Every club should maintain a Club History Google Doc that is updated annually. Structure:

Retrospective Research

If your club doesn't have a history document, start building one now:

  1. Association records: Most associations hold competition history going back decades — contact your association registrar
  2. Local newspapers: Local paper archives (State Library digital archives or trove.nla.gov.au) often have club results going back 50+ years
  3. Long-serving members: Interview members who have been with the club for 20+ years
  4. Photo albums: Old club photo albums often have captions with years and names
  5. Trophy cabinet: Trophies typically have the year and winner engraved

SECTION 3: USING GOCLUBPRO DATA FOR HISTORY

Extracting Historical Data From the Platform

GoClubPro's data can supplement the club history document:

Member tenure: Admin Panel → Members → sort by join date to identify longest-serving members. This data is useful for anniversary acknowledgements.

Appearance records: If the platform tracks individual match appearances (via squad/selection records), this data can be used to identify appearance milestones (50 games, 100 games). Export annually.

Results history: Schedule → historical seasons → results. Export or screenshot before each season rolls over.

Financial milestones: Accounting export shows year-on-year fee income growth — useful for an anniversary report showing how the club has grown.


Noticeboard for History and Nostalgia

The Noticeboard is a powerful vehicle for sharing club history with current members:

Anniversary year content: If the club is celebrating a major anniversary (25th, 50th, 100th year):

  • Monthly history post throughout the anniversary year
  • "Then vs. Now" comparisons
  • Profile the founding members (if any are still alive/involved)
  • Commission a written club history booklet

SECTION 4: THE HONOUR BOARD

Physical vs. Digital Honour Board

Physical honour board: A traditional painted/engraved board in the club rooms listing Best & Fairest, Club Champion, and other major award winners by year. Requires annual updating (a professional sign writer or engraver).

Digital honour board: A Google Doc or club website page listing the same information — easier to update, accessible to all members, searchable.

Both: Most established clubs maintain both — the physical board is the visible centrepiece of the club rooms; the digital version ensures the information is preserved if the building is damaged or demolished.


Recording Award Winners in GoClubPro

The platform has no built-in awards module, but the Notes field on member profiles serves as a record:

Admin Panel → Members → find the award winner → Notes field:

"Best & Fairest — [Year]; Club Champion — [Year]; Life Member — [Year]"

This creates a searchable record within the platform. When a new admin searches for a long-serving member, their awards history appears in the Notes.


SECTION 5: ANNIVERSARY PLANNING

Using GoClubPro for Anniversary Events

When a significant anniversary approaches:

Noticeboard campaign (12 months out):

  • Monthly history post counting down to the anniversary
  • Calls for photos, memories, and stories from long-serving members

Event coordination:

  • Schedule → Add Event: "Anniversary Dinner / Gala Day / Reunion"
  • Noticeboard: announcement, RSVP details, ticket information

FAQ

Q: We have no records before 2015 when the club switched platforms. How do we recover older history? A: Try (1) the association — they hold competition records; (2) trove.nla.gov.au for local newspaper archives; (3) long-serving members who may have personal records, photos, or scorebooks; (4) local council library — local history collections sometimes hold community club records.

Q: A life member has passed away. How do we handle their record in the platform? A: Update their Notes field: "Life Member — [Year conferred] — Deceased [Year]". Leave the account in the system (their payment history is part of club records). Post a Noticeboard tribute acknowledging their contribution to the club. Ensure their name remains on the physical honour board and in the Club History Document.

Q: Our club is turning 50 this year. What's the best way to prepare? A: Start 12 months out: (1) compile the Club History Document with all available records; (2) begin Noticeboard history campaign (monthly posts); (3) source photos from archives and long-serving members; (4) book venue for anniversary event; (5) commission a history booklet (allow 3–4 months for writing and printing); (6) contact former members via any available list for the event invitation.

SHORT ONBOARDING SCRIPT

"Club history lives in two places: the platform (current season, last 7 years of financial records) and the Club History Document (everything longer-term). Update the history document annually at the AGM — it takes 20 minutes then but weeks to reconstruct later. Record award winners in both the history document and the member's platform Notes field. Maintain both physical and digital honour boards — the physical can be destroyed, the digital survives. Use the Noticeboard for throwback posts and milestone acknowledgements — they build the sense of belonging that keeps members coming back.
