Training Module 40 | When to Use Which Communication Channel


What This Guide Covers

GoClubPro has multiple ways to communicate with members: Broadcast, Noticeboard posts, Squad selection notifications, Aging reminders, and in-app Alerts. Using the wrong channel for the wrong message creates noise and reduces engagement. This guide tells you exactly when to use each one.

Primary audience: Club Admins, Coaches, Treasurers Secondary audience: All members (to understand what they'll receive and from where)


THE COMMUNICATION CHANNELS

1. Broadcast

What it is: An admin-only message sent to all club members simultaneously via push notification and email.

Reach: Every member in the club, regardless of team or role.

Visibility: Appears in the Alerts tab of the Feed. Also delivered as push notification + email.

Who can send: Club Admins only (not Coaches, not Treasurers)

Use it for:

  • Season launch announcements
  • Registration deadline reminders (club-wide)
  • Emergency cancellations (all grades)
  • AGM or important meeting notices
  • Major club news (new head coach, venue change, sponsorship)
  • End-of-season celebrations

Do NOT use it for:

  • Targeting one team ("Seniors, please RSVP") — it goes to everyone
  • Casual updates that don't require everyone's attention
  • Frequent reminders (broadcast fatigue is real — if you broadcast weekly, members stop reading)
  • Financial reminders to specific members (use Aging reminders instead)

Frequency guide: Maximum 2 broadcasts per month for non-urgent matters. Urgent (cancellations, critical news) can be more frequent — urgency justifies it.


2. Noticeboard Post

What it is: A persistent post visible in the Feed → Noticeboard tab. Members can like and comment.

Reach: All members who open the Feed. Push notification is NOT sent for Noticeboard posts (unless you also broadcast a link to it).

Visibility: Remains visible until archived. Members can find it days or weeks later.

Who can post: Admins can post. Regular members can post if Noticeboard is enabled for all.

Use it for:

  • Training reminders (midweek, when not urgent)
  • Team social events
  • Photos from the weekend's matches
  • Asking for volunteers
  • Sharing match reports or post-match highlights
  • Polls or discussions ("What colour for the new kit?")
  • Content that should remain findable for a week or more

Do NOT use it for:

  • Urgent time-sensitive announcements (no push notification — members may miss it)
  • Direct financial instructions ("Pay by Friday") — no guaranteed delivery

3. Squad Selection Notification

What it is: An automated notification sent when a coach confirms or updates a squad.

Reach: Only the players in (or removed from) the squad.

Who triggers it: Coaches (via Squad Builder → Confirm Squad or Update Squad)

You cannot customise this message. It contains: team name, opponent, fixture date, and whether the player is selected or removed.

Use it for: Squad selection. Nothing else. Let it do its job.


4. Aging Reminder (Treasurer)

What it is: An automated financial reminder sent to a specific member with outstanding fees.

Reach: One member at a time (targeted, not broadcast).

Who triggers it: Treasurers (via Treasurer → Aging → Send Reminder button)

You cannot customise this message. It contains: outstanding fee amount, fee type, and a link to pay.

Use it for: Chasing overdue fees. Targeted, non-embarrassing, one-to-one.

Do NOT use for: Sending financial nudges to the entire club (that's what misuse of Broadcast looks like — embarrassing for members).


5. In-App Alert (System Generated)

What it is: Automatic system alerts generated by GoClubPro for significant events.

Triggered by: Payment confirmations, RSVP confirmations, fine voting outcomes, claim status changes, etc.

Who controls it: The platform — not admins. Members can adjust their preferences in Notification Preferences.

Admins: Cannot send system alerts manually. They are fully automated.

CRAFTING EFFECTIVE BROADCASTS

The 4-Part Broadcast Formula

  1. What — one sentence on what this is about
  2. Why it matters — why should they read this?
  3. What to do — exactly one clear action
  4. By when — deadline if applicable

Example (Good):

"Registration for the 2026-27 season is now open. Registering early secures your team placement. Go to Payments → Fees and pay your registration fee by 30 July. Players not registered by 1 August may lose their team spot."

Example (Bad):

"Hi everyone, just a quick note to let you know that the season is starting soon and we have a lot of exciting things planned. If you could please remember to register when you get a chance that would be great as we need everyone to be registered before the season starts. Thanks for all your support!"

The bad version: buried action, no deadline, no urgency, overly casual.


Broadcast Subject Line Formula

[ACTION/TYPE]: [Content] — [Deadline if applicable]

Examples:

  • URGENT: Saturday match venue changed to Princes Park
  • Registration: 2026 season now open — due by 30 July
  • CANCELLED: Round 3 fixtures — all grades
  • AGM: Thursday 14 August, 7:30pm — Clubrooms

Keep it under 60 characters so it doesn't truncate on mobile.


NOTICEBOARD BEST PRACTICES

Post Structure

TITLE: [Clear, descriptive headline]

BODY: [1-2 short paragraphs — mobile-first, no walls of text]

ACTION: [What you want members to do, if anything]
→ [Link or clear instruction]

Post Frequency

  • 2–4 Noticeboard posts per month keeps the Feed feeling alive
  • Don't post daily — members will stop reading
  • Aim for: 1 match report or social update per week, 1 club news or admin update per fortnight

NOTIFICATION FATIGUE: WHAT TO AVOID

Members who receive too many notifications start ignoring them all — including urgent ones.

Signs of notification fatigue:

  • Low RSVP rates (members don't open the app)
  • Low Noticeboard engagement (no likes, no comments)
  • Members asking "why didn't I know about that?" after a broadcast

Causes:

  • Broadcasts more than twice a week
  • Noticeboard posts for every minor update
  • Coaches sending Broadcast-level reminders through the wrong channel

Fix:

  • Reserve Broadcast for genuinely important news
  • Use Noticeboard for everything that can wait
  • Coach reminders via Noticeboard, not broadcast
  • Trust the system's automatic notifications (RSVP reminders, squad selection) — don't duplicate them with manual broadcasts

TOOLTIPS & HINTS

  • Write broadcasts like text messages — short, direct, one action per message
  • Noticeboard posts with images get more engagement — even a single match photo increases views
  • Never use broadcast to target one team — it goes to ALL members; it's disruptive and creates irrelevant noise
  • The Aging reminder IS the polite follow-up — don't call out members publicly for unpaid fees; the system sends a private, professional reminder
  • Squad notifications are immutable — you can't customise the "You're selected" message; use the Noticeboard or a personal message for extra context

FAQ

Q: Can I schedule broadcasts in advance? A: GoClubPro currently sends broadcasts immediately when you hit Send. For time-sensitive messages (e.g., morning of the game), you'll need to send manually at the right time.

Q: Can members opt out of broadcasts? A: Members can adjust notification preferences (push vs. email) but cannot opt out of admin broadcasts entirely — they're a core club communication feature.

Q: Who sees the Noticeboard? Is it public? A: Noticeboard is visible to all club members only. It's not public. Non-members can't see your posts.

Q: Can a Coach send a broadcast to just their team? A: No — only Admins can broadcast, and it goes to all members. Coaches should use the Noticeboard or ask the Admin to broadcast on their behalf if it's genuinely urgent. For squad-specific messages, Squad Notifications are the right tool.

Q: How do I delete a Noticeboard post I regret? A: Feed → find your post → click the three-dot menu → Delete. Admins can delete any post.

SHORT ONBOARDING SCRIPT

"GoClubPro has two main admin communication tools: Broadcast and Noticeboard. Think of Broadcast as the PA system — everyone in the club hears it, instantly, via push and email. Use it for urgent or club-wide news — maximum twice a month for non-urgent things. Noticeboard is the club bulletin board — anyone can see it when they open the app, but it doesn't push a notification. Use it for social content, discussions, match reports, and non-urgent updates. Squad notifications are automatic when a coach confirms a squad — don't duplicate those with a broadcast. And never call out individual fee problems publicly — the Aging reminder handles that privately."
