How to structure and manage junior programs in GoClubPro — from the youngest age groups through to senior transition. Covers age-group progression, representative pathways, parent communication, and the unique admin considerations for junior members.

SECTION 1: STRUCTURING YOUR JUNIOR PROGRAM
Age-Group Competition Structure
Create one Competition per age group — never combine age groups into a single competition:

Why separate competitions matter:
- Independent fee configuration per age group (younger groups often pay less)
- Coaches see only their age group's squad
- Fee reports and Aging tab are segmented by competition
- Parents receive relevant notifications for their child's specific grade
Fee Structure for Junior Programs
Typical junior fee philosophy: youngest age groups have the lowest (or $0) fees to reduce the cost barrier to first-time participation.

Important: Always enter $0 for free match fee grades — do not leave blank. Blank means "unconfigured" and generates admin warnings.
Development vs. Competitive Programs
Not all junior programs are about winning:
Development programs (Under 8–10 typically):
- Focus: skill acquisition, enjoyment, social connection
- Fixture type: Modified games, sometimes no scores kept
- GoClubPro setup: $0 match fee; fixtures added manually (not through your league platform which tracks competitive results only)
- Squad Builder: optional — many coaches for this age group don't use formal squad selection
Competitive programs (Under 12 upward typically):
- Focus: competition, skill improvement under pressure
- Fixture type: Full competitive matches through association
- GoClubPro setup: Standard fee configuration; your league platform or CSV import; Squad Builder active
SECTION 2: AGE-GROUP TRANSITIONS
End-of-Season Transition Planning
Junior players age out of one grade each season. A player in Under 14 this season moves to Under 16 next season. In GoClubPro, this means:
- Team assignments don't carry over between seasons
- Players must be re-assigned to their new age group at the start of each season
- This is actually an opportunity for a "year-level review" — not every Under 14 should automatically go to Under 16 (e.g., a player who turns 14 at the end of the season might stay in Under 14 for another year depending on your association's rules)
Age-Group Transition Workflow
6 weeks before season end:
- Export current member list: Admin Panel → Members → Export CSV
- For each junior member, note: name, current age group, date of birth (from profile), next season's eligible age group
- Create a "Transition Plan" spreadsheet:

At new season setup:
- Create new Competitions and Teams for each age group
- Assign each player to their new age group based on your Transition Plan
- Notify parents of the new team assignment
Mixed-Age Flexibility
Some clubs allow older juniors to "play down" for development reasons, or younger ones to "play up" to be challenged. GoClubPro handles this by assigning the player to the appropriate team, regardless of the competition's nominal age group.
For a "play-up" player:
- Assign them to the older age group's team
- They appear in that coach's Squad Builder
- Their match fee will be whatever is configured for that age group (may be higher)
- Note: association eligibility rules may restrict this — check your sport's governing body rules
SECTION 3: REPRESENTATIVE PATHWAYS
What Rep Pathways Look Like
A junior player may play for both:
- Their club team (e.g., Under 16 team)
- A representative team (e.g., District Under 16)
The rep team is usually run by the association, not the club. In GoClubPro:
Managing Rep Players at the Club Level
Recommended setup:
- Create a separate Competition: "District Rep — Under 16" (or similar)
- Create a Team for that competition
- Assign rep-selected players to both the club team AND the rep team
- Rep fixtures: add manually (match fee = $0, as rep fees are association-managed)
- Rep players appear in both coaches' Squad Builders independently
Benefit: The rep team's schedule shows in the player's Schedule view, so they and their parents can see all commitments in one place.
Blockout Dates for Rep Conflicts
When rep training or matches clash with club fixtures:
- Players can set blockout dates for the rep weekend: Profile → Availability → Add Blockout
- Their club coach sees the blockout in Squad Builder and knows not to select them
Good practice: Brief all rep-selected junior players (or their parents) to set blockout dates for all known rep commitments at the start of the season.
Representative Selection Communication
When junior players are selected for rep programs, consider a Noticeboard post:
"Congratulations to the following [Club Name] juniors selected for the [District] Under [Age] representative squad:
[Name 1] — [Position/Role] [Name 2] — [Position/Role]
We're incredibly proud of you all. Representing the district is a fantastic achievement — go show them what [Club Name] players are made of!"
Recognition posts like this signal club culture, encourage other juniors, and reward achievement publicly.
SECTION 4: PARENT COMMUNICATION FOR JUNIOR PROGRAMS
The Parent in GoClubPro
Parents interact with GoClubPro in one of two ways:
- Family Hub model (preferred for younger juniors): Parent has their own account; child is added as a linked child via Family Hub
- Independent junior account (older juniors 15+): Junior has their own account with a parent listed as emergency contact

Parent-Specific Communication Strategy
Parents have different information needs than players:
Parents want to know:
- When and where the match/training is
- Whether their child is selected
- What they need to bring
- Fee status
- Safety/injury information
What they don't need:
- Competitive squad selection details (leave that to the coach)
- Financial information about other families
- Adult grade updates (unless they also play)
Targeted Noticeboard posts for parents:
Prefix posts with [PARENTS] to signal relevance:

This Saturday's Under 12 match: When: 9:30am Where: [Ground], [Address] Bring: Water bottle, mouth guard, full uniform Duration: approx 1 hour Parking: [Details]
Players should arrive by 9:00am. Parents are welcome to watch from the [designated area].
Handling Parent Fee Queries
Parents managing fees for multiple children sometimes find the consolidated view confusing. For common parent fee questions:
Q: Why do I see two different registration charges? A: Each child has their own registration fee. If you have two children at the club, you'll see two separate charges — one per child, even if they're in different age groups.
Q: How do I pay for both children at once? A: Family Hub → Pay All Outstanding (if available) processes all outstanding fees for all linked children in a single transaction.
Q: My child's fee shows unpaid but I paid last week. A: If you paid by bank transfer: go to Payments → Declare as Paid for that fee. If you paid by card: check that it shows in your card transaction history and contact the Treasurer if there's a discrepancy.
Working With Children Check (WWC) Reminder
For all adults working with junior players — coaches, team managers, helpers — a Working With Children Check (WWCC, Blue Card, etc.) is legally required in Australia.
Admin responsibility:
- Maintain a register of all coaches/managers working with juniors
- Note each person's WWCC expiry date
- Set calendar reminders 3 months before expiry
- See Module 45 Template 23 for a broadcast reminder template
In GoClubPro:
- WWCC details are not stored in the app — maintain this register externally (spreadsheet in your club's drive)
- If a coach's WWCC has expired: remove their Coach role from junior teams until renewed
SECTION 5: JUNIOR PROGRAM LIFECYCLE
Start of Season: Junior Coordinator Checklist
- Age group eligibility check: confirm each player is in the correct grade per association rules
- Parent accounts: verify all junior players have parent accounts linked (Family Hub) or their own accounts (15+)
- Emergency contacts: confirm all junior player profiles have emergency contact completed
- WWCC register: confirm all coaches and helpers have valid WWCCs
- Fee configuration: ensure development grades are $0 and competitive grades have correct fees
- Fixture import: your league platform or CSV for competitive grades; manual for development grades
- Parent communication: send pre-season information to all parents (who is their child's coach, training schedule, what to expect)
Mid-Season: Junior Check-In Points
Round 4–5 check:
- Which junior players have not yet RSVPed to any fixture? Personal outreach (to parent)
- Which junior players have outstanding registration fees? Treasurer → Aging → chase parents
- Any injury flags that haven't been cleared? Follow up with parents
Mid-season survey (for U14+): Post on Noticeboard:
"Enjoying the season so far? Tell us what we could do better — [Google Form link or reply to this post]."
End of Season: Junior Program Wrap-Up
- Record all final results in Schedule
- Clear all stale injury flags (reach out to parents of injured players to update)
- Export end-of-season statistics for any junior award decisions (attendance%, results)
- Prepare transition plan for next season (see Section 2)
- Send an end-of-season thank-you to parents (Module 45 Template 20)
- Consider a junior presentation night or recognition event — announce via Broadcast

FAQ
Q: A player turns 12 mid-season. Do they move to Under 14 immediately? A: No — age group eligibility is assessed at season start (or the date your association uses). Check your sport's governing body rules. GoClubPro assigns players to teams regardless of age — your admin must apply the eligibility rules.
Q: We have a junior who's exceptionally talented and we want to play them in a higher grade. How do we set this up? A: Assign them to the higher grade team in addition to their age-appropriate team. Check your association's "play-up" rules first — many require association approval.
Q: A junior player's parent has left the club (relationship breakdown). How do we update the emergency contact and parent account? A: Admin Panel → find the junior's profile → update emergency contact to the new guardian. For Family Hub unlinking (removing a parent's access), contact platform support.
Q: Our Under 8 program doesn't have formal fixtures. How do we handle scheduling? A: Add weekly sessions manually as Training fixtures: Admin Panel → Schedule → Add Fixture → type: Training. Set match fee to $0. Parents can RSVP to each session so coaches have a headcount.
