What This Guide Covers
This glossary defines every term used in GoClubPro — from platform-specific concepts to sporting and financial terms that appear throughout the training library. Use it as a reference when a term is unclear, or as an onboarding resource for new committee members who need to understand the language of the platform quickly.

A
Accounting (module) The financial ledger inside GoClubPro where the Treasurer records all income and expenses. Supports manual entry, Expense Claims, automatic wallet-credit application, and reconciliation of declared Bank Transfer payments. See Module 07.
Admin Panel The club administration interface accessible only to Club Admins and Co-Admins. Contains member management, season setup, team management, and integration settings. See Module 06.
Aging / Aging Report A report showing all members with outstanding (overdue) fee balances, sorted by how long the debt has been outstanding. Used by Treasurers to chase unpaid fees. See Module 07.
Association Admin A user role with oversight across multiple clubs within an association. Can issue bills to clubs, view cross-club financial data, and manage competition health. See Module 16.
Association levy / affiliation fee Money paid by the club to its governing association — covers player insurance (in most codes), competition entry, and affiliation. Collected by the association, not by GoClubPro. See Module 81.
Availability A member's stated ability to attend a fixture. Members indicate availability via the app; coaches use this to inform squad selection. Separate from a confirmed RSVP.
B
Blockout A period marked on a member's profile when they are unavailable for selection (e.g., holidays, work commitments). Coaches see blockouts in the Squad Builder. See Module 08.
Broadcast A push notification and/or email sent from Club Admins or Coaches to all members (or a team subset). Used for time-sensitive announcements. See Module 40.
BSB Bank State Branch — the 6-digit code identifying an Australian bank branch. Required alongside an account number for bank transfers. Appears in club Accounting for direct payment details.
C
Certificate of Currency A document from an insurer confirming that an insurance policy is active. Required by many venues before a club can use their grounds. See Module 83.
Clearance A formal process in an association's portal allowing a player to transfer from one club to another. Must be completed before a player can represent the new club. See Module 63.
Club Admin The primary administrator role in GoClubPro. Can manage all club settings, members, fees, seasons, and integrations. Every club needs at least one; best practice is two. See Module 06.
Co-Admin A secondary administrator with most (or all) Club Admin permissions. Used to ensure there is always more than one person who can administer the platform. See Module 49.
Competition ID A code from your league platform that identifies a specific competition (grade/division) in a specific season. Must be entered in GoClubPro Settings to sync fixtures from your league platform. Changes every season. See Modules 25, 97.
Context switcher A dropdown or toggle in the GoClubPro interface allowing users who belong to multiple clubs or hold multiple roles to switch between them without logging out. See Module 24.
D
Dashboard The home screen of GoClubPro, personalised to the user's role. Shows upcoming fixtures, recent notifications, outstanding fees, and role-specific quick links. See Module 02.
E
Expense Claim A request submitted by a member to be reimbursed for a club-related expense they paid personally. Requires Treasurer approval. The Expense Claims module must be enabled in Settings. See Module 12.
F
Fantasy League An optional module where members select virtual teams of players and score points based on real match performance. Drives engagement and encourages members to follow all grades. Must be enabled in Settings. See Modules 13, 54.
Fee configuration The settings where Club Admins and Treasurers set the dollar amounts for match fees, registration fees, and Season Plans. Located in Settings → Fee Configuration. See Module 09.
Fine / Fines System An optional, lighthearted module where members submit and vote on humorous fines against each other. Fines are small dollar amounts collected for club fun activities. Must be enabled. See Modules 11, 53.
Fixture A scheduled match — includes date, time, venue, home team, and away team. Fixtures populate the Schedule and trigger squad selection and RSVP workflows.
Float The starting cash in a canteen or event till, used to make change. The float is subtracted from gross cash before recording net income in Accounting. See Module 88.
G
Grade A competition division within a club's structure — e.g., A Grade, B Grade, Under 14 Boys. Each grade typically corresponds to a team in GoClubPro.
GST (Goods and Services Tax) A 10% Australian tax on most goods and services. Community sporting clubs under certain revenue thresholds are not required to register for GST. Consult an accountant if unsure. See Module 88.
H
Hardship waiver A fee reduction or write-off granted by the club committee to a member experiencing financial difficulty. Recorded in Accounting as an expense. See Module 68.
Hex code
A 6-character code (e.g., #1A3A6B) representing a specific colour. Used in GoClubPro branding settings to set club colours. See Module 93.
I
Income (Accounting) Money received by the club — fees, canteen, fundraising, grants, sponsorship. Recorded as income entries in Accounting. See Module 07.
Injury report A record of a member's injury, logged in their profile. Used to track fitness, return-to-play status, and as evidence for insurance claims. See Modules 41, 83.
Integration A connection between GoClubPro and an external system (e.g., your league platform, Resend). Integrations allow data to flow automatically between platforms. See Module 97.
J
Join link A unique URL that allows a new member to register with a specific club in GoClubPro. Generated in the Admin Panel and shared via social media, email, or website. See Module 01.
L
Ledger The full list of all Accounting entries (income and expenses) for a club. Accessible via Treasurer → Accounting. See Module 07.
Life member A member awarded permanent honorary membership of the club for exceptional long-term service. Typically fee-exempt. Recorded in the Admin Panel Notes field. See Modules 80, 95.
M
Match fee A per-game fee charged to players for each match they are selected to play. Separate from the registration fee. Can be set differently per grade. See Module 04.
MFA (Multi-Factor Authentication) A security feature requiring a second verification step (app code) in addition to a password when logging in. Strongly recommended for all Club Admins and Treasurers. See Module 15.
Module (feature gate) Some GoClubPro features (Fines, Expense Claims, Fantasy League, Noticeboard) are optional and must be enabled in Settings → Features before they appear. See Module 09.
N
Natural justice The principle that a person must be informed of allegations against them and given an opportunity to respond before any penalty is imposed. Required before any disciplinary action in GoClubPro. See Modules 76, 80.
Noticeboard A social feed within GoClubPro where admins, coaches, and members can post announcements, updates, photos, and discussions. Must be enabled in Settings. See Module 10.
No-pay-no-play A club policy where members with outstanding fees are not selected for matches until payment is made or a plan is in place. Enforced manually by the coach/admin. See Module 42.
P
Permit player A player registered with one club who is permitted by the association to play for another club for a specified period (e.g., injury cover). Separate from a clearance. See Module 63.
your league platform The Australian national sporting registration and competition management platform used by AFL, Cricket Australia, Football Australia, Netball Australia, and others. Integrates with GoClubPro for fixture sync. See Module 25.
PWA (Progressive Web App) A version of GoClubPro that can be installed on a smartphone like a native app, without going through the App Store or Google Play. Enables push notifications and a full-screen experience. See Module 22.
R
Registration fee A one-off fee charged at the start of the season to cover a player's club registration, insurance levy contribution, and administrative costs. Separate from per-game match fees. See Module 04.
Resend The transactional email service used by GoClubPro to deliver platform emails (invitations, confirmations, reminders). See Module 97.
RSVP A member's confirmation of attendance for a specific fixture. Made through the Squad Builder or Schedule interface. Coaches use RSVPs to plan team selection. See Modules 03, 05.
S
Schedule The fixture and event calendar within GoClubPro. Displays all matches, training sessions, and club events. Members view their own team's schedule; Admins see all. See Module 03.
Season A defined period of competition set up in GoClubPro. All fees, teams, and fixtures are associated with a season. Must be created before members can be assigned to teams. See Module 20.
Season Plan An optional payment product where a player pays a single upfront amount to cover all their match fees for the season. Has a cutoff round after which the discount is no longer available. See Modules 04, 44.
Selection Board See Squad Builder.
SportsTG A legacy Australian sporting association management platform used by some codes and state associations. Not directly integrated with GoClubPro — fixtures imported via CSV. See Module 81.
Squad Builder The coach-facing interface for selecting teams, viewing RSVPs and availability, managing blockouts, and confirming squads for upcoming fixtures. See Module 05.
Squad confirmation A notification sent to selected players confirming they are in the squad for an upcoming match. Sent via Broadcast or automatically through the squad confirmation workflow. See Module 05.
Stripe Not used by GoClubPro. The platform has no card-payment processor — all fees are paid via member-declared Bank Transfer (Treasurer-verified) or wallet credit. Any reference to Stripe, "Pay Now," or hosted checkout elsewhere is outdated.
Platform Admin The highest-level administrative role in GoClubPro, with access to Central Command — the platform-wide management interface for all clubs and associations. Typically reserved for platform operators. See Module 17.
T
Team A group of players assigned to compete in a specific grade within a season. Teams are assigned to players in the Admin Panel and appear in the Squad Builder. See Module 20.
Treasurer A GoClubPro role with access to the Accounting module, Aging reports, Expense Claims approvals, and Bank Transfer reconciliation. See Module 07.
Trial balance A financial statement listing all Accounting entries to verify that total debits equal total credits. Accessible via the Treasurer's Accounting view. See Module 07.
W
WWCC (Working With Children Check) A state-issued credential required for adults working with children in many Australian states. Coaches and team managers typically must hold a current WWCC. See Module 71.
Write-off A committee decision to remove an outstanding debt from the Aging report because it is uncollectable. Recorded as an Expense entry in Accounting. See Modules 07, 92.
