About This Guide

GoClubPro is sport-agnostic, but cricket clubs have specific needs that affect how you configure the app. This guide covers setup decisions, terminology mappings, and cricket-specific workflows.

Primary audience: Cricket Club Admins, Treasurers Applies to: Junior and senior cricket clubs using your league platform (Cricket Australia)

CRICKET-SPECIFIC SETUP: COMPETITIONS

Typical structure for a multi-grade club:

Important: Create one Competition AND one Team per XI. Don't create a Competition called "Juniors" and put multiple age groups under it — the fee configuration works at the Competition level, so merging grades loses fee granularity.


CRICKET-SPECIFIC FEE CONFIGURATION

Registration Fees

Cricket registration fees typically include:

  • Playing fees (to club)
  • Association levies (to cricket association)
  • your league platform registration (to Cricket Australia)

How to handle in GoClubPro:

  • Set the Registration Fee to the club's portion of total costs
  • Association levies are handled via Treasurer → Bills tab (the association bills your club directly)
  • Cricket Australia fees are typically paid directly through your league platform — these do NOT flow through GoClubPro

Recommended approach: Set your Registration Fee to the "club portion only" and clearly communicate to members what total registration costs look like (including your league platform direct payment).


Match Fees

Cricket match fees are typically the same across all senior grades. Juniors are sometimes free or at a reduced rate.

Critical: For free junior grades, enter $0.00 — do NOT leave blank. Blank means "not configured" and won't generate a $0 fee record. $0.00 generates a fee record that shows as paid immediately, which keeps the accounting clean.


Season Plans

Cricket's long season (20+ weeks) makes Season Plans attractive. Typical configuration:

  • Season Plan = registration fee + all match fees at a discount
  • Example: If a player plays all 20 rounds × $22 = $440 + $180 registration = $620. Season Plan at $499 saves $121.

When NOT to offer a Season Plan:

  • Grades where the number of fixtures is unknown at season start
  • If your club has high player turnover mid-season

CRICKET-SPECIFIC WORKFLOWS

Two-Day Matches

Some cricket formats (A Grade, representative) span Saturday and Sunday.

How to handle in GoClubPro:

  • Create the fixture on the Saturday date (primary day)
  • Add a note in the fixture description: "Day 2: Sunday [date]"
  • A single match fee is charged per fixture (not per day)
  • RSVP covers the full match — coaches assume availability for both days

Known limitation: The RSVP system doesn't have a "Day 2 only" option. If a player is available Saturday but not Sunday, they should note this to their coach directly.


Representative Players

Players selected for representative cricket (district, state) need to be handled carefully:

Recommended approach:

  1. Create a separate Team for rep selections (e.g., "District Under 17 Rep")
  2. Assign rep players to this team as well as their grade team
  3. Rep fixtures don't generate match fees for the club (they're association-run) — if you import rep fixtures via CSV, manually set their match fee to $0

Blockout tip: Rep players can set blockout dates for grade matches during rep weekends. This signals to grade coaches they're unavailable without needing to manually contact them.


Wet Weather Cancellations

Cricket has frequent weather cancellations. GoClubPro handles this at the fixture level:

Admin workflow when a match is washed out:

  1. Admin Panel → Schedule → open the fixture
  2. Change status to "Cancelled" and add a note ("Washed out - [date]")
  3. If match fees have been charged: Treasurer → Accounting → issue refunds for that fixture
  4. If using your league platform: cancelled matches typically sync automatically if the association updates your league platform

Club policy decision: Do you charge match fees for washed out matches? Clarify this in your pre-season broadcast and configure accordingly. If you don't charge for washouts, refund promptly via Accounting → Issue Refund.


Finals & Knockout Rounds

Finals fixtures often aren't in your league platform at season start:

Recommended approach:

  1. Add finals as manual fixtures via Admin Panel → Schedule → Add Fixture
  2. Set a separate "Finals Match Fee" in your fee configuration if applicable
  3. Squads for finals can be selected via the normal Squad Builder once the fixture exists

Grading / Trial Games

Pre-season trials typically don't have match fees:

Recommended approach:

  1. Import or create trial fixtures manually
  2. For trial fixtures only: Treasurer can set match fee to $0 in Accounting → override for that specific fixture (or configure the competition with $0 match fee and update after grading is complete)

Schedule Sync Integration FOR CRICKET

Finding Your Cricket IDs

  1. Log in to play.cricket.com.au (your association admin account)
  2. Navigate to your competition page
  3. The URL contains: ...competitions/{CompetitionID}/...
  4. Your Club ID is in your club's profile URL

Critical difference from other sports: Cricket Australia assigns a new Competition ID each season — even if it's the same grade. Update this in Admin Panel → Integrations every season.

Cricket clubs often have non-playing members. Handle them as follows:

Life member fee handling: GoClubPro doesn't have a dedicated "fee exempt" role. For life members, the Treasurer manually marks their fees as paid each season, or the Admin sets their individual fee to $0 via a manual ledger adjustment.

Each box = one Competition + one Team in GoClubPro

TOOLTIPS & HINTS

  • New season, new Competition ID — Cricket Australia changes these every year; your sync will pull zero fixtures if you forget to update
  • Washout refunds — don't delay these; members notice quickly and it affects trust in the payment system
  • Rep players, dual teams — a player can be in multiple teams simultaneously; this is the intended workflow for rep cricketers
  • $0 vs blank — for free junior grades, always enter $0.00 not blank; blank means "admin hasn't configured this yet" and creates a confusing open balance

FAQ

Q: We have social/non-competitive players. How do we handle them? A: Create a "Social" Competition with $0 match fee. Assign social players to a Social team. They get included in club communications and can RSVP to social events, but no fees generate.

Q: your league platform shows our club in two associations (city and country rep). Can we connect both? A: Yes — add two separate integration sources. Each Competition ID points to a different association. Fixtures from both will sync.

Q: How do we handle finals that aren't in your league platform yet? A: Add them manually as fixtures. Update the fixture details once the final is scheduled. Squad Builder and match fees work the same way for manually added fixtures.

Q: Our club uses a different scoring platform (e.g., MyCricket legacy). Does GoClubPro connect to it? A: Currently only Schedule Sync Integration is supported. For legacy platforms, export your fixture list as CSV and upload it via Admin Panel → Integrations → Upload CSV.

SHORT ONBOARDING SCRIPT

"Welcome to GoClubPro — cricket edition. Here's what's different from general setup: create one Competition per grade, not one for all juniors combined. For free junior grades, enter $0 — don't leave blank. Get your Competition ID from your league platform and update it every season — Cricket Australia changes it yearly. Two-day matches are one fixture with one match fee. Rep players go in both their grade team and a rep team simultaneously. That's the cricket-specific part — the rest is standard setup."
