Training Module 105 | Late Withdrawals, Emergency Additions, Split Squads, and Selection Under Pressure
What This Guide Covers
Module 05 covers the standard Squad Builder workflow: view availability, select the squad, confirm, notify. This module covers what happens when the standard workflow breaks down — a player pulls out Saturday morning, two grades play at the same time and need to share players, a fill-in is needed from a lower grade, or the squad has to be rebuilt after a washout reschedule. These edge cases are where coaches lose time and make fee-affecting mistakes.

SECTION 1: LATE WITHDRAWALS
A Selected Player Pulls Out After Squad Confirmation
The most common edge case: the squad was confirmed Thursday, and a player texts Saturday morning saying they can't play.
Step-by-step:
- Open Squad Builder → the fixture → find the withdrawing player
- Change their status from Confirmed to Withdrawn (or remove them from the squad, depending on how your club records it)
- Select the replacement (see Section 2)
- Notify the replacement directly — a same-day addition should get a phone call or text, not just an in-app notification they may not see in time
- Update the squad in the app so the match record is accurate
Why step 2 matters for fees: Match fees are charged based on squad participation. If a withdrawn player stays marked as Confirmed/Played, they may be charged a match fee for a game they didn't play. Update the squad status before or immediately after the match — not weeks later when the player disputes the fee.
Withdrawal Timing and Club Policy
Most clubs distinguish between types of late withdrawal:

Recording repeated late withdrawals: If a player repeatedly withdraws late, note it in their Admin Panel member notes ("Late withdrawals: R4, R7, R9") so the pattern is visible at selection meetings. Address it as a conversation, not a platform action.
SECTION 2: EMERGENCY ADDITIONS AND FILL-INS
Adding a Player After the Squad Is Confirmed
- Squad Builder → fixture → Add Player
- Search the eligible member list (players registered in the season and grade-eligible)
- Add them to the squad → their status becomes Confirmed
- Contact them directly to confirm they know the time and venue
Fee note: The added player is charged the match fee for this game (unless they hold a paid Season Plan for the grade — see the match-fee exemption rule below).
The Match-Fee Exemption Rule (Critical)
A player with a paid Season Plan is never charged match fees in that grade — this holds regardless of how they were added to the squad (original selection, late addition, or emergency fill-in). The exemption is enforced through their season registration, not through anything the coach marks in the Squad Builder.
What this means for coaches:
- You never need to do anything special in Squad Builder to protect a Season Plan holder from match fees
- If a Season Plan holder reports being charged a match fee, that's a data issue for the Treasurer/Admin to investigate (their registration payment may not be recorded) — not something the coach fixes in selection
Playing Up: Fill-Ins from a Lower Grade
When a higher grade is short, a lower-grade player fills in ("playing up"):
- Check association eligibility rules first — most associations limit how many times a player can play up before being locked into the higher grade for finals. This is an association portal matter (Module 81), not enforced by GoClubPro.
- Squad Builder for the higher grade → Add Player → select the lower-grade player (they appear in the eligible list if registered in the season)
- Confirm with both coaches — the lower grade may now be short
- Fee check: A player with a Season Plan for their own grade may still be charged a match fee when playing in a different grade, depending on the club's fee configuration for that grade. Tell the fill-in player what the game will cost them before they commit — a surprise fee after doing the club a favour is a bad experience.
The Two-Grades-One-Player Saturday
When two grades play at overlapping times and both want the same player: this is a selection-committee decision, not a platform one. Whatever is decided, make sure the player appears in exactly one squad in the Squad Builder. A player left confirmed in two squads for the same day will have two match records and potentially two match fees.
SECTION 3: SPLIT SQUADS AND SHARED SELECTION
Multiple Selectors Working on the Same Squad
When a coach and a selector both edit a squad:
- Last save wins — there is no simultaneous-edit merge
- Agree a protocol: one person drives the Squad Builder during the selection meeting; others advise
- After saving, announce "squad is locked" in your selection group chat so nobody edits over the top
Selecting Across Grades on One Night
For clubs that pick all grades at a single Tuesday selection meeting, work top-down:
- Select the highest grade first (best available players)
- Then each grade below, drawing from the remaining pool
- The Squad Builder shows who is already selected in another squad for the same round — check before adding
- Confirm all squads at the end, then send squad notifications for all grades at once
Working top-down prevents the classic error: B Grade confirms a player Tuesday, A Grade wants them Wednesday, and now B Grade's published squad has to change.
SECTION 4: REBUILDS AFTER SCHEDULE CHANGES
Washouts and Reschedules
When a fixture is washed out and rescheduled:
- The rescheduled fixture appears in the Schedule with the new date
- Availability does not carry over reliably — players who were free on the original date may be away on the new one
- Re-run the availability check: Broadcast to the squad — "Round X is rescheduled to [new date]; update your availability by [deadline]"
- Rebuild the squad from fresh availability; don't assume the original squad stands
Fees: No match played = no match fee. If the washout was called after squad confirmation, verify with the Treasurer that no match fee was applied for the abandoned fixture (Module 73 covers washout fee handling in detail).
Forfeits Received
If the opponent forfeits after your squad was confirmed:
- The game is not played — update the fixture per your association's forfeit result convention (Module 102)
- No player statistics are entered
- Notify the squad promptly via Broadcast — nothing burns goodwill like players arriving at a ground for a game that was forfeited Thursday

TOOLTIPS & HINTS
- Withdrawn status protects the player from fees — update it before the match, not after the fee dispute
- Season Plan = never a match fee in that grade — no coach action needed; the registration enforces it
- Playing up may still cost a fee — a Season Plan covers the player's own grade; check before promising a fill-in it's free
- Call same-day additions — an in-app notification sent at 9am Saturday may not be seen by a 1pm start
- Top-down selection — highest grade first prevents cross-grade squad rework
- One player, one squad per day — double-selection creates double match records and double fees
FAQ
Q: A player was withdrawn but still got charged the match fee. How do we fix it? A: Two checks: (1) confirm their Squad Builder status for that fixture is Withdrawn/Absent, not Confirmed — correct it if wrong; (2) ask the Treasurer to reverse the fee item on the player's Payments page. If the status was correct and the fee still applied, report it to support.
Q: A Season Plan holder played up in a higher grade and was charged. Is that a bug? A: Not necessarily. The Season Plan exemption applies to the grade the plan covers. A different grade may have its own match fee. Check the club's fee configuration for the grade they played in; the Treasurer can waive the fee as a goodwill gesture if the committee's policy is that fill-ins play free.
Q: Can a Team Manager without a Coach role make late squad changes? A: Only if they've been given selection access (Coach, Selector, or Co-Admin scoped to the team). A plain Player role cannot edit squads. If your Team Manager routinely handles match-day changes, give them the access formally rather than having them relay changes through the coach by text.
Q: We confirmed the squad, then selection was overruled at the club meeting. Do the players see the churn? A: Players see the squad state as of each notification. If you confirm, then change, then re-confirm, players who were dropped will notice. Best practice: treat confirmation as final — do the internal debate before hitting confirm.

"The standard selection flow covers 90% of weeks. For the other 10%: when a player withdraws late, mark them Withdrawn immediately — that status is what protects them from being charged a match fee for a game they didn't play. Emergency additions go in via Add Player, and same-day additions get a phone call, not just an app notification. Fill-ins playing up: check association play-up limits first, and tell the player what the game costs — a Season Plan covers their own grade, not necessarily the one they're filling in for. After washouts, re-check availability from scratch. And after every match, make sure the squad record matches who actually played — stats and fees both depend on it."
