Training Module 84 | Exporting, Backing Up, and Preserving Club Records at Season End
What This Guide Covers
At the end of every season, GoClubPro holds a year's worth of valuable data — payment records, member histories, injury notes, match results, financial entries. This data needs to be exported and archived before it gets buried under the next season's activity. This guide covers what to export, where to store it, and how to ensure records are preserved even if the platform changes.
Primary audience: Club Admins, Treasurers, Club Secretaries Best done: Immediately after the AGM, before the new season is set up
SECTION 1: WHY ARCHIVE?
The Risks of Not Archiving

The two-copy rule: Important club data should exist in at least two places — in GoClubPro AND in an external archive (Google Drive).
SECTION 2: WHAT TO EXPORT AND ARCHIVE
Annual Archive Checklist
Run this after every AGM:
Financial Records:
- Treasurer → Accounting → Export full year (set date range to your financial year) — covers all Bank Transfer and wallet credit transactions
- Treasurer → Aging report → export or screenshot at season end (snapshot of outstanding balances)
- Any bank statements (from club bank, not from GoClubPro)
- Receipts for significant expenses (from Expense Claims or physical receipts)
Member Records:
- Admin Panel → Members → export full member list for the season
- For each team: export team member list (who was in which team, which season)
- Note any members with outstanding balances (carry forward to new season)
Match/Competition Records:
- Schedule → season fixture list (screenshot or export if available)
- Results for the season (if manually recorded in the platform)
- Any injury records of note (exported from member profiles for relevant members)
Governance Records (external, ensure filed):
- Committee meeting minutes (all meetings this year) → Google Drive → "Minutes — [Year]"
- AGM minutes → Google Drive → "AGM — [Year]"
- Insurance Certificates of Currency for the year
- Association correspondence
The Archive Folder Structure
Set up a Google Drive folder structure at the start of each year:

Share this folder with: Secretary, Treasurer, President (at minimum). All three should have their own Google accounts — not shared credentials.
SECTION 3: EXPORTING FROM GOCLUBPRO
Accounting Export (Most Important)
The Accounting export captures your full financial year:
- Treasurer → Accounting
- Set date range filters to your financial year (e.g., 1 October [Year] to 30 September [Year])
- Export to CSV or PDF
- Save to Google Drive → [Year] → Financials → "Accounting Export — [Season].csv"
What it contains: All manual entries (income and expenses), payment records, member fee payments, expense claims paid.
What it doesn't contain: Bank account details, receipt photos attached to declarations, unpaid invoices (these are in Aging).
Member List Export
- Admin Panel → Members
- Export member list (if CSV export is available)
- Include: name, email, role, team, registration status, outstanding balance
- Save to Google Drive → [Year] → Members
If bulk export isn't available: Screenshot the member list by team. Not ideal, but preserves a snapshot.
Is a Separate Payment Export Needed?
No. GoClubPro doesn't use an external payment processor — every payment is a Bank Transfer or wallet credit declaration verified directly by your club's Treasurer, so the Accounting export above is already the authoritative, transaction-level record.
If you want to preserve the receipt photos members uploaded with their declarations, download the ones worth keeping as evidence (large amounts, disputed payments) individually from Treasurer → Reconciliation history before archiving — there's no bulk receipt export.
SECTION 4: WHAT STAYS IN THE PLATFORM
Data That Persists Naturally
GoClubPro retains historical data across seasons — you don't need to manually preserve most of it:
- Member profiles and injury history → persist indefinitely
- Payment history per member → accessible in their profile
- Historical fixtures → remain in the Schedule under the previous season
- Accounting entries → remain in the ledger (filterable by date)
The archive process is about creating an external backup, not about clearing the platform.
What to Clean Up Before the New Season
Before setting up the new season (Module 20):
- Resolve outstanding fees: Chase remaining balances; write off uncollectable amounts with a committee resolution; note in Accounting
- Finalise expense claims: Approve or reject any outstanding claims
- Update member notes: Flag lapsed, departed, or life members clearly
- Archive completed expense claims: Ensure receipts are in Google Drive before closing the season's claims
- Clear the Reconciliation backlog: Confirm no Bank Transfer or wallet top-up declarations from the season are still sitting unverified
SECTION 5: LONG-TERM RETENTION RULES
How Long to Keep Each Record Type

The safest approach: Keep everything. Storage is cheap. Lost records are expensive.
Protecting the Archive

- Two-copy rule — everything important exists in GoClubPro AND in Google Drive

FAQ
Q: Can we just leave everything in GoClubPro and not export it? A: For day-to-day continuity, yes. But for legal compliance (7-year financial record retention), governance, and insurance against platform incidents, you need external copies. The platform is not a substitute for a club records system.
Q: We have 5 years of records on a USB that a past treasurer brought in. How do we handle this? A: Copy to Google Drive immediately — USB drives fail. Organise by year and type. If the USB also contained personal member data (names, emails, payments), handle it with care and delete the USB copy once confirmed to Drive (reducing the number of devices holding personal data).
Q: The previous Treasurer exported records to their personal email account. What do we do? A: Ask them to forward the exports to the club's Google Drive and confirm they've deleted their personal copies. This is a data governance issue (personal data in a personal account). If they refuse, note it in the handover and ensure all future exports go to club-owned storage.
Q: How do we find records from 3 seasons ago in GoClubPro? A: Accounting entries remain in the ledger filtered by date. Member profiles retain history. The Schedule retains historical fixtures. For things not easily retrievable in the platform: check your Google Drive archive from that season.

"End-of-year archiving has two key outputs: the Accounting export (set to your financial year dates, covering every Bank Transfer and wallet transaction) and the member register export. Both go to Google Drive — in a club-owned folder, not a personal account. Committee minutes and AGM documents go there too. Do this within 2 weeks of the AGM, before new season activity starts.
