Training Module 106 | Finding the Right Members Fast and Turning the Member Register into Answers
What This Guide Covers
Every admin task starts with finding the right member or the right group of members: who hasn't paid, who's in the Under 16s, whose WWCC expires this year, who joined this season. This module covers how to search and filter the member register efficiently, how to export filtered lists for committee work, and how to answer the questions committees actually ask using the data already in the platform.

SECTION 1: FINDING A SINGLE MEMBER
Search Basics
Admin Panel → Members → search box. Search matches on name and email.
Search tips:
- Partial names work — "smi" finds Smith, Smithson
- If a name search fails, try their email — members sometimes register under a nickname or a parent's name
- For families: searching the parent's email surfaces linked child accounts (Module 14)
- Duplicate-looking results usually mean the member registered twice with different emails — see Section 4
Reading a Member Record
A member's record answers most single-member questions without leaving the page:

Notes field discipline: The Notes field is only as useful as what admins put in it. Adopt consistent note prefixes — "WWCC: [number, expiry]", "Waiver: [detail, date approved]", "Life member: [year]" — so notes are scannable and searchable across the committee.
SECTION 2: FILTERING FOR GROUPS
The Filters That Matter
The member list can be narrowed by the dimensions committees actually use:

Combine filters: Season + Team + payment status answers "who in the Under 14s hasn't paid rego" in one view — the exact list the coach needs before enforcing no-pay-no-play (Module 42).
Filter Recipes for Common Committee Questions
"How many members do we have?" Filter: current season, status Active. This is the number for the AGM report and the association return — not the all-time list, which includes archived former members.
"Who joined this season but wasn't here last season?" Compare season registrations: filter by current season, export; filter by last season, export; the difference is your new-member cohort — the group Module 65 (New Member Welcome) is for.
"Who was here last season but hasn't re-registered?" The reverse comparison — this is your lapsed-member chase list (Module 77). Run it 3–4 weeks into the new season, while a personal "coming back this year?" message can still bring them back.
"Which coaches and managers need a WWCC check?" Filter by role (Coach, plus any team managers with access), then check each Notes field for the WWCC prefix and expiry. Module 71 covers the full credential register.
"Who should lose admin access after the AGM?" Filter by role: Admin/Co-Admin/Treasurer. Any name no longer on the committee gets access removed within 24 hours of leaving (Module 82).
SECTION 3: EXPORTING AND REPORTING
Exporting a Member List
Admin Panel → Members → apply filters → Export CSV. The export reflects the filters applied — filter first, then export, so you're not hand-editing a full register in a spreadsheet.
Standard exports and their consumers:

Handling Exported Data Responsibly
Every export contains personal information — names, emails, phone numbers, sometimes emergency contacts. This makes exports a privacy obligation, not just a convenience:
- Store exports in the committee's access-controlled Google Drive, never in personal email threads or public folders
- Share a team contact list with the coach who needs it — not with the whole club
- Delete stale copies; the platform is the source of truth, and old exports go out of date and leak
- Never hand a member list to a sponsor or external party without committee approval and a check against your privacy policy (Module 33)
Answering Committee Questions with Numbers
The monthly committee meeting typically needs four numbers, all available in a few minutes:
- Active members — member list, current season filter
- Pending approvals — status Pending count (should be near zero; a growing queue means the approval workflow is stuck)
- Outstanding fees — Aging report total (Treasurer, Module 07); above ~25% of expected season revenue is the financial-difficulty warning line (Module 92)
- New members this month — season filter + join date
Put these four in the Treasurer's or Secretary's standing report. Trends month over month matter more than any single number.
SECTION 4: DATA HYGIENE
Duplicate Members
Duplicates happen when someone registers twice with different email addresses (common with parents registering a child who already self-registered).
Resolving:
- Identify which record is "real" — the one with the payment history and season registration
- Check the duplicate for anything unique (a payment, an injury log) before acting
- Archive the duplicate; note in both records — "Duplicate of [name/email], archived [date]"
- If both records carry payments, get the Treasurer involved before archiving anything — money attached to a record makes it a reconciliation task, not a cleanup task
Prevention: When manually adding a member, search their name and likely emails first. Most duplicates are created by an admin adding someone who already exists.
The Quarterly Register Review
Fifteen minutes, four checks, once a quarter:
☐ Pending queue — approve or follow up anything sitting > 1 week
☐ Departed members — archive anyone confirmed gone (Module 77)
☐ Role audit — admin/treasurer/coach roles match the actual committee
☐ Duplicate scan — sort by name, eyeball adjacent near-matches
A clean register makes every other workflow accurate: broadcasts reach the right people, fee reports reflect real members, and the AGM numbers need no caveats.

FAQ
Q: A member says they never get broadcasts, but I can see them in the member list. A: Check three things in order: their status (Pending members may not receive team communications), their team assignment (broadcasts targeted by team miss unassigned members), and their notification preferences and email deliverability (Modules 23 and 97).
Q: Our association asks for a member return with fields the export doesn't include. What do we do? A: Export what the platform holds, then add the missing columns in the spreadsheet from your other records. If a field is genuinely needed every season (e.g., date of birth for age verification), make sure it's captured at registration so future exports carry it.
Q: Can a coach see the full member register? A: A coach sees their team's members through the Squad Builder, not the full club register. If a coach needs a contact list, the admin exports the team-filtered list and shares it — the coach doesn't need register access for that.
Q: We found a member with two accounts, both with payments on them. Which do we archive? A: Neither, yet. The Treasurer reconciles first: confirm which fees each payment covered, ensure the surviving record reflects everything paid, then archive the duplicate with a note. Archiving before reconciling is how "I already paid that" disputes are born.

"Almost every admin task is 'find the right members, then act.' Learn the filters: season, team, role, status, payment. Season plus Active is your real member count. Season plus team plus unpaid is the coach's no-pay-no-play list. Role filter drives your WWCC audit and your post-AGM access review.
