Referees and umpires occupy an unusual position in club management: they may be club members, association-allocated officials, or independent contractors. This guide covers how to manage officials within GoClubPro — their accounts, fee handling, communication, and scheduling — across the different ways they might engage with your club.

SECTION 1: HOW OFFICIALS FIT INTO GOCLUBPRO
Three Types of Officials and How to Handle Each

Key distinction: GoClubPro is a club management tool, not an officiating platform. If your association centrally manages and pays referees, that happens outside GoClubPro. This guide focuses on club-side officiating scenarios.
When Your Club is Responsible for Officials
Your club manages officials when:
- Your club pays umpire fees directly (e.g., local Saturday sport where the home club pays the umpires)
- You have club members who also serve as umpires for other grades
- Your association requires you to supply umpires for certain grades
When your association centrally manages officials, your club's role is limited to:
- Confirming match details are correct (ground, time)
- Providing ground access or facilities
- Any club-side payment if required by your association's structure
SECTION 2: ADDING OFFICIALS TO YOUR CLUB
Scenario: Club Member Who Also Umpires
Some clubs have senior members who officiate at junior grades. This is common in cricket (senior player umpires junior match), netball (senior player umpires lower grades), and AFL.
Setup:
- The umpire already has a GoClubPro account as a player
- Admin Panel → Members → find their profile → assign Coach role (in addition to their Player role)
- This gives them visibility of squad rosters and match details for the fixtures they'll officiate
- They won't receive match fees as a player when they're umpiring — this must be handled manually
Scenario: Club Umpire (Not a Playing Member)
If you have someone who only umpires and doesn't play:
- Admin Panel → Members & Roles → Invite Member
- Send the join link
- When they join: assign role as Coach (most access-appropriate; they need to see match details)
- Do NOT assign to a playing team — they're not a player
- Assign them to the fixtures they're officiating (if your platform supports per-fixture official assignments)
Scenario: Junior Umpire Development Program
Many clubs run junior umpire programs where younger members learn to officiate:
- Junior joins as a Player member (standard)
- When they start umpiring: note their officiating duties in their profile or via a Noticeboard post
- If they're paid a small fee for officiating: treat as an expense claim or manual payment (see Section 4)
- No special platform role needed — they remain in the Player role
SECTION 3: SCHEDULING OFFICIALS
Linking Officials to Fixtures
GoClubPro's fixture system is primarily built for teams (player squads), not for assigning officials. Options for tracking umpire assignments:
Option A: Notes in fixture description When creating or editing a fixture:
- Add to the fixture description: "Umpire: [Name]" or "Officials: Association-allocated"
- Visible to any admin viewing the fixture detail
Option B: Noticeboard post for umpire schedule Post a weekly or fortnightly umpire schedule on the Noticeboard:
"Umpire Roster — Rounds 5 & 6
Round 5 (7 July):
- A Grade vs Northside: Association-allocated
- U18: [Member Name]
- U16: [Member Name]
Round 6 (14 July): [...]
Umpires: your squad confirmation will come separately. Contact [Admin] if you have a conflict."
Option C: External scheduling tool + link in Noticeboard If your club has a complex umpire roster (e.g., association-level umpire coordination), maintain it in Google Sheets or a dedicated tool and post the link in Noticeboard each week.
Notifying Officials of Their Assignment
Via the app (if the official is a club member):
- If they're on GoClubPro: post the Noticeboard umpire roster and they'll see it
- Direct message via their member profile (if supported) for individual confirmations
- If they have a Coach role: they can see fixture details themselves
Via external communication (if not a club member):
- Email or phone — GoClubPro doesn't reach non-members
- Your association may have its own officiating communication system
SECTION 4: MANAGING OFFICIAL PAYMENTS
When Your Club Pays Umpires Directly
This is most common in community sport where the home club pays match officials.
Tracking the obligation:
- Treasurer → Accounting → Add Manual Entry
- Description: "Umpire fee — [Opponent] vs [Your Team] — Round [X]"
- Amount: the umpire fee (e.g., $30 per umpire × 2 umpires = $60)
- Type: Expense
- Note in ledger: which umpires were paid, how (cash/transfer)
If the umpire is a club member being paid via the app:
- Treasurer → Accounting → find the umpire's member record
- This scenario is unusual — most clubs pay umpires cash or bank transfer on the day
- For bank transfer: manual ledger entry as above; transfer from club account externally
Cash payment on the day: The most common approach. The appointed person (Team Manager, Coach) carries the umpire fee cash and pays on the day.
Tracking cash payments:
- Treasurer: record each payment in Accounting as an Expense (see above)
- Monthly reconciliation: these should match the club's bank withdrawals for umpire cash
Umpire Fee Structure
Umpire fees vary by sport, level, and association. Typical ranges (community sport):

Where to find your club's actual rates: Check your association's umpire payment schedule or contact your association admin.
Budgeting for umpire fees: A club with 6 grades × 20 rounds × $40/umpire × 1 umpire/match = $4,800/season just in umpire costs. Include this in your annual budget planning.
Claiming Umpire Fees Back from the Association
Some associations subsidise or fully cover umpire fees. Process:
- Keep records of all umpire payments (Accounting entries in GoClubPro)
- At the end of each month or round: export your accounting records (Treasurer → Export)
- Submit your umpire payment claim to the association per their process
- When the association reimburses: record the income in Accounting
SECTION 5: ASSOCIATION-SIDE OFFICIATING (ASSOCIATION ADMINS)
If you're an Association Admin and your association centrally manages officials:
Managing Umpire Panels at Association Level
GoClubPro's Association Admin panel provides oversight of clubs, competitions, and financial positions. For officiating at this level:
- Umpire panel members: May or may not have GoClubPro accounts depending on your association's setup
- Assignment communication: Typically done via association-level tools or email, not through club accounts
- Fee processing: Association-level payments processed via the association's financial setup, not via individual club accounts

SECTION 6: COMMON OFFICIATING SCENARIOS
Scenario: Club Member Refuses to Umpire Their Rostered Grade
Policy matter, not a platform matter. Document the policy in your club constitution and announce via Noticeboard. The platform records whatever actually happens — if a different umpire covers, update your records accordingly.
Scenario: Umpire No-Shows; Match Delayed
- Coach or Team Manager contacts association on the day
- If match proceeds with a club-supplied emergency umpire: pay them on the day (standard cash payment)
- Record in Accounting as an emergency umpire expense with a note
- Report to the association for potential reimbursement
Scenario: Umpire Fee Dispute (Club Claims Wrong Amount Paid)
- Pull the Accounting records for the relevant round
- Check the association's official umpire fee schedule for that grade
- If underpaid: pay the difference; record the correction in Accounting
- If overpaid: record the overpayment as a credit; deduct from next round's payment
Scenario: Junior Member Who Umpires Wants to be Paid via the App
- They're already a club member (Player role)
- Treasurer: record their payment as a manual Accounting entry (Expense — "Junior umpire fee [Name] Round [X]")
- Pay via bank transfer from club account
- Or: pay cash on the day and mark as paid in Accounting

TOOLTIPS & HINTS
- Officials are usually not in your platform — unless they're also playing members, most match officials exist outside GoClubPro
- Umpire fees are expenses — record in Accounting as club expenses, not as member payments
- Cash is most common — community sport umpires are usually paid cash on the day; reconcile in Accounting weekly
- Budget umpire fees annually — they're a significant and predictable cost; include in AGM financial presentation
- Check your association's umpire schedule — rates change; verify at season start
FAQ
Q: Can I set up a specific "Umpire" role in GoClubPro? A: There's no dedicated Umpire role. For club-member umpires, the Coach role provides the most appropriate access. For external umpires, no account is needed.
Q: Our association requires we supply umpires. How do I manage the umpire roster? A: A Noticeboard post per fortnight listing the umpire assignments is the simplest approach. For large-scale rostering, use Google Sheets and post the link.
Q: An umpire made a costly error and the opposing club wants compensation. Does this go in GoClubPro? A: No — disputes about officiating decisions are handled through your association's formal protest/dispute process. GoClubPro records financial transactions, not officiating decisions.
Q: We're an association that wants to manage all our umpires centrally. Can GoClubPro handle this? A: GoClubPro has Association Admin tools for cross-club management.
