Community sport regularly involves players moving clubs, playing as guests for a round, or temporarily joining a team for finals. This guide covers how to manage these scenarios inside GoClubPro — from mid-season transfers to one-off guest appearances — and where the association's process sits alongside the platform.

SECTION 1: UNDERSTANDING TRANSFER TYPES
The Three Scenarios

Critical distinction: The platform manages your club's records. Association rules about whether a transfer is allowed are separate — GoClubPro doesn't enforce association eligibility rules. You are responsible for ensuring any player you register has cleared the association's requirements before they play.
SECTION 2: FULL TRANSFERS (PLAYER LEAVING ONE CLUB, JOINING YOURS)
Step 1: Confirm Clearance with the Association
Before adding a transfer player to GoClubPro:
- Check your association's transfer rules (most require a clearance from the player's previous club)
- Obtain written clearance confirmation (email from association or old club)
- Keep this on file — if eligibility is challenged, you need evidence
Do NOT add a transfer player to your club until clearance is confirmed. A player who participates without clearance can expose your club to protests, points deductions, or forfeit rulings.
Step 2: Add the Transfer Player to GoClubPro
If they're new to the platform:
- Share your club's join link
- They create a GoClubPro account
- Admin Panel → Members → Pending Requests → approve them
- Assign to their team
If they already have a GoClubPro account (from their old club):
- They join your club using your join link (they don't need a new account)
- Their new club appears in their context switcher alongside their old club
- Admin Panel → Members → Pending → approve them
- Assign to their team
Fee treatment:
- If mid-season: does the player owe the full registration fee or a pro-rated amount? This is a committee/admin decision — configure accordingly or add a manual adjusted entry
- Registration fee generates upon joining → if you want to reduce it, Treasurer → Accounting → find their registration fee entry → adjust amount with a note
Step 3: Leaving Their Old Club
The old club must also act on their end:
- Removing the player from team assignments (if they haven't already)
- Their account remains active but without an active team assignment at the old club
GoClubPro note: Joining a new club doesn't automatically remove someone from their old club. If a player has moved, they or their old club admin should update their team assignments at the old club so they don't continue appearing in that club's Squad Builder.
SECTION 3: PERMIT PLAYERS (DUAL REGISTRATION)
What a Permit Player Is
A permit player is officially registered at Club A but has association permission to also play for Club B in specific circumstances (e.g., filling a player shortage, playing in a lower grade with another club while their home club plays in a higher competition).
GoClubPro handling:
- The player joins both clubs via the join link process
- Their account shows both clubs in the context switcher
- Each club's Admin sees them in their member list independently
- Fees apply per club (subject to your club's policy for permit players — many clubs waive the registration fee for permit players)
Scheduling Conflicts for Permit Players
A permit player who plays for two clubs on the same day is a clash-management problem:
- The platform doesn't automatically detect cross-club fixture conflicts
- The player must manage their own availability — blockouts are per-club
- Coach communication: if you know a player has a permit with another club, factor this into squad selection when draws are released
Best practice: At season start, ask permit players to add blockouts for rounds where they'll be committed to their other club.
SECTION 4: GUEST PLAYERS (ONE-OFF APPEARANCES)
What a Guest Player Is
A guest player fills a spot for a single game — typically when a team is short due to injuries or absences. They're not officially transferring; they're helping out.
Association rules vary: Some associations allow unlimited guests; others require permits; others prohibit them entirely. Always check your association's rules before fielding a guest.
Handling Guest Players in GoClubPro
Option A: Add them as a temporary member (recommended for multiple games)
- Share join link → they create an account
- Admin Panel → approve → assign to team
- Set their fees: $0 registration (they're not a season member) + $0 or match fee as applicable per your policy
- After their guest stint ends: they remain in the system but not assigned to a team
Option B: Don't add to platform (truly one-off)
- Handle the match day admin offline (paper scoresheet, team list submitted to association)
- No platform record — acceptable for a single emergency appearance where no fees change hands
- Attendance and squad records in GoClubPro won't reflect their appearance
Option C: Add as guest, remove after the match
- Add as temporary member with $0 fees
- Include in Squad Builder for that fixture
- After the match: Admin Panel → Members → remove from team assignment (leave account inactive)
Guest Player Fee Handling
Most clubs don't charge guests a registration fee but may charge a per-match contribution:
- $0 for everything: No Accounting entries needed if nothing changes hands
- Match day contribution (e.g., $10 sausage sizzle levy): Collect cash, record in Accounting as a one-off income entry
- Association match fee: If the association charges per-player per-match regardless of registration, the club is responsible — record accordingly
SECTION 5: FINALS GUEST PLAYERS
Association Rules for Finals Are Stricter
Most associations have tighter eligibility requirements for finals:
- Minimum games played in the regular season (e.g., must have played 5 of the last 10 rounds)
- No new transfer clearances accepted after a certain date
- Guest player prohibition in finals
Check your association's finals eligibility rules at the start of the season — don't discover them the week before the final.
Verifying Finals Eligibility in GoClubPro
GoClubPro doesn't automatically calculate finals eligibility (as it varies by association). Manually verify:
- Admin Panel → Schedule → review each player's selection history across the season
- Count appearances for each player who may be borderline eligible
- Cross-reference with association's minimum games requirement
- If borderline: check with association before selecting them
The platform gives you the data (who was selected when) — the eligibility calculation is manual and association-specific.

FAQ
Q: A player joined our club without clearing from their old club. What do we do? A: Contact your association immediately. Playing an uncleared player is a serious eligibility breach. The association will advise whether the player can continue or must sit out until cleared. In the platform: the player can remain as a member but should not be selected until cleared.
Q: Can a player be in two clubs simultaneously in GoClubPro? A: Yes — multi-club accounts work via the context switcher. The player has one account but is a member of multiple clubs. Fee obligations exist independently at each club.
Q: How do I remove a player who transferred away from my club? A: Admin Panel → Members → find the player → remove from team assignments. Their membership record remains (for financial history) but they're no longer in any team's Squad Builder.
Q: A guest player scored in the match. Does this affect Fantasy League? A: Only if they're added as a member and in the Squad Builder for that fixture. A guest handled offline (Option B) won't appear in any Fantasy League scoring.
