Training Module 93 | Setting Up Club Colours, Logo, and Member-Facing Appearance


What This Guide Covers

GoClubPro allows clubs to personalise the platform with their own branding — club name, logo, colours, and contact details. When members log in, they see a platform that feels like their club, not a generic sports management tool. This guide covers every branding and customisation setting available in GoClubPro and how to configure them effectively.

Primary audience: Club Admins When to do this: During initial setup (Module 52 — First 30 Days) and whenever the club rebrands


SECTION 1: BRANDING SETTINGS LOCATION

Where to Find Customisation Settings

All club branding settings are in:

Settings → Club Details / Club Profile

This section contains:

  • Club name (displayed throughout the platform)
  • Club logo (appears in header, emails, and member-facing views)
  • Club colours (primary and secondary — used for UI accents)
  • Club contact details (phone, email, website)
  • Club description or bio (optional — shown on public-facing club profile)
  • Social media links (optional)

SECTION 2: CLUB NAME

Setting Your Club Name

Settings → Club Details → Club Name

What it affects:

  • Displayed in the platform header
  • Included in automated emails ("You've been invited to join [Club Name]")
  • Shown on member registration pages
  • Displayed on squad confirmations and notifications

Best practice:

  • Use your club's official registered name (not an abbreviated version)
  • If you have a long name, check how it looks on mobile — it may truncate
  • Example: "Northside Thunder Football Club" (not "NTFC" or "Thunder")

SECTION 3: CLUB LOGO

Uploading Your Logo

Settings → Club Details → Club Logo → Upload

File requirements (typical):

  • Format: PNG or JPG (PNG preferred for logos with transparency)
  • Minimum size: 200×200px (square logos work best)
  • Maximum file size: usually 2MB
  • Background: transparent background (PNG) works best for most platform themes

Where the logo appears:

  • Top-left of the platform header (all screens)
  • Member invitation and welcome emails
  • Member-facing club profile / public join page

If you don't have a logo file: Contact your club's founding members, check your Facebook page (download the profile image), or contact your supplier if you've had embroidered uniforms made — they'll have the artwork.

SECTION 4: CLUB COLOURS

Setting Primary and Secondary Colours

Settings → Club Details → Club Colours → Primary Colour / Secondary Colour

Input format: Hex colour code (e.g., #1A3A6B for dark blue, #FFD700 for gold)

If you don't know your club's hex codes:

  • Check your club's existing social media assets (Canva files, branded PDFs)
  • Use a colour picker browser extension to sample from your logo
  • Ask your graphic designer or jersey supplier — they'll have the exact codes

What colours affect:

  • Button colours and UI accent elements
  • Headers and highlights in member-facing views
  • Email accent colours in automated notifications

SECTION 5: CLUB CONTACT DETAILS

What to Enter

Settings → Club Details → Contact Information

Why this matters: These details appear in automated emails to members and on the public join page. A personal mobile number or home address appearing in these places is inappropriate and a privacy risk.


SECTION 6: PUBLIC-FACING CLUB PROFILE

The Join Page

When a prospective member follows your club's join link, they see a public-facing page with:

  • Club name and logo
  • Club description (if entered)
  • Available grades/teams
  • Registration call to action

Club description (Settings → Club Details → Description): Keep it short and welcoming:

"[Club Name] is a community sporting club in [suburb/area], competing in the [competition/association] [code] competition. We welcome players of all ages and abilities. Whether you're returning to the game or joining for the first time, you'll find a friendly and supportive community here."


Social Media Links

Settings → Club Details → Social Links (if available)

Add your Facebook page URL and Instagram handle. These may appear on the public club profile page as links for prospective members to find out more about the club before joining.


SECTION 7: SEASON AND COMPETITION DISPLAY NAMES

How Seasons Are Displayed

When you create a season (Module 20), the name you give it appears throughout the platform in member-facing views:

  • Good: "Winter 2027 — Northside Juniors" or "Season 2027 — AFL"
  • Avoid: "S27" or "Test Season" or "Season 1" (these are confusing for members)

Update your season name if needed: Admin Panel → Seasons → find the season → Edit → Name


Team Names

Team names are member-facing — they appear on squad confirmations, the Schedule, and in the Dashboard.

Best practice:

  • Use grade names that match what members know: "A Grade", "B Grade", "Under 14 Boys"
  • Include the competition name if you have multiple competitions: "A Grade — Saturday", "A Grade — Midweek"
  • Avoid internal codes that members won't understand: "T1", "GrpA-M"

TOOLTIPS & HINTS

  • PNG with transparency — the logo will sit cleanly on any background without a white box
  • Hex codes from your logo file — if you have the original Illustrator or Canva file, the exact colours are embedded there
  • Club email, not personal — contact details on the platform reach prospective members; a personal email or mobile creates inappropriate personal contact
  • Season names matter — "Winter 2027" is self-explanatory; "S1" is confusing six months later
  • Check on mobile — after updating branding, check how it looks on a phone; most members access GoClubPro on mobile

FAQ

Q: Our logo is only available as a JPG with a white background. What do we do? A: Upload the JPG — it will work, but may look less polished if the platform background isn't white. For a better result: take the JPG to a designer or use an online background-removal tool (remove.bg is free for basic use) to create a transparent PNG. Even a basic vector recreation in Canva can produce a clean PNG.

Q: We don't know our club's official hex colour codes. Can we just pick something similar? A: For getting started: yes. Use a colour picker tool to sample from your logo or jersey. For official accuracy: ask your jersey supplier (they use Pantone codes which can be converted to hex) or check if your state sport body has a club identity guide for your competition.

Q: We've just rebranded — new name, new logo, new colours. What do we need to update? A: Settings → Club Details: update name, logo, and colours. Also update: your club email address (if it includes the old name), your public join link (may change if the club name slug changes — check with support), your social media bios, and your club website. Broadcast to members explaining the rebrand.

Q: Can individual teams have different branding within the same club? A: Generally no — branding is club-wide in GoClubPro. All teams under the same club share the same logo and colours. If you have genuinely separate sub-clubs (e.g., separate incorporated entities running men's and women's competitions), they would need separate GoClubPro accounts.

SHORT ONBOARDING SCRIPT

"Branding setup is in Settings → Club Details. Upload your logo (PNG with transparent background is best), enter your hex colour codes for primary and secondary colours, and add your club email and phone — use club-owned contact details, not a personal number. Write a short 2–3 sentence club description for the public join page. Check everything looks right on mobile. Review contact details at every committee handover — an outgoing admin's phone number in the settings is a common discovery a year later. Season and team names are member-facing too — make them descriptive and match what members already call the grades."
