Training Module 65 | The Complete Joining Experience from a New Member's Perspective
What This Guide Covers
Modules 01 and 52 cover the setup side of new member onboarding. This module covers the experience from the new member's perspective — what they see, what they need to do, and what good looks like. It also gives admins the tools to make that experience excellent, because a smooth first 48 hours correlates directly with member retention.

SECTION 1: THE NEW MEMBER JOURNEY — STEP BY STEP
What a New Member Experiences (Chronological)
1. Receives club join link (from Broadcast, social media, or word of mouth)
2. Clicks link → creates account (name, email, password)
3. Verifies email address
4. Sees "Pending Approval" screen
5. Admin approves → receives welcome notification/email
6. Logs in → sees their Dashboard
7. Completes their profile
8. Pays their registration fee
9. Sees the Schedule → RSVPs to their first fixture
10. Gets confirmed in their first squad
11. Plays their first game
Each step is a potential drop-off point. Understanding what happens at each step lets admins intervene early if someone stalls.
SECTION 2: STEP-BY-STEP FOR NEW MEMBERS
Step 1: Getting the Join Link
The club join link is the entry point. New members receive it via:
- A club broadcast (if they're already in contact with the admin)
- The club's social media, website, or word of mouth
- A QR code at the ground (some clubs print these on posters)
What to tell new members: "Click the link and create an account. You'll need your email address. Your application goes to our admin — you'll hear back within 48 hours."
Step 2: Creating the Account
New members:
- Click the join link
- Enter: full name, email address, password
- Accept terms (if prompted)
- Receive a verification email → click the link in it to verify
Common issue: Verification email goes to spam. Instruct new members upfront: "Check your spam folder if you don't receive the verification email within 5 minutes."
Step 3: The Waiting Room (Pending Approval)
After creating the account, new members see a pending screen. This is normal — the admin hasn't approved them yet.
What admins should know: New members in "pending" often interpret this screen as something being broken. A well-timed personal message reduces anxiety:
"[Name], we've received your request to join [Club Name]. We'll have you approved and set up within 24 hours. If you have questions in the meantime, contact [Admin Name] at [email/phone]."
This message is sent externally (text/email) since the new member can't yet receive in-app messages.
Step 4: Approval and First Login
When the admin approves:
- New member receives a welcome notification/email
- They log in and see the Dashboard for the first time
Their first Dashboard view: Typically shows the current season's schedule and their team (if already assigned). The first impression matters — a clean, active Dashboard signals a well-run club.
Step 5: Completing the Profile
Prompt new members to complete their profile immediately after approval. An incomplete profile creates problems:
- No photo → Coach doesn't recognise them in Squad Builder
- No emergency contact → safety risk at any event
- No DOB (for juniors) → age eligibility can't be verified
What to complete:
- Profile → tap the photo circle → upload a photo
- Profile → Personal Details → verify name, add DOB, phone number
- Profile → Emergency Contact → add at least one emergency contact with phone
- Profile → Notification Preferences → set how they want to be notified (email, push, or both)
Admin tip: At approval time, send a welcome message that specifically requests profile completion:
"Welcome to [Club Name]! Please complete two things in your profile:
- Upload a photo (so your coach knows who you are in the squad list)
- Add your emergency contact (required for all members)
You'll find both in your Profile tab."
Step 6: Paying the Registration Fee
The registration fee appears in Payments → Outstanding Fees after the admin assigns them to a team.
New member guidance:
- Tap Payments → Fees
- Click the registration fee
- Declare payment via Bank Transfer (attach a receipt if you have one), or cover it automatically with wallet credit if available
Common issue: New members don't see a fee. This usually means:
- They haven't been assigned to a team yet (admin action needed)
- The fee configuration for their grade wasn't set before they joined (admin needs to configure and regenerate)
Admin tip: Assign new members to their team immediately on approval — this triggers fee generation.
Step 7: Finding the Schedule and RSVPing
- Home screen / Dashboard → Schedule (or bottom nav)
- Browse upcoming fixtures
- Tap a fixture → RSVP → select "Going" or "Not Going"
- For recurring unavailability: Profile → Blockouts → Add
New member tip: "RSVP to every game as far ahead as you can. Your coach uses this to plan the team. Even saying 'Not Going' early is more helpful than silence."
Step 8: First Squad Selection Notification
When the coach confirms the squad for the new member's first match:
- They receive a notification: "You've been selected for [Team] vs [Opponent] on [Date]"
- They can check Squad Builder to see the full confirmed squad
New member tip: "If you're selected and can no longer make it — contact your coach immediately, don't just update your RSVP. Coaches need to find a replacement."
SECTION 3: WHAT ADMINS SHOULD DO FOR EVERY NEW MEMBER

SECTION 4: COMMON NEW MEMBER PROBLEMS AND SOLUTIONS

SECTION 5: MAKING THE FIRST EXPERIENCE EXCELLENT
The 6-Week New Member Window
Research in community sport consistently shows that if a new member has a positive experience in their first 6 weeks, they're likely to stay for the full season and beyond. If they have a bad experience or feel invisible, they quietly disappear.
The six-week checklist (admin perspective):
- Week 1: Approved, assigned, welcomed, fee visible
- Week 2: Profile complete (photo + emergency contact)
- Week 3: First RSVP received; first squad confirmed
- Week 4: First match played; result entered
- Week 5: Fee paid (or on a payment plan)
- Week 6: Check in: "How are you finding it so far?"
The Week 6 check-in: A simple message: "Hey [Name] — hope you're enjoying the season! How are you finding it so far? Anything we can do better?" This is the highest-ROI single action for retention.
First Match Day Welcome
If possible, organise a brief welcome moment for new members at their first match:
- Coach introduces them to the team before the game
- A senior player takes them under their wing for the day
- Post-match: include them in the team's social gathering (Noticeboard post about the post-match venue)
None of this is in the platform — it's the human side of club management. The platform makes the administration frictionless so you have more energy for the human side.

FAQ
Q: A new member applied but I've been too busy to approve. What happens to them? A: They sit in pending indefinitely — there's no auto-expiry. Check pending requests every day during registration season. A new member who waits a week without hearing back often gives up and leaves.
Q: Can a new member start using the app before being approved? A: Limited functionality only. They can't see the full schedule, squad, or payments until approved and assigned to a team.
Q: How do we handle new members joining after the season has started? A: Same flow, but consider mid-season fee adjustments (Module 63 covers this for transfers). A new member joining Round 5 of a 20-round season: does the committee charge full registration? Partial? Set this policy before mid-season joiners arrive.
Q: We have 30 new members joining at once (pre-season rush). How do we manage the approvals? A: Batch approve in the Admin Panel — you can approve multiple members at once. But each still needs to be assigned to a team individually. Tip: have a helper (Co-Admin) share the approval load during registration week.

"Every new member goes through the same five steps: create account → pending approval → approved and assigned → complete profile → pay fees → RSVP → play. Your job as admin is to make each handoff invisible. Approve within 24 hours. Assign to team at approval. Send the welcome message immediately. The two most important profile items — photo and emergency contact — should be requested in that welcome message. A Week 6 personal check-in is the single most effective retention action you can take. The platform handles the plumbing; the welcome experience is yours to design."
