Training Module 51 | Managing Training, Friendlies, and Club Events in the Schedule
What This Guide Covers
GoClubPro's Schedule isn't just for competitive matches. Training sessions, friendly games, pre-season trials, club social events, and team meetings can all be managed as fixtures — unlocking RSVP tracking, attendance recording, and calendar integration for everything your club does.

SECTION 1: TYPES OF NON-MATCH SCHEDULE ENTRIES

SECTION 2: ADDING TRAINING SESSIONS
Step-by-Step: Add a Training Session
- Admin Panel → Schedule → Add Fixture
- Fill in:
- Date: Session date
- Time: Start time
- Competition: Select the relevant grade/team
- Fixture Type: Training (if your platform offers type selection) or leave as standard
- Opponent / Description: Enter "Training" or the session focus ("Defensive Drills," "Fitness Testing")
- Venue: Your training ground
- Match Fee: $0 (or leave blank for truly $0 sessions)
- Save
Tip for recurring training: If training is every Tuesday and Thursday all season, add the first session, then repeat the process for each date. There's no recurring fixture feature — this is the only limitation. For a 20-week season with 2 sessions per week, this is 40 manual fixture entries.
Efficiency tip: Block out 30 minutes at season start to add all training sessions at once. Batch the entry rather than adding one at a time throughout the season.
Training Session Attendance Tracking
Using attendance data from training sessions provides additional selection insights beyond match attendance:
After each training session:
- Admin Panel → Schedule → click the training fixture
- Record attendance: mark each player who attended
- This data accumulates in player profiles and contributes to their overall engagement picture
Note: Training attendance% appears separately from match attendance%. The Squad Builder shows match attendance% — coaching staff must view training attendance separately via individual player profiles if needed.
RSVP for Training
Enabling RSVP for training sessions gives coaches advance headcount:
Player action: Schedule → training fixture → RSVP Going/Not Going Coach benefit: Can see how many players to expect before the session; adjust drill planning accordingly
When RSVP for training is most valuable:
- First few sessions of the season (unknown who will show)
- Sessions with limited equipment/space (need headcount for resource planning)
- Sessions you're considering cancelling if attendance is too low
When RSVP for training can be skipped:
- Established clubs where attendance is predictable
- When the admin burden outweighs the insight
SECTION 3: PRE-SEASON TRIALS
Setting Up Trial Fixtures
Pre-season trials serve a different purpose: coaches observe player ability to inform team selection/grading.
Recommended setup:
- Create trial fixtures manually with Type: Trial (or label in the description: "Pre-Season Trial #1")
- Match fee: $0 (or $5 if your club charges a small trial fee)
- Attendance recording: critical — trial attendance becomes part of the historical record
For grading trials (multiple grades trialing together):
- Create one fixture for the combined trial session
- After grading is complete, add confirmed players to their respective Teams

SECTION 4: FRIENDLY MATCHES
Adding a Friendly
Friendly matches have the same structure as competitive fixtures but typically:
- Have no impact on competition standings
- May or may not have match fees (club decides)
- Still benefit from squad selection and RSVP tracking
Setup:
- Admin Panel → Schedule → Add Fixture
- Label the opponent: "[Opponent Name] (Friendly)" to distinguish from competition fixtures in the list
- Set match fee: $0 for friendly (or a reduced amount if your club charges)
- Coaches can still use Squad Builder for friendly fixtures
Result recording for friendlies: Still worth recording — coaches use friendly results to assess team readiness for the season.
SECTION 5: SOCIAL EVENTS IN THE SCHEDULE
Adding social events to the Schedule places them in members' in-app calendar view alongside fixtures — useful for events that are directly club-related.
When to Use Schedule (vs. Noticeboard)
Use Schedule for:
- End-of-season presentation night (members need to attend; RSVP useful)
- Working bee / ground maintenance day (headcount needed)
- Come & Try / recruitment event (headcount useful)
- Committee meeting (quorum matters; RSVP tracks attendance)
Use Noticeboard only for:
- Casual social events (pub trivia, social drinks)
- Events without attendance requirements
- General announcements without RSVP need
Adding a Social Event
- Admin Panel → Schedule → Add Fixture
- Competition: leave unassigned (if it's club-wide) or pick a specific team if it's team-specific
- Description: "End of Season Presentation Night" or "Annual Working Bee"
- Match Fee: $0 (or event cost if charging admission)
- Venue: The event location
Members see this event in their Schedule view alongside regular fixtures.
SECTION 6: FILTERING SCHEDULE BY TYPE
Members and admins viewing the Schedule see all fixture types (matches, training, events) in the same calendar view. To help members navigate:
Best practices for labelling:
- Prefix competitive fixtures with the grade: "[A Grade] vs [Opponent]"
- Prefix training with "Training:" or "Training — [focus]"
- Prefix events with "EVENT:" to make them scannable
- Prefix trials with "Trial:" or "Pre-Season:"
Consistent naming conventions make the Schedule view much more scannable for members.

TOOLTIPS & HINTS
- Batch add training sessions at season start — 30 minutes at the beginning beats adding one per week all season
- $0 match fee, not blank — for training and events with no charge, enter $0 explicitly
- Labelling is your filter — prefix entries with "Training:", "EVENT:", "FRIENDLY:" for easy scanning
- RSVP for training is optional — enable it for early season when headcount is uncertain; skip it when attendance is predictable
- Social events in Schedule — more visible than Noticeboard for events that require attendance
FAQ
Q: Can I add a recurring weekly training session automatically? A: Not currently — each training session must be added individually. Batch them at season start to minimise ongoing effort.
Q: Do match fees generate for training sessions if I accidentally leave the fee field filled in? A: Yes — the fee field applies regardless of fixture type. Always set training and event fixtures to $0 match fee.
Q: Can I restrict training session visibility to just one team? A: Yes — when adding the fixture, assign it to a specific Competition. Members not in that competition won't see it in their Schedule.
Q: A player has an injury. Should they still RSVP to training? A: Yes — even injured players can RSVP "Not Going" or "Going" to indicate whether they'll observe training. This helps coaches plan.
