Training Module 76 | Managing On-Field Incidents, Conduct Issues, and Welfare Obligations


What This Guide Covers

Sports clubs have a duty of care to their members — particularly children. When incidents occur (injuries, conduct issues, welfare concerns, on-field altercations), clubs need a clear process for responding, documenting, and reporting. This guide covers what GoClubPro supports, what must happen externally, and how to use the platform as part of a broader incident management approach.

SECTION 1: TYPES OF INCIDENTS

SECTION 2: THE FIRST RESPONSE — WHAT HAPPENS IN THE MOMENT

Injury Response (First on Scene)

  1. Safety first: Ensure the area is safe before approaching (e.g., stop play if on-field)
  2. Assess the person: Are they conscious? Breathing? Bleeding?
  3. Call emergency services if needed: Never hesitate on this — it's always better to call and not need it
  4. First Aid: Apply basic first aid if qualified; don't move a person with a potential spinal injury
  5. Concussion: If any suspicion of concussion, the player does not return to play that day — no exceptions (refer to Module 41)
  6. Contact next of kin: For juniors, contact parents immediately
  7. Document: Begin documenting as soon as the immediate situation is stable

GoClubPro action: After the immediate situation is resolved, the injury is recorded in the member's profile (Profile → Health & Injury → Report Injury or Admin/Coach adds it).


On-Field Conduct Incident Response

When a conduct incident occurs during a match (e.g., a player strikes an opponent):

  1. Immediate: Match official (umpire/referee) manages in-game consequences (send-off, caution)
  2. Post-match: Coach and Team Manager note the incident; do not confront the opposing club on the day
  3. After match: Club Admin is notified; Admin begins documentation
  4. Association notification: Most associations require conduct incidents to be reported within 24–48 hours

GoClubPro doesn't have a formal incident management module, but several existing features support documentation:

SECTION 4: MANDATORY REPORTING — CHILD SAFETY

When Mandatory Reporting Applies

If a child discloses abuse, or if you observe or suspect:

  • Physical abuse
  • Sexual abuse
  • Emotional abuse or neglect
  • Inappropriate adult behaviour toward a child

You may have a legal obligation to report to authorities. This is separate from any club or association process.

Mandatory reporting applies to:

  • Teachers (in all states)
  • Coaches and sports workers (in some states/contexts)
  • Any person with a reasonable belief that a child is at risk

When in doubt: report. The consequences of not reporting a genuine risk to a child are severe. The consequences of reporting in good faith something that turns out to be unfounded are minimal.


The Child Safety Response Protocol

If a child discloses abuse to you:

  1. Listen calmly — don't express shock or alarm; it takes courage for a child to disclose
  2. Don't promise secrecy — say "I need to tell someone who can help keep you safe"
  3. Don't interrogate — let the child speak; don't ask leading questions
  4. Separate the child from the alleged perpetrator — immediately and quietly
  5. Document the disclosure — write down the child's exact words as soon as possible (in your external incident record)
  6. Report to authorities — child protection hotline in your state; police if immediate danger
  7. Report to your association — most sporting associations have a Child Safeguarding contact
  8. Do NOT discuss the matter with anyone else — this is a matter for authorities, not club gossip

In GoClubPro After a Child Safety Incident

  • If an adult in the club is the subject of a child safety concern: suspend their access immediately (Admin Panel → Members → change role to Player or remove from team assignments)
  • Do NOT discuss the matter with others via the platform (no Noticeboard posts, no broadcasts about it)
  • Contact your association's safeguarding officer
  • Do NOT remove the person's account (the record may be needed by authorities)

SECTION 5: CONDUCT INCIDENTS AND DISCIPLINARY PROCESS

Club Disciplinary Process

GoClubPro doesn't have a built-in disciplinary module. The process:

  1. Incident documented (external incident record)
  2. Committee notified within 24 hours
  3. Person given notice that a committee hearing will occur (not by coach — by Club Admin or President)
  4. Committee hearing (can be in person or email/video)
  5. Decision recorded in committee minutes
  6. Outcome actioned in GoClubPro:
  • Suspension: Admin Panel → remove from team assignments for the duration
  • Expulsion: Admin Panel → archive/remove from all teams; account retained for records
  • Fine: Treasurer → Accounting → Manual Entry → note committee decision
  • Warning: Note in member's Admin Panel notes field

Natural justice principle: The person must be given opportunity to respond before any penalty is imposed.


Association Conduct Reporting

Many associations have their own conduct reporting and tribunal process, separate from your club's internal process. You may need to:

  • Report the incident to the association within 24–48 hours (check your association's rules)
  • File a formal match incident report if match officials were involved
  • Attend an association tribunal hearing
  • Comply with association-imposed sanctions (suspensions that override club decisions)

Association sanctions in GoClubPro: If the association suspends a player, implement the suspension in the platform (remove from team assignments for the suspended rounds). The association ruling overrides the club's.


SECTION 6: INSURANCE AND CLAIMS

When to Contact Your Insurer

Contact your club insurer after:

  • Any injury requiring medical treatment beyond basic first aid
  • Any property damage claim
  • Any incident likely to lead to a liability claim
  • Any incident involving a child safety concern (insurer needs to know)

Your insurer needs:

  • External incident record (completed immediately after the incident)
  • Medical records (obtained from the injured party with consent)
  • Witness statements if relevant
  • Any association reports filed

GoClubPro doesn't manage insurance claims. It provides the injury record as supporting documentation. The claim process is external.

TOOLTIPS & HINTS

  • Document before your memory fades — write the incident record within hours, not days
  • Child safety: report first, investigate later — mandatory reporting obligations are immediate; you're not the investigator
  • Suspension = remove from team, not delete account — the record must be preserved
  • Natural justice — no penalties without an opportunity to respond; this applies even for clear-cut cases
  • Call the insurer early — they'd rather know early than receive a claim months later

FAQ

Q: A member on our team was involved in a fight with an opposition player. Who reports it — us or them? A: Typically both clubs report independently. Check your association's rules. If your player struck the opposing player: your club reports it, your player faces the disciplinary process. If the opposition player struck yours: your club still reports it (as the victim club) while the opposing club handles their player.

Q: A coach saw something concerning about how a parent is treating their junior player on the sideline. What do they do? A: If there's a genuine concern for the child's welfare: the child safety protocol applies. The coach reports to the Club Admin/President, who handles it per the child safety protocol (possibly including mandatory reporting depending on severity). Do NOT confront the parent directly.

Q: A member wants to make a formal complaint against the Club Admin. How does that work? A: The complaint goes to the President (or the committee, excluding the Admin who is the subject). The president manages the process. If the complaint is about the President: it goes to the committee as a whole, potentially to the association. GoClubPro doesn't have a formal complaints module — this is a governance process.
