Pre-Season Trials & Practice Matches — GoClubPro
Training Module 111 | Running Trial Games, Intra-Club Matches, and Pre-Season Fixtures Before the Real Season Starts
What This Guide Covers
The weeks before Round 1 have their own rhythm: practice matches against neighbouring clubs, intra-club trial games to inform grading, and registration still in flux. This module covers how to run pre-season fixtures in GoClubPro — how to schedule them, whether they attract fees, how they interact with grading decisions, and the insurance and eligibility questions that catch clubs out before the season officially begins.

SECTION 1: SETTING UP PRE-SEASON FIXTURES
Practice Matches in the Schedule
Practice matches are scheduled like any fixture, with two differences in how you configure them:
- Schedule → Add Fixture (within the new season — create the season first, Module 20)
- Name it unambiguously: "PRACTICE MATCH vs [Opponent]" — the label matters because members and the Standings both need to know this doesn't count
- Set date, time, venue as normal
- Do not enter the result into Standings-affecting fields after the game — or if you record a score for the record, note "Practice — not for premiership points" in the fixture notes (see Section 4)
Why inside the new season and not the old one: availability, squads, and any fees attach to the season the fixture belongs to. A practice match filed under last season invites players who've left and misses new registrations.
Intra-Club Trial Games
For internal trials (Possibles vs. Probables, grading games):
- Schedule it as a club event or training session rather than a fixture against an external opponent — there is no real opponent, and you don't want a phantom club in your fixture list
- Use the availability/RSVP workflow as normal so coaches know numbers in advance
- Selectors record their own grading observations outside the platform or in structured selector notes — trial-game observations feed Module 64's grading process
Fees for Pre-Season Games
Whether practice matches attract match fees is a club policy decision — the platform follows whatever you configure. The common approaches:
| Policy | How to Handle It |
|---|---|
| Practice matches free (most common) | Confirm no match fee applies to the fixture; verify after the game that none were charged |
| Charged like a normal game | Standard fee flow; make sure players know before they commit |
| Free for registered members, small fee for triallists | Handle triallist payment outside the fee system (cash/transfer, recorded in Accounting) |
Whatever the policy, announce it in the fixture invitation. A surprise fee for a "friendly" is one of the fastest goodwill burns in pre-season. And remember the blank-vs-$0 semantics from fee configuration: blank means not set (fallback rules may apply); $0 means explicitly free (Module 09).
SECTION 2: TRIALLISTS AND NOT-YET-REGISTERED PLAYERS
The Pre-Season Registration Gap
Pre-season is the one time of year when people who are not yet members are regularly on your ground: returning players who haven't re-registered, and genuine new triallists deciding whether to join.
In the platform:
- Returning players who haven't re-registered won't appear in the new season's squad lists — chase re-registration before the first practice match, using the lapsed-member comparison from Module 106
- Genuine triallists can be invited to register via the join link (Module 01) with their registration marked pending, or tracked off-platform for their first look
The Insurance Question (Ask It Early)
An unregistered player may not be covered by the association's player insurance. Most national-body insurance attaches to registration, and most codes offer a limited "come and try" allowance for genuine first-time triallists — but the terms vary by code and state.
Before your first practice match:
- Check your association's policy on unregistered participants in trials
- If there's a come-and-try window, know its limits (often 1–3 sessions/games)
- Returning players are usually not covered by come-and-try provisions — they know the club; get them registered
- When in doubt: register before playing. A pre-season ACL injury to an uninsured player is a catastrophe for both the player and the club (Module 83)
SECTION 3: USING TRIALS FOR GRADING
Making Trial Games Feed Grading Decisions
Module 64 covers grading; the trial games are its evidence base:
- Confirm squads in the platform even for trials — the record of who played, and where, matters when grading is later disputed
- Rotate borderline players across grades over the trial series, don't lock them into one — two trial games in different grades beats two in the same one
- Selectors agree observation criteria before the first trial (effort, position craft, matchups), so grading conversations compare notes, not impressions
- Communicate grading outcomes per Module 64's process — the trial games give the decision legitimacy: "you played in both grades and the panel watched both games" lands better than "we decided"
SECTION 4: RESULTS, STATS, AND WHAT NOT TO RECORD
Practice matches should leave a light footprint in the data:
- Standings: never — a practice result in the W-L-D record corrupts the season ladder from day one
- Player statistics: generally no — career stats should reflect competitive games. If coaches want trial stats for grading, keep them in selector notes, not player profiles
- Injuries: always — any injury in a trial or practice match goes in the injury log immediately (Module 41). Pre-season injuries are the ones that trigger the insurance questions in Section 2, so this record matters most exactly here
- Fixture notes: a one-line record ("Practice vs [Club], approx score X–Y, trial for grading") is enough for future reference
SECTION 5: PRE-SEASON COMMUNICATION RHYTHM
The pre-season sequence, tied to the platform:
6–8 WEEKS OUT
Season created (Module 20) · fees configured (Module 09)
Re-registration Broadcast + join link shared for new players
│
▼
4 WEEKS OUT
Practice fixtures in the Schedule, labelled PRACTICE
Fee policy for trials announced in the same post
Lapsed-member chase (Module 106 comparison → Module 77 message)
│
▼
2–3 WEEKS OUT
Trial games played · squads confirmed in-platform
Insurance check done for any unregistered participant
Injuries logged like it's Round 1 (because insurance-wise, it is)
│
▼
1 WEEK OUT
Grading finalised and communicated (Module 64)
Round 1 squads selected from *registered* players only
Season launch Noticeboard post
TOOLTIPS & HINTS
- "PRACTICE MATCH" in the fixture name — members, coaches, and future-you all need the label
- Practice results never touch Standings — one-line fixture note instead
- Insurance attaches to registration — check the come-and-try terms before the first trial; returning players register first, no exceptions
- Fee policy in the invitation — surprise fees for friendlies burn goodwill fastest
- Injuries in trials get logged like Round 1 injuries — they're the ones insurers ask about
- Rotate borderline players across grades in the trial series; it's grading evidence and it reads as fair
FAQ
Q: A triallist played two practice games, got injured, and isn't registered. Where do we stand? A: Immediately: injury log entry with full detail (Module 41), incident report if serious (Module 76), and contact your association about the come-and-try coverage terms — whether they're covered depends on your code's policy and how many sessions the allowance spans. This is why the Section 2 check happens before the first trial, not after the injury.
Q: The opposition wants to lodge our practice match result with the association. Do we have to? A: Practice matches arranged club-to-club are outside the competition — there's nothing to lodge and no points at stake. If the association itself runs a sanctioned pre-season competition, that's a real fixture: it goes in the Schedule as a normal game and follows normal result entry (Module 102).
Q: Can players who haven't paid rego yet play in practice matches? A: Separate the two questions. Registered but unpaid: covered by insurance (registration exists), so it's a club fee-policy call — many clubs allow trials while payment is settled, with a firm "paid by Round 1" line (Module 42). Unregistered: back to Section 2 — registration first.
Q: Should Season Plan sales be open before the trial games? A: Yes — pre-season is peak Season Plan sales window, and the trials create the buying moment ("lock in your season now"). Just make sure the plan's terms are clear that it covers competitive season matches, and confirm your club's policy on whether practice matches would ever be charged at all (Module 44).
COMMON MISTAKES
| Mistake | Consequence | Prevention |
|---|---|---|
| Practice result entered into Standings | Season ladder wrong from week one | "PRACTICE" label + result in notes only |
| Unregistered returning player in a trial | Likely uninsured if injured | Register before playing; come-and-try is for genuine newcomers |
| Fee policy announced after the game | Fee disputes, goodwill damage | Policy stated in the fixture invitation |
| Trial injuries not logged ("it was just a friendly") | No evidence when the insurance question comes | Log every injury, trial or not |
| Trials in the old season's schedule | Wrong player pool, wrong fees | Create the new season first (Module 20) |
SHORT ONBOARDING SCRIPT
"Pre-season fixtures live in the new season — create it first, then add practice matches with PRACTICE in the name so nobody mistakes them for premiership games. Results stay out of Standings; a one-line fixture note is the record. Decide your fee policy before inviting anyone and say it in the invitation. The trap to respect is insurance: cover attaches to registration, so returning players register before they play, and genuine newcomers use your code's come-and-try allowance — check its limits before the first trial. Log trial injuries exactly like Round 1 injuries, because they're the ones that trigger insurance questions. And use the trial series properly for grading: confirmed squads, borderline players rotated across grades, selectors comparing agreed criteria."
MICRO-TRAINING QUICK TIPS
- New season first, then practice fixtures — labelled "PRACTICE MATCH"
- Results: fixture note only, never Standings; stats stay out of player profiles
- Insurance = registration; returning players register before any trial
- Come-and-try allowance: genuine newcomers only, limited sessions — check your code's terms
- Fee policy stated in the invitation, not discovered after the game
- Trial injuries → injury log, same day, every time
- Grading: rotate borderline players across grades; squads confirmed in-platform as evidence
- Pre-season = peak Season Plan sales window
