Sponsors are a significant revenue stream for many community clubs. GoClubPro isn't a sponsorship CRM, but it can support your sponsorship program through its communication tools, financial recording, and club profile features. This guide covers how to manage sponsor relationships, record sponsorship income, acknowledge sponsors in club communications, and maintain consistent club branding across the platform.

The practical approach: GoClubPro handles the money side (income recording) and the communication side (acknowledgement posts). The relationship management side lives in your external tools.
SECTION 2: RECORDING SPONSORSHIP INCOME
How Sponsorship Money Works
Sponsors typically pay the club directly (bank transfer or cheque). This income needs to be recorded in GoClubPro's accounting to appear in your financial reports and AGM presentation.
Step-by-step:
- Treasurer → Accounting → Add Manual Entry
- Type: Income
- Description: "[Sponsor Name] — [Sponsorship Type] — [Season Year]"
- Example: "Northside Auto — Major Sponsor — 2026 Season"
- Example: "City Pizza — Jersey Sponsor — $500 — 2026 Season"
- Amount: The agreed sponsorship amount received
- Date: When the payment was received
- Save
Note: If sponsorship is paid in instalments (e.g., $500 in March, $500 in July), create a separate entry for each instalment.
Sponsorship Income Categories
Use consistent category descriptions so your accounting is clean at AGM time:

Recording In-Kind Sponsorship
In-kind sponsorship (goods or services instead of cash — e.g., a printing company donates jerseys worth $800) needs special handling:
Option A: Record at estimated value
- Add a Manual Income Entry: "[Sponsor] — In-Kind Sponsorship — Jerseys — Estimated Value $800"
- Add a corresponding Manual Expense Entry: "Jersey Purchase — [Supplier] — $800 (in-kind from [Sponsor])"
- These offset in your accounts, accurately reflecting the transaction
Option B: Memo only (simplest)
- Don't enter in Accounting (since no cash changed hands)
- Record in your external sponsor register: "[Sponsor] — In-Kind — $800 value jerseys — received [Date]"
- At AGM: note in-kind sponsorship separately from cash income
Check with your association or accountant for the preferred treatment. Both approaches are defensible; consistency is what matters.
Tracking Sponsorship vs. Budget
If you have a sponsorship target for the season:
- Treasurer → Accounting → create a filter for sponsorship income entries
- Compare total received to your target
- Report at each committee meeting: "Sponsorship target: $5,000. Received to date: $3,200 (64%)"
There's no automated budget vs. actual dashboard in GoClubPro — this is a manual calculation from your Accounting entries.
SECTION 3: ACKNOWLEDGING SPONSORS IN COMMUNICATIONS
Noticeboard: Sponsor Acknowledgement Posts
The Noticeboard is your primary tool for public sponsor acknowledgement within the club.
Season start acknowledgement post:
Thank You to Our 2026 Season Sponsors
[Club Name] is proud to acknowledge the generous support of our sponsors who make this season possible:

Regular Sponsor Mentions in Broadcasts
Work sponsor acknowledgements into regular communications:
"This week's results update is brought to you by our major sponsor, [Sponsor Name] — [tagline or service description]."
Frequency: Monthly in a broadcast; start of each finals series; end-of-season wrap-up. Over-acknowledgement can feel forced — a few strategic touchpoints per season is enough.
End-of-Season Sponsor Thank-You
At end of season (via Noticeboard or broadcast):
"A huge thank you to our 2026 season sponsors — we couldn't do it without you. [Sponsor Name], [Sponsor Name], and [Sponsor Name]: your support has made an enormous difference to [Club Name] this year. We look forward to working together again in 2027."
This is also a prompt to the Treasurer to follow up on any committed sponsorship instalments not yet received.
SECTION 4: CLUB BRANDING IN THE PLATFORM
Setting Up Club Identity
Settings → Club Details:
- Club name: Full official name as registered with your association
- Club logo: Upload your club logo (recommended: high-resolution PNG with transparent background, square or circular crop)
- Contact details: Public-facing admin email and phone
- Club address: Ground or postal address
Where branding appears:
- Club join link page (first thing new members and parents see)
- Email notifications (if your platform version uses club name/logo in email headers)
- Broadcasts (club name in the sender/header)

Sponsor Logos in the Platform
GoClubPro doesn't have a dedicated sponsor logo display area (e.g., a "sponsors page"). For displaying sponsor logos:
- Noticeboard posts: Attach sponsor logo as an image to your sponsor acknowledgement post
- Broadcast: Cannot embed images in all broadcast types — check your version's capability
- External: Club website, social media, and printed materials remain the primary sponsor logo display channels
If a sponsor requires digital logo placement: Explain that GoClubPro is an internal club management platform, not a public website. Sponsor logo placement on public-facing channels (website, social, jersey) is separate from GoClubPro configuration.
SECTION 5: MANAGING SPONSOR RELATIONSHIPS
The External Sponsor Register
GoClubPro doesn't replace a sponsor database. Maintain an external register (Google Sheets or similar) with:

Share this register with: Treasurer (for payment tracking), Secretary (for correspondence), Club Admin (for communication obligations).
Renewal Cycle
At end of each season:
- Review sponsor register — who sponsored this year?
- Which sponsors should be approached to renew?
- Draft renewal letter/email (external to GoClubPro)
- Send by mid-October for summer sport; mid-February for winter sport
- Record renewed sponsor income as soon as received: Treasurer → Accounting → Manual Income Entry
For new sponsors:
- First contact is external (cold outreach, referral, or inbound)
- Agreement signed externally (no contracts in GoClubPro)
- Income recorded when received
- Added to communication obligations tracker in your sponsor register
What Sponsors Actually Want
Most community sponsors want:
- Acknowledgement — their name and logo visible to members and the community
- Association with community — being seen as a local supporter
- Business from members — members patronising their business
- Relationship — the club admin who personally says "thank you" at the end of season
The platform facilitates #1 (Noticeboard, broadcasts). #2, #3, and #4 are human relationships — no platform replaces them.

TOOLTIPS & HINTS
- Season start acknowledgement post — most important single sponsor touchpoint; post within the first week
- Record income when received — don't wait until end of season; instalment tracking is clearer if entered on receipt
- In-kind requires a decision — choose Option A (value-matched entries) or Option B (memo only) and stick to it all season
- Logo upload matters — the club join link page is the first impression for new members; an outdated or missing logo looks unprofessional
- External sponsor register is essential — GoClubPro has no CRM; you need one
FAQ
Q: Can sponsors see the Noticeboard or our club's platform? A: No — GoClubPro is a members-only platform. Sponsors do not have access. Any acknowledgements on the Noticeboard are visible to current members only.
Q: Should we give sponsors a GoClubPro account to "see" the club? A: Generally no — sponsor relationships are best managed externally. A sponsor account would give them access to member data, which is inappropriate. A better approach: send sponsors a screenshot of their acknowledgement post or a brief season update email from the admin.
Q: We want to use GoClubPro to manage sponsor invoices. Can we? A: The platform isn't designed for outgoing invoices to sponsors. Sponsor invoices should be managed via your accounting software (Xero, MYOB, etc.) or a simple Word/PDF template. Record the received payment in GoClubPro once it arrives.
Q: Our sponsor paid us in goods (jerseys, equipment). How do I record this at AGM? A: Use either Option A (value-matched income + expense entries) or Option B (note in meeting minutes and external register). Disclose in-kind sponsorship separately from cash sponsorship in your AGM financial report.
