What This Guide Covers
Popular grades fill up. When more members want to join than you can field in a team, you need a waitlist — and a clear process for managing it fairly and communicating honestly with applicants. GoClubPro doesn't have a built-in waitlist module, but this guide shows how to manage waitlists using existing tools and external tracking, and how to handle the member communication around capacity limits.

SECTION 1: UNDERSTANDING YOUR CAPACITY
What Determines Team Capacity?
Team capacity is set by a combination of:

In GoClubPro: There's no automatic capacity cap. The platform will let you assign 100 players to one team if you choose. Capacity management is a policy and process decision, not a platform feature.
When to Implement a Waitlist
Consider a waitlist when:
- A specific grade or team is at its association-registered maximum
- A coach is already managing the maximum squad they can handle effectively
- Your insurance policy has explicit member count limits
- You've received more applications than you can fairly accommodate
Don't create unnecessary waitlists — they deter members and create admin overhead. Only restrict if there's a genuine capacity constraint.
SECTION 2: SETTING UP A WAITLIST
The External Waitlist Register
Since GoClubPro doesn't have a built-in waitlist, maintain a simple external register:

Waitlist principles:
- First-come, first-served by default (most defensible, fairest)
- Or: priority to returning members, then skill-based grading, then date (if committee adopts this policy)
- Whatever the policy: document it and apply it consistently
What to Do with Pending Applications
When a new member applies via your join link and you're at capacity for their grade:
Option A: Hold in Pending (simplest)
- Don't approve them yet in Admin Panel → Members → Pending
- Add them to your external waitlist register
- Send them a personalised message outside the app: "We've received your application for [Grade]. We're currently at capacity for this team — we've added you to our waitlist and will contact you as soon as a spot opens. We'll aim to confirm within [X weeks]."
Option B: Approve but don't assign to team
- Approve their application in GoClubPro (they can log in, see the platform)
- Don't assign to a team yet
- Add to external waitlist
- Message: "Welcome to [Club Name]! You're currently on the waitlist for [Grade]. We'll assign you to the team as soon as a spot opens."
Recommended: Option B — it gives the applicant a positive first experience in the platform and shows good faith. Option A risks the applicant feeling ignored.
SECTION 3: COMMUNICATING WITH WAITLISTED MEMBERS
Initial Waitlist Communication
Send within 24 hours of receiving their application:
Subject: [Club Name] — Your Registration for [Grade]
Hi [Name],
Thank you for applying to join [Club Name] this season!
[Grade] is currently at capacity, but we've added you to our waitlist. Here's what happens next:
Your waitlist position: #[X] Expected timeline: [Be honest — "We typically see 2–3 spots open before Round 3" or "We're not sure when a spot will open"]
We'll contact you personally as soon as a spot becomes available. In the meantime:
- Your GoClubPro account is active — you can log in and explore the app
- We'll keep you updated via [Noticeboard / email] if your wait time changes
Thank you for your patience. We're glad you want to be part of [Club Name].
[Admin Name]
Keeping Waitlisted Members Warm
A member who applies in February and doesn't hear anything until April will likely find another club. Keep them engaged:
Fortnightly check-in (if spot hasn't opened):
"Hi [Name] — quick update: we haven't had a spot open in [Grade] yet, but you remain #[X] on our waitlist. We'll reach out the moment something changes. Thanks for your patience!"
If the wait will be longer than the season start:
"Hi [Name], we want to be honest with you — it's unlikely a spot in [Grade] will open before Round 1. Would you like to [a) remain on the waitlist for mid-season, b) consider [Other Grade] which has availability, c) we can refer you to [Partner Club] who may have openings]?"
Giving honest options builds trust even when the news isn't what they hoped for.
When a Spot Opens
When a member leaves (transfer, injury, personal), contact the top waitlist person immediately:
Subject: [Club Name] — Spot Available in [Grade]!
Hi [Name],
Great news — a spot has opened in [Grade]. You're first on our waitlist and we'd love to have you join us.
To confirm your spot: Please reply by [Date — 48 hours] so we can process your registration.
If we don't hear from you by then, we'll contact the next person on our waitlist.
Looking forward to having you on the team!
[Admin Name]
48-hour response deadline: This prevents spots sitting unclaimed while other waitlisted members are ready to jump in.
When a Waitlisted Member Declines
When someone on the waitlist declines or doesn't respond:
- Update their status in the external register: "Declined — [Date]" or "No response — offered to next"
- Move to the next person on the waitlist
- No hard feelings — people move on; the register just reflects what happened
SECTION 4: PROCESSING A WAITLIST MEMBER ONTO THE TEAM
When a waitlisted member confirms they want the spot:
- Admin Panel → Members → find their account (they're already approved from earlier)
- Edit → Team Assignment → assign to the team
- Fee adjustment if mid-season (same considerations as Module 63 — mid-season transfers)
- Welcome message: "You're now officially in [Team Name]! Your match fees will start generating from Round [X]. Your first fixture is [Date] vs [Opponent] at [Venue]."
- Inform the coach: "[Name] is now in your squad from Round [X]."
SECTION 5: MANAGING SQUAD SIZES WITHIN TEAMS
When a Team Has Too Many Players (Registered but No Waitlist Yet)
Sometimes a team has more players than can realistically play every week — not a hard capacity breach, but more players than the coach can manage.
Options:
- Create a second team in the same grade (Module 64 — Grading & Team Restructuring)
- Establish a rotation policy (some players sit out some rounds — coach manages this)
- Grade some players down to a lower team
Communication for rotation policies:
"With [X] players registered for [Grade], we'll be rotating our squad throughout the season. Every player will be selected for the majority of rounds. Your coach will communicate selection each week via the Squad Builder."
Deregistration and Spot Management
When a registered member permanently stops playing (injury, moving away, withdrawing):
- Coach informs Admin
- Admin Panel → Members → find member → remove from team assignment
- Their account remains active but without a team
- Their pending fees: Treasurer decides based on your policy (refund registration? keep match fees to date?)
- The spot is now open — work down the waitlist

TOOLTIPS & HINTS
- Approve then hold — approving an application (without team assignment) gives a better first impression than leaving someone in "Pending" for weeks
- Honest timelines — vague promises ("you'll hear soon") are worse than honest uncertainty ("we don't know when a spot will open")
- 48-hour response window — protects the club from indefinitely holding spots; fair to all waitlisted members
- Fortnightly check-in — the single most effective action for keeping waitlisted members from finding another club
- External register is essential — no built-in waitlist means this is your only tracking tool; don't lose it
FAQ
Q: Do we have to tell applicants they're on a waitlist? A: Yes — morally and practically. A member who thinks their application is being processed and never hears back will leave and tell others the club is disorganised.
Q: How do we handle a member who was waitlisted but found another club and then we finally have a spot? A: Update their status in the register as "Moved to another club." Offer the spot to the next person. No obligation to hold spots indefinitely.
Q: A parent is pushing hard for their child to jump the waitlist. What do we do? A: Apply the policy consistently regardless of pressure. The policy (first-come, first-served or whatever your committee adopted) is your defence: "We have a waitlist policy and we apply it fairly to everyone." Document any escalation attempts.
Q: Is there a way to limit team size in GoClubPro so no one can join after capacity? A: Not currently. The capacity management is entirely manual — you control approvals and team assignments; the platform doesn't enforce limits.

SHORT ONBOARDING SCRIPT
"GoClubPro doesn't have a built-in waitlist — manage it with a Google Sheet register. When a grade is full: approve the applicant (so they can access the platform) but don't assign them to a team yet, and add them to the register with their waitlist position. Send a message within 24 hours confirming their status. Fortnight updates keep them engaged. When a spot opens, contact the top of the waitlist with a 48-hour response window. Consistent, honest communication throughout is the entire game — applicants who feel informed stay loyal; applicants who feel ignored disappear."
