Byes, washouts that won't be replayed, and late-season schedule gaps are a normal part of community sport. This guide covers how to handle these situations in GoClubPro — what to do with the fixture, how to communicate with members, how it affects match fees, and how to keep engagement alive on non-playing weeks.

SECTION 1: TYPES OF SCHEDULE GAPS

Understanding Why Rounds Have No Fixture

Each type requires a different platform response.

SECTION 2: HANDLING BYES IN GOCLUBPRO

Structural Byes (Built Into the Draw)

When your team has a bye in a given round:

If imported via your league platform: The bye round typically doesn't appear as a fixture — there's simply no entry for that week. This is correct — no action needed.

If entering fixtures manually:

• Don't create a fake fixture for the bye
• Leave that round blank in the Schedule
• Members who check the Schedule see no fixture that week — correct behaviour

Communication: Members may not realise they have a bye, especially early in the season when they're still learning the draw. Post a Noticeboard reminder:

"No game this week — [Team Name] has a bye in Round [X]. See you back on the field Round [X+1]: [Date] vs [Opponent] at [Venue]."

This prevents the "What's happening this weekend?" queries to the coach every bye round.

Bye Round and Match Fees

Bye rounds do not generate match fees — there's no fixture, so no fee trigger. This is the correct behaviour. No Treasurer action needed.

If a fee accidentally generates for a bye round: Check the fixture — if a placeholder fixture was created and activated, delete it or set it to $0.

SECTION 3: HANDLING WASHOUTS

Washout with Confirmed Replay Date

1. Admin Panel → Schedule → find the washed-out fixture
2. Edit → add to description: "WASHED OUT — Replayed [New Date]. See fixture for [New Date]."
3. Leave score blank (no result for the original date)
4. Add a new fixture for the replay date: Admin Panel → Schedule → Add Fixture

Communication:

"Round [X] — [Grade] game washed out. The match has been rescheduled to [Date] at [Venue]. The Schedule has been updated. RSVP to the new date."

Washout with No Replay (Voided Round)

When the association declares the washed-out match void (no replay, no result):

1. Admin Panel → Schedule → find the washed-out fixture
2. Edit → add to description: "WASHED OUT — Round voided per association decision [Date]. No result recorded."
3. Leave score blank
4. No new fixture (nothing to add)
5. Standings: unaffected (no points change; as if the round never happened)

Communication:

"Update on Round [X]: The washed-out [Grade] game will not be replayed. The round has been voided — no points for or against. See you Round [X+1]: [Date] vs [Opponent]."

Washout When Points Are Awarded Without Playing

Some associations award a result for late-season washouts (e.g., if your team was leading at the time of abandonment):

1. Enter the association-declared result in the fixture: Admin Panel → Schedule → fixture → Enter Result
2. Note in description: "Result awarded by association (washout) — per [Association] ruling [Date]"
3. Standings update with the awarded result

SECTION 4: FORFEITS RECEIVED (YOUR TEAM GETS THE WIN)

Your Opponent Forfeits

When the opposing team forfeits, your team is awarded a win without playing:

1. Admin Panel → Schedule → find the fixture
2. Enter Result → enter the forfeit score (per your association's convention; e.g., 20-0 or W forfeit)
3. Note in description: "Win awarded — [Opponent] forfeit — Round [X]"
4. Standings update: your team gets the win points

Match fees: This is a committee/policy decision. Your team didn't play — do match fees generate?

• If the fixture was in the Schedule and the date passes: fees may auto-generate
• Most clubs don't charge match fees for a round where the team didn't play
• Treasurer: check Aging and manually waive any fees generated for a forfeit-received round

Communication:

"Round [X] — [Opponent] has forfeited. We've been awarded the win! No game this weekend — next up: Round [X+1] vs [Opponent] at [Venue]."

SECTION 5: YOUR TEAM FORFEITS (YOU CAN'T FIELD A TEAM)

When Your Club Must Forfeit

If you can't field a team for a fixture:

1. Notify the association immediately (most require 24–48 hours notice; some require 48+ hours)
2. Notify the opposition club out of courtesy
3. Admin Panel → Schedule → fixture → Edit → add to description: "[Club Name] forfeit — Round [X] — notified association [Date]"
4. The association records the result; you may need to enter it in GoClubPro once they've confirmed: result as a loss (e.g., 0-20 or "L forfeit")

Association consequences:

• Points: zero points, full loss points to opponent
• Financial: most associations charge a forfeit fine (contact your association)
• Record the fine when received: Treasurer → Accounting → add an Expense entry for the forfeit fine

Communication to members:

"Unfortunately, [Team Name] will be forfeiting Round [X] due to [brief, non-blaming reason: insufficient available players]. If you're available for any upcoming rounds, please ensure your RSVP is up to date.

We're working to ensure this doesn't happen again."

Tone: Matter-of-fact; don't assign blame to specific players who weren't available.

SECTION 6: ENGAGEMENT ON NON-PLAYING WEEKS

Keeping Members Engaged on Bye Weeks

A bye week doesn't have to be a communication vacuum. Options:

Training opportunity: Post to Noticeboard or send Broadcast:

"Bye week this weekend — [Coach] has arranged an optional skills session. Details: [Date, Time, Venue]. RSVP in the app."

Add it as a training fixture in the Schedule (Module 51).

Watch a game:

"This weekend, why not head to [Venue] to watch [Grade A] play [Opponent] at [Time]? Come support your teammates and see you there."

Pre-season/mid-season planning: Admin can use the bye week for:

• Catching up on Accounting reconciliation
• Preparing next month's Noticeboard content
• Reviewing Aging and sending overdue reminders without the distraction of match-day operations

TOOLTIPS & HINTS

• Byes don't need fake fixtures — leave that round blank; the empty Schedule is correct
• Washout description field is your record — note the washout, the association's decision, and the date so the audit trail is clear
• Forfeit received = still check match fees — they may auto-generate even though no game was played; check Aging
• Your forfeit = association notification first — most have time-sensitive notice requirements; don't notify members before you've notified the association
• Bye week Noticeboard post — the 3-minute post that prevents 20 "What's on this weekend?" messages to the coach

FAQ

Q: Our team had a bye. Will standings show we have fewer games played than everyone else? A: Yes — this is correct. A team with a bye has played fewer games and accumulated fewer potential points. Most associations account for this in the draw design (every team gets the same number of byes over the season).

Q: We had two washouts. The association says Round 8 will be a double-round but Round 12 is voided. How do I handle this in the platform? A: For the double-round (Round 8 makeup): add the extra fixture with the confirmed date. For the voided Round 12: note on the original fixture ("Voided per association decision") and leave with no result. Standings will show fewer games played for Round 12.

Q: We forfeited and the association charged us $80. Where does this go in GoClubPro? A: Treasurer → Accounting → Add Manual Entry → Type: Expense → Description: "Forfeit fine — Round [X] — [Grade] — per [Association]" → Amount: $80.

Q: Players are asking whether they owe a match fee for the week we forfeited. What do we tell them? A: This is a committee policy decision. Most clubs don't charge match fees for a round where the team didn't play. The Treasurer should check whether fees auto-generated and manually waive them if your policy is not to charge.

SHORT ONBOARDING SCRIPT

"Byes: leave them blank in the schedule — no fixture needed, no action required, just a Noticeboard post so members aren't confused. Washouts with a replay date: note the original fixture as washed out, add a new fixture for the makeup date. Washouts voided by the association: note it on the fixture, leave no result. Forfeits received: enter the win result, check that match fees didn't generate for a round you didn't play. Your own forfeit: notify the association first — time limits matter — then tell your members. The communication habit is the same every time: one Noticeboard post telling members what's happening and when they're back."
