Archive the season
- Start sponsor thank-you outreach for next year
- Start thinking about next season's fee configuration (AGM is usually 4–8 weeks after presentation night)

- Fantasy data is only as good as event entry — if scoring events were missed, verify top awards with coaches before announcing
- Attendance award from platform — objective and defensible; no coach bias
- Fines leaderboard = celebration, not shame — frame the announcement positively
- RSVP to the Schedule fixture — gives you catering headcount without separate forms
- Year-in-review numbers wow crowds — people love seeing the season's stats in aggregate
FAQ
Q: Can we run the Players' Player vote inside GoClubPro? A: Only if a poll/voting feature exists in your version. Most clubs use Google Forms for this and post the link via Noticeboard or Broadcast.
Q: We want to award the best-attended team (not player). How do we calculate this? A: Admin Panel → Schedule → each fixture → Squad Builder attendance for that fixture. Tally attendance percentage per team across all rounds. The team with the highest average attendance % wins.
Q: A player who won an award isn't at the presentation night. What do we do? A: Award in absentia — announce the recipient, acknowledge their absence, arrange for them to collect their award separately. Post their award on the Noticeboard as an acknowledgement.
Q: How do we handle awards for grades where Fantasy League events weren't tracked? A: Fall back to coach judgment for all scoring-based awards. Award categories like "Best Attendance" and "Coaches' Award" don't depend on Fantasy data and are available for all grades.
