Training Module 75 | Coordinating In-Platform and External Club Communications


What This Guide Covers

GoClubPro manages internal club communications — members who are logged in see Noticeboard posts, receive Broadcast notifications, and get squad confirmations. But clubs also have an external presence: Facebook groups, Instagram accounts, club websites, and email newsletters. This guide covers how to coordinate both channels so each does what it does best, without duplicating effort or creating contradictory messages.

SECTION 1: THE TWO-CHANNEL MODEL

The key distinction: GoClubPro is for operational communications (fees due, squads confirmed, schedule changes). External social is for community building, recruitment, and public presence.


What Should NOT Be on External Social

Some content belongs inside GoClubPro only and should never go to public social media:

  • Individual member payment status
  • Injury reports or health details
  • Disciplinary matters
  • Children's photos without explicit parental consent for public posting
  • Specific match times and venues (security risk for juniors; minimise on public channels)
  • Internal committee decisions before they're formally communicated

The test: "Would I be comfortable if a stranger could read this?" If no — keep it inside GoClubPro.


SECTION 2: THE CONTENT CALENDAR

Planning What Goes Where Each Week

A simple weekly content rhythm prevents duplication and gaps:

Not every day needs content on every channel. Pick the cadence that's sustainable for your volunteer communications team.


Season-Start Content

GoClubPro (internal, first 2 weeks):

  1. Season launch Broadcast (fees, how to pay, schedule loaded)
  2. Noticeboard sponsor acknowledgement post
  3. Noticeboard training schedule post
  4. Welcome message to new members (individual, via Admin)

External social (same 2 weeks):

  1. "Season [Year] registrations now open!" — join link in bio/post
  2. "Meet the committee" or "Meet the coaches" series
  3. Ground photo + fixture preview
  4. Tag sponsors in welcome post

The internal content assumes members know the club. The external content introduces the club to potential new members.


SECTION 3: MANAGING SOCIAL MEDIA ALONGSIDE GOCLUBPRO

Who Posts What

Avoid: Multiple people posting independently to both channels without coordination — leads to contradictory information.

Best practice: Designate roles:

  • GoClubPro Broadcasts: Club Admin or delegated Co-Admin only
  • GoClubPro Noticeboard: Admin, Coach per their team, designated community poster
  • Facebook/Instagram: Designated Social Media Coordinator (can be a volunteer with no GoClubPro access needed)
  • Club Website: Webmaster or Admin (updated quarterly for static pages)

Preventing Contradictory Messages

The most common external-internal communication failure: a venue change is posted on Facebook but the fixture in GoClubPro isn't updated (or vice versa).

Rule: Any factual update that affects members' behaviour (venue, time, cancellation) must be updated in GoClubPro first, then echoed to social media. The platform is the source of truth for operational details.

Sequence for venue change:

  1. Update the fixture in GoClubPro (Module 67)
  2. Send a GoClubPro Broadcast
  3. THEN post to Facebook/Instagram

Never post the change to social media before updating the platform — members who check the app will see the old information.


Linking External Social to GoClubPro

Drive traffic from your external channels into GoClubPro:

  • Facebook/Instagram bio: "[Club Name] — Members: log in at [join link] for schedules, fees, and team news"
  • Every registration post: "[Join link] to register for [Season]"
  • Club website: embed or link to the join link prominently on the homepage

External social recruits new members; GoClubPro retains and manages them.


SECTION 4: PHOTOS AND MEDIA

What to Post Publicly vs. Privately

Publicly (Instagram, Facebook Page):

  • Adult players (18+) — general consent assumed for match/club photos
  • Team photos — ensure no clearly identifiable juniors without consent
  • Ground/venue photos
  • Trophy/award celebrations
  • Sponsor shoutouts and logos

Internally only (Noticeboard):

  • Photos clearly showing children's faces
  • Match photos where consent hasn't been obtained
  • "Behind the scenes" content members shared informally

For juniors: Best practice is to obtain blanket photo consent from parents at registration (a note in your member application or a separate consent form). Without this consent, don't post identifiable photos of under-18s to public channels.


Collecting Photos All Season

Set up a shared photo collection channel at Round 1:

  • A dedicated WhatsApp group or Google Photos shared album
  • "Team photographers" nominated per grade (usually someone who always has their phone)
  • At the end of each round: team photographer uploads to the shared album

At presentation night: you have a full season's photo library. Without this system, you're scrambling for 3 good photos the night before.


SECTION 5: THE CLUB WEBSITE

Minimum Website Requirements

A club website should have:

  • Club name, logo, and colours (consistent with GoClubPro branding)
  • Current season's registration join link (updated every season)
  • Competition grades offered
  • Training times and ground address
  • Committee contacts (at minimum: President and Registrar)
  • Sponsor logos and links

What doesn't need to be on the website:

  • Live fixture draws (GoClubPro handles this for members)
  • Results (GoClubPro shows standings for members; social media covers highlights publicly)
  • Full member list (privacy; never public)

Update the website at season start — particularly the join link and fee information. An outdated website with last year's fees or a broken join link is worse than no website.

TOOLTIPS & HINTS

  • Platform first, social second — operational facts (venue, time, cancellation) go into GoClubPro before being echoed to social
  • Designate your social media person — uncoordinated posting by multiple people creates contradictions
  • Photo consent for juniors — no public posting of identifiable children without explicit parent consent
  • Join link in every recruitment post — the link from social to registration is the entire purpose of external social for a club
  • Season-start website update — outdated fees and broken links lose you members before they even apply

FAQ

Q: Do we need a Facebook group AND a Facebook Page? A: Not necessarily. A private Facebook Group serves member community better. A public Facebook Page serves recruitment. If you only have capacity for one: the Page for a growing club; the Group for an established community club.

Q: A member posted something inappropriate to our club Facebook group. What do we do? A: Remove the post immediately (page admin action, external to GoClubPro). If it's a conduct matter, raise via your club's disciplinary process (Module 76). Use Noticeboard for a reminder of your social media policy.

Q: Should we put match results on social media? A: Yes — public social media is a great place for match results. It builds community and shows the club is active. This is separate from the in-platform standings; one is public celebration, one is the operational record.

Q: We have a committee member who keeps posting unofficial updates to Facebook before the admin does. What do we do? A: Establish a clear communications policy at committee level: who is authorised to post on which channels, and what must go through the designated person first. This is a governance conversation (Module 58), not a platform one.
