Training Module 64 | Managing Grade Placements, Re-Grades, and Team Changes During the Season
What This Guide Covers
Grading — placing players in the right team at the right level — is one of the most sensitive operations in club management. Done well, it develops players and produces competitive balance. Done poorly, it causes disputes and member churn. This guide covers pre-season grading trials (set-up side), mid-season re-grades, team consolidation, and how to manage the communication and platform steps that go with each.

SECTION 1: PRE-SEASON GRADING
What Grading Means in GoClubPro's Structure
Grading = assigning a player to the correct Competition (grade) and Team for the season.
Season

The assignment determines:
- Which fixtures appear in their Schedule
- Which match fees are charged (B Grade match fee vs A Grade match fee)
- Which Squad Builder they appear in (B Grade Coach sees them; A Grade Coach doesn't)
Setting Up Grading Trials
See Module 51 (Training Sessions & Events) for how to add trial fixtures. The grading-specific layer:
Pre-trial setup:
- Create a trial fixture: Admin Panel → Schedule → Add Fixture → "Pre-Season Trial — All Grades" (or separate per grade)
- Set $0 match fee for the trial
- Coaches observe all participants during the trial — assessment is offline (notes, spreadsheet)
After the trial:
- Coaches/Selectors submit grade recommendations to the Admin
- Admin reviews any borderline cases with the committee or selection panel
- Once decisions are final: Admin assigns each player to their team
Player notification: GoClubPro doesn't have an automated "grading outcome" notification. Options:
- Broadcast announcing team lists for each grade (most transparent approach)
- Individual message to each player via their profile
- External email/call for sensitive placements (players not getting their expected grade)
Assigning Players to Teams After Grading
- Admin Panel → Members → find each player
- Edit profile → Team Assignment → select their team
- Save
- Repeat for all players
Efficiency tip for large clubs: Work through team by team, not player by player. Open Team A → add all Team A players → save → open Team B → repeat. This reduces navigation time.
Players assigned to multiple teams: If a player will play in two grades (e.g., juniors who play up), assign them to both teams (if the platform allows multi-team assignment). Their Squad Builder will appear for coaches of both teams.
Communicating Grade Decisions
Grading decisions — especially for competitive players who didn't get their expected grade — are emotionally charged. Guidelines:
Do:
- Communicate outcomes before the season starts (not after the first fixture)
- Explain the reasoning briefly: "Selection panel assessed all players at trials and confirmed placements"
- Offer a pathway: "Players will be assessed throughout the season for potential re-grading"
- Be available for private conversations (Admin/Coach, not on Noticeboard)
Don't:
- Post individual grading decisions publicly on the Noticeboard
- Compare players to each other in written communication
- Promise specific re-grading timelines you can't commit to
SECTION 2: MID-SEASON RE-GRADING
When Re-Grading is Appropriate

Association rules on mid-season re-grades: Check whether your association has restrictions. Some competitions lock grades after Round X — re-grades after this point may require association approval.
The Re-Grade Process
Step 1: Assessment and Decision
- Coach of current grade: initiates re-grade recommendation
- Coach of receiving grade: agrees to accept the player
- Club Admin or selection panel: makes final decision
- Committee notation: record the decision (Module 58 — governance)
Step 2: Communicate with the Player Before making any platform change:
- Have a private conversation (not a text; ideally in person or phone call)
- Frame it constructively: upgrade = recognition; downgrade = development opportunity
- Answer questions honestly
- Give them a timeframe for the change to take effect
Step 3: Update the Platform
Admin Panel → Members → find player → Edit → change Team assignment:
- Remove from current team
- Assign to new team
- Save
Fee adjustment after re-grade:
- If moving from higher-fee grade to lower-fee grade: assess whether the fee difference is refunded (committee decision)
- If moving from lower to higher: does the player owe additional fees? (usually not mid-season; committee policy)
- Any adjustment: Treasurer → Accounting → manual ledger entry with explanation
Step 4: Updating Squad Builders
After the team assignment change:
- The player disappears from the old grade's Squad Builder
- The player appears in the new grade's Squad Builder
- Both coaches must be informed — don't let them discover it by seeing a change in their squad list
Inform coaches before changing:
"Just flagging — [Player Name] is being moved from B Grade to A Grade effective Round [X]. You'll see them in your Squad Builder from Round [X]. [A Grade Coach]: they'll be available from [Date]. [B Grade Coach]: plan without them from Round [X]."
SECTION 3: TEAM CONSOLIDATION AND RESTRUCTURING
When Teams Need to Be Merged or Restructured
Common mid-season reasons:
- Insufficient players to field a full team every week
- Two low-player-count teams combined for viability
- A team withdraws from the competition (extreme — see below)
- Split: one team has too many players, creating a second team
Team Consolidation (Merging Two Teams)
Example: Under 16 Boys A and Under 16 Boys B can't field full teams. Decision to merge into one team.
Step 1: Association notification Contact your association — withdrawing a team from a competition must be formally notified. The association adjusts the draw.
Step 2: Platform update
- Decide which competition/team the merged group will play in (A or B? New entry?)
- Reassign all players: Admin Panel → Members → each player → move to the surviving team
- Archive or deactivate the withdrawn team (Admin Panel → Teams → set as inactive if possible)
- Update fee configuration if the two grades had different fees — any outstanding fees from the withdrawn competition need resolution
Step 3: Communication Noticeboard post (club-internal):
"Under 16 Boys update: Due to player numbers, we've merged both U16 groups into one team competing in [Grade] from Round [X]. All affected players have been contacted directly."
Withdrawing a Team from Competition (Extreme Case)
Full team withdrawal mid-season is a last resort with significant consequences:
- Points implications for other clubs in the draw
- Association registration fee not refunded (typically)
- Members expecting to play that season lose their fixture
- Your club's reputation with the association
If unavoidable:
- Notify the association in writing immediately
- Explain to affected members directly (not via broadcast — personal contact)
- Offer: move players to other teams where possible; process appropriate fee adjustments
- Platform: deactivate the team; reassign players to other teams or leave unassigned
SECTION 4: SPLITTING A TEAM (TOO MANY PLAYERS)
When a team has far more registered players than a squad needs (common for popular grades), you may want to create a second team.
Prerequisites:
- Association agreement to add a new team entry mid-season (check if this is allowed)
- Enough fixtures to assign to the second team (association creates or transfers fixtures)
- At least one coach nominated for the second team
- Fee configuration for the new team (same competition; same fees)
Platform steps:
- Admin Panel → Teams → Create Team → name it (e.g., "B Grade — Team 2")
- Assign to the same competition
- Admin Panel → Members → split players between Team 1 and Team 2
- Assign a coach to the new team
- Verify fixtures are now visible in both teams' Squad Builders (fixtures come from the competition, not the team)

TOOLTIPS & HINTS
- Grading decisions are a governance matter — document them; committee endorses; admin implements
- Change platform AFTER the conversation — players shouldn't discover they've been re-graded by looking at their Squad Builder
- Association approval before team withdrawal — do not unilaterally withdraw without notifying them in writing
- Check re-grade association rules — some competitions lock grades after a certain round
- Fee adjustments need a policy — decide at committee level what happens to fees on a re-grade; don't make ad-hoc exceptions
FAQ
Q: A player is demanding to be re-graded. Do we have to? A: No — re-grading is a selection panel decision, not a player entitlement. The committee should have a clear re-grading policy (e.g., "re-grades assessed at Round 5 only" or "re-grades by selection panel request, not player request"). Communicate this policy at season start.
Q: We moved a player down a grade and now they want their registration fee difference back. What do we do? A: This depends on your club's policy. If registration fees differ by grade, a committee decision on the refund is needed. Whatever the outcome, Treasurer records the adjustment with a ledger note citing the committee resolution.
Q: Can I see a player's complete grade history across seasons? A: Selection history within the current season is available from the Squad Builder and member profile. Historical grade placement across seasons is not automatically tracked — this is better maintained in your external club records.
Q: What if a coach refuses to accept a re-graded player into their team? A: This is a club governance issue. The selection panel (or Admin) makes grade decisions; coaches manage those decisions within their team. If a coach refuses a committee decision, it escalates to the Club President.
