GoClubPro isn't just an admin tool — the data it generates gives you genuine insight into which members are at risk of leaving, who your most engaged players are, and where your club has room to grow. This guide shows you how to act on that data.

SECTION 1: UNDERSTANDING YOUR RETENTION SIGNALS

Signal 1: Attendance Percentage

Where to find it: Squad Builder — each player card shows attendance% (times attended ÷ times selected)

What it tells you:

  • High attendance (85%+) = committed, reliable player
  • Mid attendance (50–84%) = occasionally unavailable — could be work, family, or disengagement
  • Low attendance (under 50%) = either genuinely unavailable a lot, or disengaging from the club

Signal 2: RSVP Responsiveness

Where to find it: Schedule → fixture → RSVP status (admin view)

Members who RSVP consistently — even when saying "Not Going" — are engaged. Members who never RSVP are either passive or disengaged.

Pattern to watch: A member who used to RSVP weekly and has stopped over the last 3–4 rounds is likely signalling disengagement before they formally leave.

Action: A brief personal message ("Hey [Name], haven't seen you around — everything okay?") can turn a quiet departure into a retained member.


Signal 3: Payment Behaviour

Where to find it: Treasurer → Aging tab

Members with persistent outstanding fees may be:

  • Financially stretched (a sensitive but real retention issue)
  • Signalling passive resignation from the club
  • Just forgetful

Pattern to watch: A member who has always paid promptly and suddenly has 60+ day overdue fees is behaving differently than usual. A personal call is more appropriate than the automated reminder.


Signal 4: Feature Engagement

Where to find it: Feed → Noticeboard (comment and like activity, admin view)

Members who comment on Noticeboard posts, react to content, and participate in discussions are more likely to renew. Those who never engage with the feed are "quiet" members — present but not connected.


Signal 5: Profile Completeness

Where to find it: Admin Panel → Members → profiles without photos or missing fields

Members who invest in completing their profile (photo, emergency contact, blockout dates) have signalled investment in the club. Incomplete profiles often indicate members who joined but never fully committed.

Action: Automated Email 3 in the onboarding sequence (Day 4) nudges profile completion. Admin can also broadcast a mid-season "update your profile" reminder to incomplete-profile members.


SECTION 2: RETENTION PLAYBOOK

The At-Risk Member Protocol

For any member showing 2+ of these signals:

  • Attendance under 50%
  • No RSVP in last 4 rounds
  • Overdue fees 60+ days
  • No Noticeboard engagement all season

Step 1: Personal contact Not a broadcast, not an automated reminder. A direct, personal message or phone call.

"Hey [Name], just checking in — haven't seen you around lately. Is everything okay? We'd love to keep you part of the club if we can. Is there anything stopping you from coming along?"

Most at-risk members respond positively to personal outreach. The club cares — that's often enough.

Step 2: Remove practical barriers If the member says they're struggling financially:

  • Offer a payment plan (manual ledger arrangement with Treasurer)
  • Consider a partial fee waiver for the season (committee decision)

If they're struggling with the app or payment process:

  • Offer to help them through the payment process personally
  • Accept bank transfer explicitly so they don't need a card

Step 3: If no response after 2 personal contacts Accept they're leaving this season. Focus energy on retention of others and recruitment to fill the gap.


The New Member Retention Window

Critical period: The first 6 weeks of a new member's time at the club.

New members who:

  • Pay registration in week 1 → 85% chance of finishing the season
  • Still unpaid after 3 weeks → 40% chance of finishing the season
  • Don't RSVP their first 2 fixtures → 60% chance they'll leave quietly

Action for the first 6 weeks:

  1. Week 1: Welcome personal message from a committee member or coach
  2. Week 2: Check they're assigned to the right team and their profile is complete
  3. Week 3 (if still unpaid): Personal (not automated) registration reminder
  4. Week 4: Introduction to teammates — post a "welcome our new members" Noticeboard shoutout
  5. Week 6: Check attendance — have they played? If not, personal check-in

End-of-Season Retention Survey

Before the season ends, broadcast a simple message:

"We'd love your feedback on the [Season Name] season. One quick question: are you planning to register for next season?

• YES — can't wait • MAYBE — depends on a few things • PROBABLY NOT — here's why: [contact email]

Reply to this broadcast or email [Secretary email] to let us know."

This gives you advance warning of who's leaving and why — actionable intelligence for the off-season.


SECTION 3: CLUB GROWTH STRATEGY

Growing Membership with GoClubPro

Key growth levers:

1. The Join Link

Admin Panel → Settings → Club Details → Club Join Link

Share this link everywhere:

  • Your club's social media bio (Instagram, Facebook)
  • Email signature of committee members
  • Physical signage at your ground (QR code)
  • Association website listing

The join link lets new members self-sign-up and request to join — no admin overhead until approval.


2. Make Approval Fast

Nothing kills a recruitment campaign like a pending join request sitting for 2 weeks. Admin Panel → Members → Pending Requests should be checked every 2 days during recruitment season (pre-season and Round 1–3).

Approval SLA target: 48 hours from request to approval.


3. First Impression: Onboarding Email

The auto-welcome email (Email 1 in the onboarding sequence) arrives immediately after approval. Ensure:

  • Your club logo is set in Settings → Club Details
  • Your club description is accurate and welcoming
  • The Treasurer's contact email is correct (used in Email 2)

A polished first email signals a professional, organised club.


4. Season Plan as a Recruitment Tool

Communicate the Season Plan as a value-add in your recruitment messaging:

"Join before Round 3 and save $[X] with our Season Plan — pay once, play all season."

This creates a deadline-driven incentive to join early.


5. The Noticeboard as a Social Proof Engine

When prospective members visit your club (via come-and-try, referral, or trial game), they may check your club app. A Noticeboard with:

  • Recent match reports
  • Post-match photos
  • Social event announcements
  • Player recognition posts

...signals a healthy, engaged club. An empty Noticeboard signals the opposite.

Action: Maintain 2+ Noticeboard posts per month year-round — even in the off-season (planning updates, social events, recruitment posts).


Using Referrals

GoClubPro doesn't have a built-in referral program, but you can run one via the Noticeboard:

"Refer a friend — earn a free game!

Bring a new player to training before [Date], and if they register for the season, your next match fee is on us.

Share our sign-up link: [join link]"

Track manually via Admin Panel → Members → date joined. The Treasurer can credit the referring member's match fee manually.

FAQ

Q: Is there a built-in analytics dashboard in GoClubPro? A: The Treasurer Dashboard, Aging report, and Squad Builder attendance% provide the key data points. There isn't a dedicated "analytics" page — this guide shows you how to combine those data points manually.

Q: How do we track why members leave? A: GoClubPro doesn't capture exit reasons when a member is removed. Use the end-of-season survey approach (Template in Module 45) or a brief personal call to leavers.

Q: We had a sudden drop in members between seasons. How do we investigate? A: Compare Admin Panel member counts between seasons. Export both season's member lists and identify who's missing. Contact those people directly — they may not have seen the re-registration broadcast, or a specific issue drove them away.
