Training Module 103 | Managing a Club That Runs Multiple Sports or Concurrent Winter and Summer Seasons


What This Guide Covers

Some clubs in Australia run more than one sport — a facility might host both AFL and cricket, or a community club might run netball in winter and basketball in summer. Others run a single sport but have multiple age groups or genders competing in separate associations simultaneously. This module covers how to structure GoClubPro to manage this complexity without creating confusion for members or administrators.

SECTION 1: UNDERSTANDING THE STRUCTURE

How GoClubPro Handles Multiple Sports

GoClubPro uses a Season → Team → Member hierarchy. Multiple sports are handled by creating separate seasons (or concurrent seasons) with distinct teams.

Two main patterns for multi-sport clubs:

The Combined Season Display

GoClubPro combines seasons with the same name across associations in the UI (see Memory: Combined Seasons). This means:

  • If you run AFL and Cricket and both have a season called "Season 2026", the UI may display them as a single "Season 2026"
  • To avoid confusion: give concurrent seasons distinct names — "AFL 2026" and "Cricket 2026" rather than both being "Season 2026"

Best practice for multi-sport naming:

  • Season names: "[Sport] [Year]" — e.g., "AFL 2026", "Cricket 2026-27", "Netball Winter 2026"
  • Team names: include the sport if members play in multiple — "AFL A Grade", "Cricket Open" (not just "A Grade" or "Open")

SECTION 2: SETTING UP CONCURRENT SEASONS

Creating a Second Active Season

If the club is already mid-season for one sport and wants to start a second:

  1. Admin Panel → Seasons → + New Season
  2. Name: "[Sport] [Year]" (distinct from the existing season name)
  3. Set dates, fee configuration, and competition association for the new sport
  4. Create teams for the new sport under this new season
  5. Register members for the new season (either fresh registrations or a bulk import from the previous season's members)

Both seasons will now appear in the Admin Panel. The Dashboard for members will show fixtures from all active seasons they're enrolled in.


Fee Configuration per Sport

Each season has its own fee configuration. This is essential for multi-sport clubs where different sports have different registration and match fee structures:

  • AFL Season: Rego $200, Match fee $15, Season Plan $180
  • Cricket Season: Rego $150, Match fee $12, Season Plan not offered

Settings → Fee Configuration → select the season from the dropdown before setting fees.

Common mistake: Setting fees without checking which season is selected in the dropdown. Always confirm the season name shown before saving fee values. Module 09.


Schedule Sync Integration per Sport

Different sports use different League Platform Competition IDs. If both AFL and Cricket are administered through your league platform (different national body portals):

  • AFL competitions: AFL league platform portal — different URL and credentials from Cricket your league platform
  • Cricket competitions: Cricket Australia league platform portal
  • Competition IDs change every season for both

Settings → Integrations → set the Competition ID for each season independently.

If a sport uses SportsTG instead of your league platform: Use the CSV fixture import method for that sport. Module 81.


SECTION 3: MEMBER MANAGEMENT ACROSS SPORTS

Players in Multiple Sports

A member who plays both AFL and cricket needs to be registered in both seasons:

  • They have one GoClubPro account
  • They appear in the Admin Panel for both seasons (when either season is selected from the dropdown)
  • Their profile shows career history for all sports

Registration process:

  1. Member registers for AFL season (or is added by Admin)
  2. Admin Panel → switch to Cricket season → Register existing member → find by email → assign to Cricket team
  3. Member now appears in both seasons; their profile shows both sports' history

Fees: The member owes registration fees for each season they're enrolled in. Two separate payment items appear on their Payments page.


Family Management with Multiple Sports

A family with children in different sports (one child in AFL, another in Cricket):

  • Parent links both children via Family Management (Module 14)
  • Parent's Payments page shows all outstanding fees across all sports and children
  • Parent can pay all fees in a single session

Communication Targeting with Multiple Sports

When sending Broadcasts, target by team to avoid cross-contamination:

  • AFL match update → select AFL grade teams only
  • Cricket fee reminder → select Cricket teams only
  • All-of-club announcement → send to all teams across all seasons

Mistake to avoid: Sending a "Cricket season is starting" broadcast to AFL-only members who have no interest in cricket.


SECTION 4: TREASURER MANAGEMENT FOR MULTI-SPORT CLUBS

Separating Financial Records by Sport

The Accounting module is club-wide (not season-specific). For a multi-sport club, use consistent description prefixes to separate sport finances:

At AGM, filter by "AFL" or "Cricket" to show each sport's financial performance independently.


Shared Costs Allocation

Some expenses apply to the whole club: electricity, building maintenance, insurance. These are "Club —" prefix entries. If the committee needs a per-sport P&L:

  • Allocate shared costs proportionally (e.g., by number of registered members per sport)
  • Document the allocation method in Committee Minutes (Module 79)
  • For formal financial reporting: consult your accountant on the correct allocation approach

Tracking Revenue by Sport

All Bank Transfer and wallet payments land in a single club bank account. There is no automatic per-sport separation. To track fee revenue by sport:

  • Accounting: when reconciling bank transfers, note the sport in the description — "AFL — Bank transfer reconciliation — [date]"
  • For season fee totals: Admin Panel → select the season → Payments overview shows total fees outstanding and paid for that season

SECTION 5: SCHEDULING AND SQUAD BUILDER ACROSS SPORTS

Schedule View for Multi-Sport Clubs

A member enrolled in both AFL and Cricket will see both sports' fixtures in their Schedule. The Schedule shows:

  • All fixtures for all teams the member belongs to, across all active seasons
  • Training sessions for all teams

Admin Schedule view: Shows all fixtures across all teams and seasons. Admins can filter by season or team to focus on a specific sport.


Squad Selection Across Sports

Squad Builder is season-specific. When a coach selects AFL squads, they only see AFL season members. Cricket coaches see only Cricket season members.

If a coach coaches both sports:

  • They need coaching access to teams in both seasons
  • Admin Panel → their member record → assign Coaching role to the relevant team in each season
  • They then see both sports' selection views in their Squad Builder, separated by season

SECTION 6: END OF SEASON FOR MULTI-SPORT CLUBS

Closing One Season Without Affecting the Other

If AFL season ends while Cricket is still active:

  • End-of-Season steps (Module 19): mark AFL season as completed
  • This removes AFL fixtures from the active schedule but does not affect Cricket season
  • AFL members who also play Cricket remain enrolled in the Cricket season

Do not archive the AFL season's members if they're still active in Cricket — archiving is per-member, not per-sport. A member is either Active (club member) or Archived (former club member). Their season registrations reflect which sports they played.


Annual Planning for Multi-Sport Clubs

Multi-sport clubs benefit especially from the Annual Planning Calendar (Module 74). Key multi-sport planning tasks:

Map these overlaps and assign responsibilities explicitly — ideally the AFL and Cricket subcommittees operate independently with a shared Treasurer.

FAQ

Q: Can we have completely separate bank accounts for AFL and Cricket so finances don't mix? A: GoClubPro reconciles against whichever bank account the club uses — it doesn't enforce one account per club. If your committee genuinely wants separate accounts per sport, the Treasurer would reconcile each season against the matching account manually. Most clubs find Accounting description prefixes and season-level payment reports simpler than running separate bank accounts.

Q: One of our members plays AFL but refuses to register for Cricket. Can we still manage them? A: Yes. They register for AFL season only and appear in AFL teams. If they later want to play Cricket, they register for the Cricket season separately. There's no requirement that a member be enrolled in all sports.

Q: We run three sports. Is there a limit on concurrent active seasons? A: There is no documented hard limit on concurrent active seasons. Practically, three active seasons are manageable if named distinctly. Beyond three, the Admin Panel and Dashboard can become crowded — filter by season frequently to stay oriented.

Q: Our junior players play both AFL and Cricket but their parents only want to receive one invoice, not two separate fee items. A: The Payments page shows all fees across all seasons in a single view, and the parent can use "Pay All Outstanding" to declare a single Bank Transfer covering both. They'll see two separate line items (AFL registration + Cricket registration) but only one declaration to make and one Treasurer verification to wait on.
