What This Guide Covers

Every registered sporting club in Australia should carry insurance. Most clubs operate under a national or state body's group policy (included in the affiliation/rego levy) plus a separate public liability policy. This guide covers what insurance your club likely has, how to record premiums in GoClubPro, how to use platform data when making a claim, and what to do when something goes wrong.

SECTION 1: TYPES OF INSURANCE A SPORTING CLUB NEEDS

The Rego Levy + Club Policy Split

For most community clubs:

Rego levy covers (paid to national/state body):

  • Personal accident insurance for registered players
  • Public liability while playing registered competition
  • Possibly volunteer protection

Club's own policy covers:

  • Public liability at training sessions and non-competition events
  • Property/equipment
  • Events not covered by the body's policy (social events, working bees, fundraisers)

The gap: If a player is injured at a training session or a social event, the national body's competition policy may NOT cover them. Your club's own public liability and personal accident policies fill this gap.


Finding Your Policies

You should have:

  1. Certificate of Currency for your public liability policy → in Google Drive / club records
  2. Policy schedule for your rego/body insurance → from your association portal
  3. Policy number, insurer name, and claims phone number → on a card in the first aid kit

If you can't find these: Contact your state sport governing body (they manage the group policy) and your club's broker/insurer directly. At season start, confirm both policies are active and in date.


SECTION 2: RECORDING INSURANCE IN GOCLUBPRO

Premium Payments as Expenses

Insurance premiums are club expenses. Record them in Accounting when paid:

Annual public liability premium: Treasurer → Accounting → Add Manual Entry

  • Type: Expense
  • Description: "Insurance — Public Liability — [Insurer] — Policy [#] — [Year]"
  • Amount: annual premium
  • Date: payment date

Player registration levy (includes insurance component): The rego levy is typically a lump sum invoiced by the association. Record it as:

  • Description: "Association Player Levy — [Season] — includes personal accident insurance — [X] players × $[Y]"
  • The insurance component doesn't need to be broken out separately unless your club's budget requires it

Event-specific insurance (e.g., for a fundraiser or presentation night):

  • Description: "Insurance — Event — [Event Name] — [Date]"

Tracking Insurance Renewal in Your Calendar

Insurance renewal is an annual deadline that must not slip. Add it to your annual planning cycle (Module 74):

  • 2 months before expiry: Contact broker/insurer for renewal quote
  • 1 month before expiry: Committee resolution approving renewal (if required by your governance)
  • Week of expiry: Pay premium → record in Accounting → file new Certificate of Currency in Google Drive
  • Notify committee: Share new Certificate of Currency with committee and coaches

SECTION 3: USING GOCLUBPRO DATA IN INSURANCE CLAIMS

What Platform Data Supports a Claim

When a claim is lodged, the insurer will want evidence. GoClubPro holds several useful records:

The injury report is critical: Every injury that might lead to a claim should be recorded in the platform immediately (Profile → Health & Injury → Report Injury). A detailed, dated record is far stronger evidence than a committee member's memory months later.


Exporting Data for a Claim

When preparing claim documentation:

  1. Injury report: Admin Panel → member → Health & Injury → print or screenshot the injury record
  2. Match/event record: Schedule → find the event → note date, time, venue, competition
  3. Equipment record: Accounting → filter by "Equipment" → export or screenshot relevant entries
  4. Member register: Admin Panel → export member list (proof of registration status at time of incident)

Combine these with your external incident record (Module 76) to provide a comprehensive claim package.


SECTION 4: THE CLAIMS PROCESS

When to Notify Your Insurer

Notify immediately (same day or next business day):

  • Any incident involving significant injury (hospital attendance, surgery, extended time off)
  • Any incident where a member of the public (non-player) was injured on your premises
  • Any property damage that may exceed your excess
  • Any incident where legal action is threatened (even verbally)

You do NOT need to notify for:

  • Minor injuries treated with basic first aid and resolved without medical attendance
  • Equipment losses below your excess that the club will cover directly

When in doubt: notify. Insurers would rather know early. Late notification can affect your coverage.


The Claims Timeline

  1. Incident occurs → immediate safety response (Module 76)
  2. External incident record completed within 24 hours
  3. Injury recorded in GoClubPro (Profile → Health & Injury)
  4. Insurer notified (phone or online claims portal)
  5. Insurer assigns a claim number → note this in your Accounting records
  6. Insurer requests documentation → provide incident record + GoClubPro exports
  7. Claim assessed → outcome (payment, excess applied, or denial)
  8. If payment: record in Accounting → Income → "Insurance claim payment — [Claim #] — [Incident description]"
  9. If denied: committee reviews; consider appeal or broker advice

Recording Insurance Claim Payments

If a claim results in payment to the club:

Treasurer → Accounting → Add Manual Entry

  • Type: Income
  • Description: "Insurance Claim Payment — [Claim #] — [Brief description, e.g., 'equipment damage claim']"
  • Amount: payment received
  • Date: payment received

This ensures your AGM financial report accurately reflects both the expense (repair/replacement) and the income (claim payment).

TOOLTIPS & HINTS

  • Certificate of Currency — always have a current one in your Google Drive and physically at the venue; many venues require it before you can use the ground
  • Notify early — late notification is the most common reason insurers reduce or deny claims
  • Injury record in the platform — a dated digital record is stronger evidence than a written note that can be lost or disputed
  • Unregistered players are uninsured — the national body's policy only covers registered players; confirm in the association portal before selecting anyone
  • Event coverage gap — your competition policy doesn't cover a working bee or social event; confirm your public liability covers all club activities

FAQ

Q: A parent is threatening to sue the club because their child was injured at a match. What do we do? A: Notify your public liability insurer immediately — that's exactly what the policy is for. Do not admit liability, make any offers, or engage in detailed discussion with the parent about the claim before speaking to your insurer. Provide your insurer with the incident record and GoClubPro injury/match data.

Q: We don't have a Certificate of Currency. How do we get one? A: Contact your broker or insurer directly. If you don't know who your insurer is, contact your state sport governing body — they manage the group policies for affiliated clubs.

Q: A volunteer was injured setting up the ground before a game. Is that covered? A: Possibly — volunteer protection is often included in the state body affiliation policy, but coverage depends on whether they were acting in their volunteer role and whether the task was within the policy scope. Contact your insurer with the specifics.

Q: Our public liability policy has a $500 excess. Should we still report small incidents? A: Yes — report all significant incidents regardless of likely cost. An incident that looks minor initially (e.g., a sprained ankle) can escalate into a much larger claim months later. An unreported incident that escalates is a coverage problem. Report early and let the insurer decide.
