Training Module 77 | Handling Members Who Go Quiet, Stop Playing, or Leave the Club


What This Guide Covers

Not all members engage consistently throughout the season. Some go quiet after Round 3; some stop RSVPing but still pay; some disappear mid-season without explanation; some permanently leave. How you manage each scenario affects both your club's operations and your member retention rate. This guide covers the full spectrum — from gentle re-engagement to processing permanent departures.

SECTION 1: RECOGNISING DISENGAGEMENT EARLY

The Four Warning Signs

Members typically show 1–2 of these signs before they go completely inactive:

  1. RSVP rate drops: Previously reliable RSVPs now frequently silent
  2. Attendance drops: RSVPs yes, attends less often
  3. Payment delays: Fees that used to be paid promptly now going overdue
  4. Social disengagement: Stop commenting or engaging on Noticeboard; no Squad Builder interaction

The critical window: Weeks 3–6 of disengagement. A member who goes quiet for 6+ weeks is much harder to re-engage than one at 2–3 weeks. Early intervention is the highest-ROI action.


Spotting Disengagement in GoClubPro

RSVP signals:

  • Squad Builder → view who has no RSVP for 3+ consecutive fixtures

Payment signals:

  • Treasurer → Aging → members with growing overdue balances who previously paid promptly

Profile signals:

  • Admin Panel → Members → find members with incomplete profiles (no photo, no emergency contact) who registered but never completed setup — often a sign they're not genuinely engaged

Attendance signals:

  • After each match: any confirmed squad member who consistently doesn't show up

SECTION 2: CATEGORIES OF INACTIVE MEMBERS

Category 1: Temporarily Inactive (Life Events)

Signs: Member was engaged; then a sudden change (new baby, job change, illness, injury) Best response: Compassionate check-in; offer reduced obligations while they stabilise

"Hi [Name] — we've noticed you've been less available lately. Totally understand life gets busy. If there's anything we can do to make it easier to stay involved (even at a reduced level), let us know. No pressure — just want you to know you're still part of the family."

In GoClubPro:

  • Encourage them to add blockouts during their difficult period
  • Don't remove from team until you've had a conversation
  • Fee treatment: offer a payment plan if financial hardship is involved (Module 68)

Category 2: Skill or Confidence Issues

Signs: New member or recently re-graded member; attendance dropping; RSVP hesitation Best response: Coach-led connection; buddy system within the team

Coach action:

  • Reach out personally: "Noticed you haven't been around lately — are you finding it okay? Some of the [pre-season/training skills] sessions might help, happy to chat."
  • Pair them with a welcoming senior player
  • Explicit inclusion in a squad confirmation

In GoClubPro: No specific platform action; the human intervention is what matters.


Category 3: Unhappy Member (Unaddressed Grievance)

Signs: Used to be engaged; suddenly withdrawn; may have posted something negative or had a conflict

Best response: Admin or President reaches out privately:

"Hi [Name] — I wanted to check in. I've noticed you've been less active lately and wanted to make sure everything is okay from the club's side. If there's something that's made you feel less comfortable, I'd genuinely like to know — in confidence."

In GoClubPro: No specific action until the conversation happens and an outcome is agreed.


Category 4: Chronic Non-Engagement (Probably Leaving)

Signs: Multiple seasons of low engagement; never RSVPs; pays fees grudgingly or not at all; little connection to the club

Best response: One honest conversation:

"We're doing our team planning for [Next Round / Next Season]. Are you planning to continue with us? No judgment either way — just want to make sure we're planning accurately."

If they say no: Graceful exit process (Section 4) If they say yes but nothing changes: Maintain on the team; accept the pattern; don't waste energy chasing


SECTION 3: MID-SEASON MEMBER DEPARTURES

When a Member Leaves Mid-Season

Reasons: Moving away, injury ending the season, family reasons, dissatisfaction, work commitment, financial difficulty.

The process:

  1. Member or coach notifies the Admin
  2. Admin has a brief check-in conversation: "We're sorry to see you go — is there anything that could have made this work better?"
  3. If there's a retrievable issue (scheduling, grade, communication): try to resolve it
  4. If departure is confirmed: process the exit

Admin Panel actions:

  1. Admin Panel → Members → find the member → remove from team assignment
  2. Do NOT delete their account (payment history and records must be preserved)
  3. Their profile moves to "no team" status — they can still log in but won't see squad notifications

Fee treatment:

  • Fees already paid: no refund required (unless your club has a refund policy for mid-season departures)
  • Fees outstanding: Treasurer → Aging → chase outstanding fees before the member loses motivation to pay
  • Final statement: Treasurer → find member → Accounting → note "Member departed Round [X] — outstanding balance $[X]"
  • Committee decision: waive outstanding fees entirely (goodwill) or chase to the end

The Leaving Member Communication

Send after confirming departure:

"Hi [Name],

We're sorry to see you leave [Club Name] — it's been great having you as part of the team.

A quick note on your account:

  • Your GoClubPro account remains active (you don't need to do anything)
  • Your outstanding balance is: $[X] — please settle via Payments → Pay Now or bank transfer to [BSB/Account]

If your circumstances change and you'd like to return next season, we'd love to have you back. Best of luck!

[Admin Name]"


SECTION 4: END-OF-SEASON LAPSED MEMBERS

Members Who Just Don't Return Next Season

Some members simply don't re-register for the new season. Their accounts from last season remain in GoClubPro.

At season start: These members are in the previous season but haven't joined the new one. They simply don't appear in the new season's active members until they re-register.

No platform action required — their historical data remains; they'll return via the join link if they come back next year.

Opt for re-engagement if they were valuable:

"Hi [Name] — we're getting ready for the [Season] season at [Club Name]. You've been a valued member and we'd love to have you back. Registration is open at [join link]. Hope to see you on the field!"

Send this once, personalised. If no response, accept the decision.


Permanently Departed Members

For members who've clearly left for good (transferred, retired, moved away permanently):

In GoClubPro:

  • Leave their account active (payment history preserved)
  • They remain in the member list but unassigned to any team in the new season
  • No cleanup required — the platform handles historical members gracefully

If you want to mark them clearly:

  • Admin Panel → Members → find them → Notes field: "Departed — [Season] — [Reason if known]"
  • This helps future admins understand who these unassigned members are

Do NOT delete accounts — financial records and historical data must be preserved.


SECTION 5: CLEANING UP THE MEMBER LIST

What "Cleanup" Actually Means

A large, messy member list (former members, test accounts, duplicates) can make the Admin Panel harder to navigate. But deletion isn't the answer.

What you can do:

  • Remove former members from team assignments (so they don't appear in Squad Builder)
  • Add notes to their profiles explaining their status
  • Filter the member list by "team assigned" to see only active players

What you should NOT do:

  • Delete accounts (destroys financial history)
  • Merge duplicate accounts without careful review (payment history belongs to one account)

If you have genuine test/dummy accounts:

  • These can be deleted if they have zero transaction history
  • Admin Panel → Members → find test account → Delete (only if confirmed no financial records)

TOOLTIPS & HINTS

  • 3–6 weeks is the intervention window — after 6+ weeks of disengagement, re-engagement is much harder
  • Conversation beats automation — a personal message from a coach or admin outperforms any automated Aging reminder for re-engagement
  • Remove from team, not delete account — the financial record must survive the departure
  • Chase fees before they leave emotionally — a departing member who still feels connection to the club is more likely to settle their balance
  • One re-engagement message, then accept — don't spam lapsed members; one personalised message is respectful; multiple follow-ups are annoying

FAQ

Q: A member stopped playing 6 weeks ago but still has $200 outstanding in fees. What do we do? A: Treat the debt the same as any overdue balance (Module 07). Remove them from the team; send a final statement with payment options. If they don't pay within 30 days, escalate to committee for a write-off or debt collection decision.

Q: We have 40 former members in our GoClubPro account from previous seasons. Should we clean them up? A: No deletion. Add a note to their profiles ("Former member — [Season]") and ensure they're not assigned to any team. They'll never appear in squad selections and won't affect operations.

Q: A member left unhappy and is posting negatively about our club on social media. What do we do? A: This is a reputation management issue, not a GoClubPro issue. Respond once professionally and publicly ("We're sorry to hear your experience wasn't positive — please reach out to us directly at [email]"). Don't delete their GoClubPro account in retaliation — it's not appropriate and won't resolve the social media issue.

Q: Can we proactively remove members from the team mid-season if they're consistently absent? A: Yes — Admin Panel → Members → remove from team assignment. Best practice: have the conversation first. A member removed from a team without warning may feel blindsided and escalate.

SHORT ONBOARDING SCRIPT

"Disengagement happens in stages — and the first 3–6 weeks is when you can turn it around. Watch for dropping RSVP rates, delayed payments, and silence on the Noticeboard. A personal message from the coach or admin — not an automated reminder — is the most effective re-engagement tool. When a member departs mid-season: remove them from the team, chase outstanding fees while the relationship is still warm, send a graceful goodbye note. Never delete accounts — the financial record must survive. One re-engagement message for lapsed members at season start; then respect their decision if they don't come back."
