Training Module 67 | Managing Locations, Venue Details, and Fixture Addresses


What This Guide Covers

Every fixture needs a location. Whether your club plays at one home ground, rotates across multiple venues, or regularly travels to away grounds, accurate venue information in GoClubPro ensures members always know where to go. This guide covers how venue data flows into fixtures, how to manage multi-venue clubs, and how to handle venue changes mid-season.

SECTION 1: HOW VENUES APPEAR IN GOCLUBPRO

Where Venue Data Lives

Venue information in GoClubPro is attached to individual fixtures — not maintained as a separate venue database. When you create or import a fixture, you enter the venue name and address for that specific fixture.

This means:

  • Each fixture can have its own venue (important for away games)
  • There's no separate "Venues" tab to manage centrally
  • If you play every home game at the same ground, you enter that venue name on every home fixture (or it comes through from schedule sync)

What Members See

When a member taps a fixture in the Schedule, they see:

  • Date and time
  • Opponent
  • Venue name
  • Address (if entered)
  • Any directions or notes (if added to the fixture description)

A fixture with no address leaves members guessing — especially new members and parents who don't know the area. Always enter a full address.


SECTION 2: SETTING VENUE DETAILS ON FIXTURES

Adding Venue to a Manual Fixture

  1. Admin Panel → Schedule → Add Fixture (or Edit an existing fixture)
  2. Venue name: Full name (e.g., "Princes Park — Ground 2" not just "Princes Park")
  3. Address: Full street address including suburb and postcode
  4. Add parking/access info in the fixture description field:

"Parking: Enter from Smith St. Ground 2 is through the main gates, turn left. Public toilets near the scoreboard."

  1. Save

Pro tip: Be specific about ground/field number. Large sporting complexes (council reserves, school grounds) may have 4+ fields. "Princes Park" is useless; "Princes Park — Field 3 (near the car park entrance on Smith St)" is helpful.


Venue Data from schedule sync

If your fixtures come through Schedule Sync Integration:

  • Venue names typically sync from your league platform's fixture data
  • Address data may or may not sync depending on the sport/association setup
  • After every sync: check the first 3–4 fixtures for venue accuracy
  • For any fixture missing an address: edit manually and add

Away venues from your league platform: The opposing club's ground details should come through. If they don't, or if they're wrong, edit the fixture manually with the correct venue.


SECTION 3: MULTI-VENUE CLUBS

Clubs That Play at Multiple Home Grounds

Some clubs use more than one home ground — different grades at different venues, or a rotating home ground schedule.

Setup approach:

  • Add each fixture with its specific venue at time of creation
  • For imported fixtures: verify each grade's venue is correct after import
  • If Grade A plays at Ground 1 and Grade B plays at Ground 2 every week: this distinction must be entered per-fixture (GoClubPro doesn't have a "default venue per competition" setting)

Efficiency tip: If your CSV import includes the correct venue per fixture, the venue data will come through without manual editing. Always include the venue column in your CSV before importing.


Away Games at Multiple Venues

For each away game, the opponent's venue must be entered. Sources:

  1. schedule sync: Usually brings through the home club's ground
  2. CSV from association: Should include venue column
  3. Manual: Look up the venue from your association's fixture list or the opposing club's website

Maintaining an away venue cheat sheet: Keep a Google Sheet with all opposing clubs' ground names and addresses for the season. When importing or adding fixtures, refer to this sheet. Update it at the start of each season when clubs change grounds.


SECTION 4: VENUE CHANGES MID-SEASON

When a Fixture Venue Changes

Ground closures, public events, and field maintenance can force late venue changes. When this happens:

Immediate steps:

  1. Admin Panel → Schedule → find the affected fixture → Edit
  2. Update the venue name and address to the new location
  3. Update the fixture description with: "VENUE CHANGE: This game has moved to [New Venue], [Address]. Check your app for directions."
  4. Save

Communication: The venue change in the Schedule updates immediately — but members who already checked the fixture may not re-check it. Send a Broadcast:

VENUE CHANGE — Round [X] [Grade]

This Saturday's game has moved. New venue:

[New Venue Name] [Full address]

The Schedule has been updated. Confirm via the app before you travel.

Apologies for any inconvenience — this was outside our control.

Send this broadcast as soon as the change is confirmed — members may be making travel plans days in advance.


Short-Notice Venue Changes (Day-of)

If a venue change happens morning-of (ground flooding, emergency closure):

  1. Update the fixture in GoClubPro immediately
  2. Send a Broadcast (push notification for fastest delivery)
  3. Contact coaches directly (phone) — don't rely solely on the app for same-day critical changes
  4. Coaches contact their players directly

Backup channel: Always have an out-of-app contact method (club WhatsApp group, phone tree) for same-day emergencies. Not all members have push notifications enabled.


SECTION 5: DIRECTIONS AND ACCESS NOTES

What to Include in Venue Descriptions

For any venue that could be confusing — large parks, school grounds, venues with tricky access:

GPS note: Search "[Landmark near entrance]" for most accurate directions

Public transport: [Nearest stop if relevant]

Add this to the fixture description for new venue entries or venues members frequently get wrong.


Venue Accessibility Notes

For members with accessibility needs (Module 46):

  • Wheelchair access: note if the path from parking to the ground is accessible
  • Toilet facilities: note if accessible toilets are available
  • Parking: note if accessible parking spots are near the entry

When in doubt: add a contact name for members to call if they need specific access information.

TOOLTIPS & HINTS

  • Ground number matters — "Princes Park Field 3" beats "Princes Park" for members who've never been there
  • Full address every time — even if 90% of members know the ground, the 10% who don't will thank you
  • Venue change = Broadcast + fixture edit — do both; don't assume members will re-check
  • Day-of changes: phone the coach — app push is fast but not instantaneous; critical same-day changes need a phone call
  • Away venue cheat sheet — maintain this in Google Sheets; refer to it at each round of fixture import

FAQ

Q: Can I set a default venue for our home games so I don't have to enter it every time? A: GoClubPro doesn't have a default venue setting. For your league platform-synced fixtures, the venue comes through automatically. For manual fixtures, copy-paste the venue details from a previous fixture or batch-add them at season start.

Q: A member says they can't find the ground. What should I do? A: First: check that the address in the fixture is correct and complete. Second: add a description with more specific directions. Third: for recurring confusion at a particular ground, add a Google Maps link or landmark reference in the description.

Q: We're playing a final at a neutral ground we've never used. How do we add it? A: Same as any manual fixture: Admin Panel → Schedule → Add Fixture (or edit the existing one if it's already in the schedule) → update venue to the neutral ground's name and full address → Broadcast to all members.

Q: Can members add their own venue notes or flag incorrect addresses? A: No — only Admins can edit fixtures. If a member spots an error: they contact the admin who fixes it. Encourage members to flag venue errors early — a wrong address discovered on match day is a much bigger problem.
